Accounts Subtask

Use the Accounts subtask to distribute the purchase order line's charge to a single or multiple Project/Account/Organization combinations.

If you entered Project, Account, Organization and abbreviation information in the Accounting Defaults tab and elected to have the information default for all PO lines, this information defaults into this subtask.

Use this subtask whenever a purchase order line is added to the purchase order, and maintain it when modifications are needed to that purchase order line's account allocation.

Field Description
Purchase Order ID, Release, Line, Description, Total Line Amt

These fields display the values from the main screen.

Table Window

If you entered Project, Account, Organization and abbreviation information in the Accounting Defaults tab and elected to have the information default for all PO lines, this information defaults into this table window but can be modified. If this information is not populated in the Accounting Defaults tab, but it exists for the vendor in the Default Expense Accounts subtask on the Manage Vendors screen, the vendor's project, account, and organization information defaults into this table window for the PO line. The project/account/org combination must exist on the Link Project/Account/Organization screen in Costpoint Projects, and the project/account/org information must be assigned to the buyer on the Manage Buyers screen.

Field Description
Project

The project assigned in the Accounting Defaults tab of the Manage Purchase Orders screen displays here and can be modified. To modify this project, enter, or click to select, the project that receives charges to this line item. Costpoint validates that the project selected is active.

Project Name

The name of the selected project displays.

Proj Abbrev

If a project is selected, its abbreviation displays which you can modify. To modify this project abbreviation, enter, click to select, the project abbreviation that receives charges to this line item.

Account

If this PO line item has an inventory abbreviation, the associated account displays here; otherwise, the account assigned in the Accounting Defaults tab on the Manage Purchase Orders screen or the account assigned to the vendor displays here which you can modify. To override this account, enter, or click to select, a valid account number to receive charges for this line item. Costpoint validates if the account number selected is active and not a summary account.

Account Name

This field displays the account name for the account selected.

Project Acct Abbrev

The project account abbreviation assigned displays. You can also enter, or click to select, a project account abbreviation.

Organization

Enter, or click to select, the organization that receives charges for this line item. Costpoint validates that the organization selected is active, and that the Account/Organization combination allows charging for the fiscal year, period, and subperiod on this purchase order.

Organization Name

This field displays the organization name for the organization selected.

Org Abbrev

If an organization is selected, its abbreviation displays which you can modify. To modify this organization abbreviation, enter, or click to select, the organization abbreviation to which to charge this line item.

Ref 1

The first reference assigned in the Accounting Defaults tab of the Manage Purchase Orders screen displays. To modify this reference, enter, or click to select, the reference for this line item. If you click , the lookup table displays all reference numbers whose Use in Data Entry check box is selected on the Manage Reference Elements screen in Costpoint Accounting.

Note: The field Ref 1 may display a different label if it has been changed on the Configure General Ledger Settings screen. For example, AC 1.
Ref 2

The second reference assigned in the Accounting Defaults tab of the Manage Purchase Orders screen displays. To modify this reference, enter, or click to select, the reference for this line item. If you click , the lookup table displays all reference numbers whose Use in Data Entry check box is selected on the Manage Reference Elements  screen in Costpoint Accounting.

Note: The field Ref 2 may display a different label if it has been changed on the Configure General Ledger Settings screen. For example, AC 2.
Allocation

Enter the percentage amount of this line item to be charged to the selected project/account/organization. The default is 100%. You can delete this percentage and enter a value in the Amount column instead.

Amount

If a percentage is not entered, specify the amount of this line item to be charged to the selected project/account/organization. This amount displays in the transaction currency for this purchase order.
