Estimated Fee Tab of the Contract Management Form

Use the Estimated Fee tab to specify when you expect to receive future fee payments and the amounts of those payments, both for projects that you are pursuing and for those you have been awarded. That information is then used to forecast your potential revenue stream on the Project Forecast report.

For projects in an In Pursuit stage step, estimated fee refers to the Estimated Fee amount on the summary pane of the Projects hub. For projects in a Won stage step, estimated fee refers to the values on the Compensation tab in the Contract Management area of the Projects hub or the Revenue Forecast values, depending on the selection allocation method.

To select an allocation method for estimated fees and make related entries, you must be viewing the work breakdown structure (WBS) at the project level. That allocation method then applies to all WBS elements at lower levels.

The Estimated Fee tab is only available if at least one of the following modules is activated: Resource Planning, CRM, or CRM Plus. (If your only activated Vantagepoint modules are CRM or CRM Plus, the Contract Management form is not available. In that case, you specify estimated fee settings on the Estimated Fee form in Hubs > Projects > Estimated Fee.)

Field Description
Allocation Method
Warning: When you change the allocation method for a project, Vantagepoint removes any information associated with the previously selected method, which could include all data that was entered on the associated Revenue Forecasts form or Fee Allocation grid on the Estimated Fee form.

Select one of the following options to determine how the estimated fee is allocated for the project:

  • Pre-Defined Allocation
    • Spread Evenly Across Time Scale: Select this option to spread the estimated fee in even amounts across the units of a time scale, between the estimated start date and the estimated completion date milestone entered for the project. Select the time scale (for example, Weekly or Monthly) in Time Scale.
    • Allocate All Fees to Estimated Start Date: Select this option to allocate the estimated fee to the project's estimated start date (the date entered for the Estimated Start milestone for the project).
    • Allocate All Fees to Close Date: Select this option to allocate the estimated fees to the date the project was won (the date in Won/Lost Date under Win/Loss Details in the Projects hub Summary pane).
    • Allocate All Fees to Estimated Completion Date: Select this option to allocate the estimated fee to the project's estimated completion date (the date entered for the Estimated Completion milestone for the project).
  • User-Defined Allocation
    • Use Fee Allocation Grid with Specific Dates: Select this option to allocate the estimated fee to specific dates. This activates the Fee Allocation grid. Use this grid to identify the dates on which you expect to receive fee payments and the payment amounts. This feature is useful for companies who receive revenue for a project at irregular intervals, rather than monthly or quarterly. For example, you could submit a fee schedule with a proposal that specifies that an inspection will occur on a specific date and, upon completion, a payment will be due.
    • Use Revenue Forecasts: Select this option to allocate fees based on revenue forecasts using the Revenue Forecast area in the Projects hub. This option is only available if you have the Resource Planning module activated.

      When you change the allocation method from Use Revenue Forecasts back to any other allocation method, Vantagepoint checks out the project when you select the new method and automatically checks it back in again. If you attempt to change the allocation method from Use Revenue Forecasts back to any other allocation method while the project plan or revenue forecast is already checked out to another user, then you must manually set the option back to Use Revenue Forecasts until it is not checked out by the other user.

Use Template/Refresh Template The Use Template option displays if you set the Allocation Method option to Use Fee Allocation with Specific Dates.

Click Use Template to select a pre-defined template to use as the basis for allocating the estimated fee. You can use these templates to calculate your company's desired fee date, amount, and percentage. When you select a template, the Estimated Fee Allocation grid displays default allocations based on that template, but you can make changes to them. The templates for this allocation method are set up on the Estimated Fee tab in Settings > Project > Contract Management.

After you select a template, the Refresh Template option displays. Select that option to restore the default values in the grid based on either the currently selected template or a different template.

Time Scale This option displays if you set the Allocation Method option to Spread Evenly Across Time Scale.

Select one of the following options as the time scale used to determine the fee allocation dates:

  • Daily
  • Weekly
  • Biweekly: A two-week period, starting on a Monday and ending on a Sunday.
  • Semi-Monthly: One period that runs from the first to the fifteenth of the month, and a second period that runs from the sixteenth to the end of the month.
  • Monthly
  • Quarterly
  • Yearly

Estimated Fee Allocation Grid

This grid becomes available when you set the Allocation Method option to Use Fee Allocation Grid with Specific Dates. Use the grid to identify the specific dates on which you expect to receive fee payments. You have these options:
  • If you selected an allocation template, Vantagepoint displays default allocation dates, amounts, and percentages based on that template. You can use those allocations as they are, or you can make changes to them.
  • If you did not select an allocation template, click + Add Allocation below the grid, and enter one or more allocation milestones.

Be aware that if you make entries in the grid and later change the allocation method from Use Fee Allocation Grid with Specific Dates to another method, your entries in the grid will be deleted.

Field Description
Description Enter a description for the fee allocation. If you selected a template, this field displays the milestone description from the template.
Fee Date Enter or select the date on which the fee payment will be received. If you selected a template, Vantagepoint determines this date based on the estimated start date for the project and on the values in the Time Frame and Time from Estimated Start Date fields in the allocation template.
Fee Amount Enter the fee amount that you expect to receive on the fee date. If you selected a template, this field displays a default amount based on the total estimated fee and the percentage of the total fee specified in the template. You can change the default amount directly, or you can change the percentage in Percent of Total Fee.

If you enter a value in the Percent of Total Fee field, Vantagepoint calculates the amount in this field based on the total estimated fee.

For an In Pursuit project, the total estimated fee is the amount in the Estimated Fee field in the Summary pane under Pursuit Details. That amount applies to the project as a whole, so the fee amounts in this grid will be the same regardless of the currently selected WBS element.

For a Won project, the total estimated fee is the total compensation amount for the project as a whole from the Compensation tab of the Contract Management form.

Percent of Total Fee Enter the percentage of the total fee that you expect to receive on the fee date. If you selected a template, this field displays the percentage from the template. If you change the percentage, Vantagepoint updates the fee amount for the row, and if you change the fee amount, Vantagepoint updates this percentage.
+ Add Allocation Click this option to add a row to the Estimated Fee Allocation grid.
