Preview and Print a Draft Invoice Before You Accept It

In Interactive Billing, you can preview and print a draft invoice at any time before you final accept it.

When you preview and print a draft invoice, you can also preview and print the Backup report or any supporting documents if the billing terms for the project have the Print Backup Report option or one of the Print Supporting Documents options (AP Vouchers and Disbursements, Expense Reports, or Units) selected on the Billing Backup tab.

Warning: If you use pre-invoices, make sure the Process Pre-Invoices check box on the Pre-Invoice tab in billing terms for a project is cleared before you complete these steps. If not, you will print or preview a draft pre-invoice instead of a regular invoice.

If the billing terms for a project have the Print Backup Report or one of the Print Supporting Documents options selected, you can also view/print the Backup report and supporting documents.

To print or preview a draft invoice:

  1. In the Navigation pane, select Billing > Interactive Billing.
  2. If the Billing Session Options dialog box displays, review and change settings for the billing session as needed, and click OK.
    Otherwise, on the Interactive Billing form, click the Billing Session Options action on the Actions bar to review and change settings.
  3. On the Interactive Billing form, open the appropriate project.
  4. On the tabs of the Interactive Billing form, select the labor, expense, and/or unit transactions or the fee to bill on the invoice.
  5. On the Actions bar of the Interactive Billing form, click Print.
    The project's billing terms and transactions from the Labor, Expense, and Units tabs or Fee tab of the Interactive Billing form are used to display the invoice.
  6. If the Additional Documentation dialog box displays, select whether or not to view the Backup report or the supporting documents, and click Continue.
    This dialog box displays only when the billing terms for the project have the Print Backup Report option or one of the Print Supporting Documents options selected on the Billing Backup tab.
    • If you are previewing only the invoice with no additional documents, the invoice displays in a preview screen.
    • If there are supporting documents, the invoice and other documents preview in a .PDF file, which you can also print.
  7. In the toolbar at the top of the invoice preview screen, click the print icon to print the invoice. You can also click the save icon and save the invoice in a separate file, such as a Microsoft Word or .PDF file.
