Share Documents to an Existing Teams Conversation

Share project documents from PIM to an existing Microsoft Teams conversation to streamline collaboration and facilitate team discussions. Adding documents directly to a conversation ensures that team members have immediate access to engage and provide feedback. Note that you can only post documents to teams and channels that you have access to.

Note: To post documents to Teams, you must have the Teams.ShareDocument entity function role. If you have this role, a green tick appears on the Teams icon in the top navigation bar, indicating your connection to Teams . If the green tick is not visible, contact your administrator to request access.

To share documents to an existing Teams conversation:

  1. Navigate to the Information Zone or the Documents tab on an entity record, such as a project or organization.
  2. Find the document(s) that you want to post to Teams.
    For information, see Search for Documents.
  3. Do either of the following:
    • To share a single document, click > Share To Teams.
    • To share multiple documents, select the checkbox of each document and click Share To Teams on the toolbar.
      Note: When you select multiple documents to post to Teams, all documents get posted to the same conversation.
  4. If the Create a new Teams Conversation dialog displays, this indicates that none of the selected documents have been posted to a Teams conversation yet. Click Cancel to proceed with selecting an existing conversation.
  5. Click Reply to a Conversation.
  6. On the Reply to an existing Teams Conversation dialog, complete the following:
    1. From the Select a Team list, select the team where the conversation is located.
    2. From the Select a Channel list, select the relevant channel.
    3. From the Select an Existing Conversation list, select the conversation to which you want to add the documents.
  7. Click Create to post the selected documents to the conversation.
  8. To view and add a comment to the conversation, click the conversation to open it directly in Microsoft Teams.
