Give a Security Role the Ability to Export Vantagepoint Data to f File

For security roles that do not have export administrator access, you can give the role access to some or all of the data export definitions for exporting Vantagepoint data to a file in the Exports utility and/or the Integrations Manager utility.

The instructions in this topic apply for roles that do not have export administrator access (the Export Administrator check box is not selected on the on the Access Rights tab in Roles Security).

To give a non-export administrator security role the ability to export Vantagepoint data to a file:

  1. In the Navigation pane, select Settings > Security > Roles.
  2. On the Roles form, select a role.
  3. On the Overview tab of the Roles form, in the access-to-menu-items list, navigate to and select the following menu items to give access to those menu items:
    • Utilities > Imports & Exports > Exports
    • Utilities > Integrations > Integrations Manager
    • The hubs that are related to the data export definitions that you are giving the role access to, such as the Employees, Projects, Firms, and Contacts hubs.
  4. Before you can give a role access to a data export definition for exporting data, you must first give the role access to the specific data pack from which a data export definition is created. To do this, click the Access Rights tab, and in the Functional Area field, select Data Packs. Then complete the settings on the tab to give the role access to the appropriate data packs.

  5. To give the role access to some or all data export definitions for exporting data: In the Functional Area field on the Access Rights tab, select Data Export Definitions. Then complete the settings on the tab to give the role access to the appropriate data export definitions.

    The data export definitions that you can select in this step are determined by the data packs you selected in step 4. If you do not see a data export definition that you expect to see, check to be sure you selected its data pack when you selected Data Packs in the Functional Area field.

  6. Click the Record Access tab, and review the settings in the Application Record Access grid for the hubs (Employees, Projects, Firms, and Contacts) that the role has access to.
    The settings on this tab also limit the data that the role to export using the Export utility and Integrations Manager utility.
  7. If you gave the role access to a data export definition that includes labor cost rates and amounts, review the access level for viewing and exporting labor rates and amounts in the Labor Cost Rates/Amounts field on the Accounting tab of the Roles form.
