Approve Journal Entries

What can I do in this screen?

If your firm's accounting operations policies include segregation of duties, perhaps to comply with the Sarbanes-Oxley Act of 2002, or your firm otherwise requires that journal entries be approved, the authorized approvers in your firm must use this screen to select a journal entry and:

If you launch this screen when your firm has not implemented the Journal Entry Approval feature in G/L Settings, Costpoint displays a message that "JE approvals are not required in G/L Settings." Click OK to close the message dialog and screen.

If you are an authorized journal entry approver established in JE Approver Settings, you can access this screen.

If you are not an authorized journal entry approver, Costpoint displays a message indicating this. Click OK for read-only access to the screen.

When should I use this screen?

Use this screen to approve journal entries before posting them. If the Pending Journal Entries Report includes journal entries that you want to approve and post, you can use this screen to approve those entries.

Field Descriptions

Approver

This read-only field displays the name of the currently logged-in user.

JE Type *

Enter, or select from the drop-down list, the journal entry type for the journal entries you want to view for approval.

Fill Table

Click this button to populate the table with journal entries:

JE No

Costpoint populates this field with the journal entry's number when you click the Fill Table button.

JE Amount

Costpoint populates this field with the journal entry's amount when you click the Fill Table button. This is the higher of the debit or credit amount for the journal entry.

Entry Date

Costpoint populates this field with the journal entry's data entry date when you click the Fill Table button.

Appr

Click in this field and enter Y to approve this journal entry or N to reject it.

JE Description

Costpoint populates this field with the journal entry's description when you click the Fill Table button.

Over Budget

Costpoint populates this read-only field when you click the Fill Table button.

JE Detail

Click this button to open the JE Detail subtask, where you can view journal entry line details.

Exchange Rates

This button is enabled if the journal entry's transactional currency differs from the company's functional currency.

Click this button to open the Exchange Rates subtask, where you can view the data entered in the Exchange Rates subtask of the Enter Journal Entries screen for this journal entry.

* A red asterisk denotes a required field.

Table Information

Changes to this screen update the JE_HDR (JE Header) table.
