Log (Associate) a Gmail Calendar Item to a Vantagepoint Record

While using the Gmail calendar, you can log a calendar item directly to a Vantagepoint record. This creates an immediate association and, upon synchronization, adds a calendar item to the Activities tab for the associated Vantagepoint record.

Important: Vantagepoint also adds the contact for the calendar item as an invitee and automatically sends an invitation to that calendar event using Gmail's standard functionality.

Pre-requisites:
  • Create a Connect user.
  • Set up synchronization.

To open a Gmail calendar item in the Vantagepoint Context Pane:

  1. From your Gmail calendar, open a calendar item.
  2. On the calendar item's dialog box, click and select Open Vantagepoint.
    The Context Pane opens and populates the fields with the calendar item's information. For example, the attendees, the project record, associated firm, and so on.
  3. Use the Context Pane to search for and select additional Vantagepoint information for which you want to log or record the calendar item.
    This may include contacts, projects, or firms from the Context Pane. For example, if you search for and select a project record in the Context Pane, you can log the calendar item and when you synchronize the item is associated with the project.
  4. After you locate the record, click the Log Event button on the Context Pane.
    The next time that you synchronize, the item's details will be added to Vantagepoint. This includes all of the contacts and employees who attended that meeting.

    If you add a contact to any item in your calendar, the contact is added as an invitee to that calendar item and they will be sent an invitation. If you would like to add an activity to Vantagepoint without sending a meeting invitation, you can select Add Activity from the menu in the context pane and select a non-calendar type. For example, you may have an activity type for Quick Check-in that is not set up as a calendar type in Settings > Labels and Lists. If you select Quick Check-in as the type of activity, it will not appear in the calendar and the associated contacts will not be invited to a meeting.
