Exchange Rates Subtask

Use this subtask to view transaction currency defaults, by sales order and customer, for invoices.

This subtask displays multicurrency functions set up on the Manage Sales Orders screen for customers that require multicurrency transactions. You can also set up exchange rates on the Multicurrency subtask of the Manage Customers screen. You can modify the rate group and the exchange rate in this subtask; however, you cannot modify the transaction currency or the rate date. The exchange rate is frozen when the sales order is submitted for approval.

Use this subtask when entering an invoice for a sales order or customer that requires multicurrency transactions.

Field Description
Invoice, Sales Order

These fields display from the main screen.

Transaction Currency

This field displays the currency code of transaction currency. For new invoices, the Rate and Trans to Func fields in the Transactional Currency to Functional Currency Exchange Rate Info group box initially default to 1.0000000 and 0.0000000, respectively. However, before saving the invoice for processing, click the Apply Rates button to have the exchange rate load based on the rate group, as well as information entered on the Manage Sales Orders screen.

The field on the right displays the currency name associated with the currency code.

Apply Rates

Click this button to apply the selected exchange rates to the main screen.

Rate Group

Enter, or click to select, the rate group code for this customer's transactions on the invoice. These rate groups identify the source of exchange rate data. Create and maintain the rate group codes on the Manage Exchange Rate Groups screen in Multicurrency. However, this field displays the default rate group from the Multicurrency subtask of the Manage Customers screen.

The field on the right displays the rate group name. Click to select another name associated with the rate group code.

Transactional Currency to Functional Currency Exchange Rate Info

This group box displays transaction and functional currency exchange rate information for the invoice. The Rate and Trans to Func fields default to the conversion rate specified in the Multicurrency subtask of the Manage Customers screen.

Field Description
Rate Date

This field displays the date or period in which the exchange rate should be used for this invoice.

Rate

This field displays the actual exchange rate between the selected rate group and the selected exchange rate date. For Trans to Func field exchange rates, the exchange rate for non-Euro currencies is loaded. However, if you are using Euro currency, the product of transaction to Euro currency and Euro to functional currency exchange rates displays. If both the transaction and functional currencies are Euro currency, this field is disabled. To modify this field, select a rate group and click the Apply Rates button.

Freeze Rates

Select this check box to hold the last rate saved and prevent new rates from applying to this transaction.

Find Rates

Click this button to find rates from the Multicurrency application.

Trans to Func

The conversion rate in the Rate field defaults into this field to allow you to modify the transaction currency for this invoice. If you are using Euro currency, this field displays "Trans to Euro," and the product of transaction to Euro currency and Euro to functional currency exchange rates displays. If both the transaction and functional currencies are in Euro currency, this field is disabled.

N/A

This field displays blank if the transaction to functional currency direct conversion is used. However, this field displays as "Euro to Func" if Euro currency is being used.
