Share a Data Export Definition with Other Users

You can share a data export definition that you created with other users, depending on their role security settings.

To share a data export definition with other users:

  1. In the Navigation pane, select Utilities > Imports & Exports > Exports.
  2. Complete the appropriate set of steps:
    • When you create a new data export definition:
      1. On the Data Export Definitions form, click + New Export.
      2. On the Select Columns dialog box, select a data pack and the columns/fields from the data pack for the data export definition.
      3. Click Apply.
      4. On the Definition Setup form, after you complete the information to set up the data export definition, click the Share action.
    • For an existing data export definition:
      1. On the Definitions tab of the Data Export Definitions form, click the name of the data export definition in the grid.
      2. On the Definition Setup form, click the Share action.
  3. On the Share Data Export Definition dialog box, select a security role in the Roles field, to share the data export definition with members of that role.
    Your selection is displayed in the Roles field.
  4. Repeat step 3 as many times as needed to select other security roles with whom to share the data export definition.
  5. Click Save.

To stop sharing a data export definition with a role at any time, click Share on the Definition Setup form to open the Share Date Export Definition dialog box and then click beside a role that is displayed in the Roles field on the dialog box. The role is removed from the Roles field and is no longer shared with that role.
