Manage User Groups

Use this screen to set up user groups for Costpoint and to establish module/application/result set security rights for user groups within the Costpoint screens.

This screen contains a table window for user group ID and name data together with three subtasks.

Note: Companies frequently restrict access to these screens to Costpoint administrators.

You must establish at least one user group for each company before you can create any user ID in the Manage Users screen.

If you plan to optionally assign a user group to a user, you must set up the user group first. You may find, however, that the most efficient way to set up security rights for users is to first establish rights for user groups. Then, if necessary, you can use the Module Rights and other drill-down subtasks from the Manage Users screen to override group rights for a specific user at the module, application, result set, or action/report rights by result set levels, as desired.

You can assign users to user groups on this screen or using the Manage Users screen.

You must establish user information using the Manage Users screen before you assign users to a user group on this screen.

For Budgeting & Planning users, use this screen to create separate menu structures for single users or groups of users. These menu structures can be used to apply additional application level security by denying or granting rights to each application by user or group.

Note: User groups do not allow you to grant access to areas of the Budgeting & Planning that are not already allowed by the license type for that user or group.

Note the following guidelines when creating user groups:

  • If the user group restricts access to certain areas of Budgeting & Planning, those areas are not visible to members of the group, even when the license type allows it.
    Note: The Accountant and Administrator roles can be granted access to applications that fall outside the license type. However, if you then assign those roles to a user security group that restricts access to those applications, the applications will then be unavailable. You should therefore use caution when assigning the Accountant or Administrator role to a security group.
  • If the user group allows access to certain areas of Budgeting & Planning, those areas will only be visible to the user or group members if the license type also allows it.
    Note: If you upgraded to Budgeting & Planning 6.1 from an earlier version, employees who were assigned to the Admin, Org, or Projects profiles are automatically assigned to these same security groups after you upgrade. However, any restrictions you previously implemented using the Alternate menu functionality are not preserved. Those restrictions are now implemented from the User Security Group screen.
