ANALYZE UNMATCHED EXPENSES

Use this screen to perform inquiries of unmatched travel items that have been posted to Costpoint Accounts Payable. These items include expense reports and company-paid expenses. You can inquire by type of expense, account, organization, and project and confine your search to specific accounting periods.

You can also roll up the level of detail to summarize or to view full detail for each unmatched item.

You can prepare the most comprehensive report by leaving all header information blank, then clicking the Execute button on the toolbar. This will produce a table populated with all unmatched travel items for expense reports, company-paid, or other expenses. In order to prepare a report with more specialized information, populate the selection fields before performing Execute.

Run this inquiry at any time. To obtain the most accurate information, you should refrain from performing this inquiry when posting new expense reports and company-paid expenses or when items are being matched.

Account

Use this field to choose a report for only one specified account. Use or , or enter the account of your choice. If you leave the other fields blank and click the Execute button on the toolbar, the table will be populated only with transactions for this account. If you leave this field blank, the table will be populated with more than one account.

Org

Use this field to choose a report for only one specified organization. Use or , or enter the organization. If you leave the other fields blank and click the Execute button on the toolbar, the table will be populated only with transactions for this organization. If you leave this field blank, the table will be populated with more than one organization.

Project

Use this field to choose a report for only one specified project. Use or , or enter the project. If you leave the other fields blank and click the Execute button on the toolbar, the table will be populated only with transactions for this project. If you leave this field blank, the table will be populated with more than one project.

Vendor

Use this field to choose a report for only one specified vendor. Use or , or enter the vendor. If you leave the other fields blank and click the Execute button on the toolbar, the table will be populated only with transactions for this vendor. If you leave this field blank, the table will be populated with more than one vendor.

Traveler

Use this field to choose a report for only one specified traveler. Use or , or enter the traveler's ID. If you leave the other fields blank and click the Execute button on the toolbar, the table will be populated only with transactions for this traveler. If you leave this field blank, the table will be populated with more than one traveler.

Exp Type

Use this drop-down list to choose a report for only one specified travel expense type. Only those expense types that exist as unmatched items in Costpoint will populate this drop-down list. If you leave the other fields blank, select an expense type, then click the Execute button on the toolbar, the table will be populated only with transactions for the selected expense type.

Level

Use the fields in this group box to determine the level of detail for your inquiry for your account, organization, or project. The larger the number, the more detailed the report will be; the smaller the number, the less detailed. However, using a zero will produce a report with full detail. Zero is used as a default for the most detailed information available. Enter the largest number of your levels, or zero, and click the Execute button on the toolbar to view the most detailed information. For summarized information, enter numbers greater than zero, but less than your highest level of detail, then click Execute.

Subperiod

Use this group box to select the period of time to query for unmatched items. Use or to populate the Fiscal Year, Period, and Subperiod fields.

Include 

Select this option to populate the table with all unmatched items from all periods. If you populate the Fiscal Year, Period, and Subperiod fields and then click the Execute button on the toolbar, all unmatched transactions occurring during or before that subperiod will populate the table. This is the default setting.

Only 

Select this option to populate the table with all unmatched items from only one period. If you populate the Fiscal Year, Period, and Subperiod fields and then click the Execute button on the toolbar, all unmatched transactions occurring during that subperiod will populate the table.

Table Window

You cannot edit the fields in this table.

Account

This column displays the account to which the invoice was charged.

Org

This column displays the organization to which the voucher was charged.

Project

This column displays the project, if any, to which the voucher was charged.

Vendor

The vendor ID is displayed in this column.

Vendor Name

The full vendor name is displayed in this column.

Vendor Location

The vendor location is displayed in this column.

Expense Type

The expense type is displayed in this column.

Fiscal Year

This column displays the fiscal year to which the voucher item was charged.

Period

This column displays the period to which the voucher item was charged.

Subperiod

This column displays the subperiod to which the voucher item was charged.

Trip Number

This column displays the unique identifying number for the trip.

Record Type

This column displays the paid by code for the expense: E (Employee), C (Company Paid), or O (Other).

Exp Rpt No

This column displays the expense report number on which the expense appears. This column will appear blank for company-paid items.

Exp Rpt Date

This column displays the system date of expense report items.

Voucher Number

This column displays the AP voucher number for this item.

Invoice Date

This column displays the invoice date for company-paid items.

Traveler

This column displays the traveler ID for this item.

Traveler Name

This column displays the traveler's name for this item.

Trip Start Date

This column displays the trip start date for this item.

Trip End Date

This column displays the trip end date for this item.

Units

This column displays the number of items that were multiplied by the amount in the Rate column.

Rate

This column displays the rate that is associated with certain types of expenses and is multiplied by the Units column.

Amount

This column displays the expense amount. If the Units and Rate columns are used, this will be the product of those two columns. If the Units and Rates columns are not used, this is the expense amount entered from the invoice or expense report.

Destination

This column displays the destination, if any, that was entered with the voucher.

Transportation Code

This column displays the transportation code for the travel item. These codes are maintained in the Transportation Info screen.

Ticket Number

This column displays the ticket or unique item number, if any.

Transaction Description

This column displays the descriptive information entered by the user for this travel item.

Ref 1

If you have designated a label for this field, it will display as the field heading and the column may be populated with the data entered with the original advance request.

Ref 2

If you have designated a label for this field, it will display as the field heading and the column may be populated with the data entered with the original advance request.

Project Abbreviation

This column displays the abbreviation of the project, if any, that is listed in the Project column.

Org Abbreviation

This column shows the abbreviation of the organization that is listed in the Org column.

History

Highlight a row on this screen and click this button to view the History subtask. If you have highlighted a company-paid transaction, you will view the Company Paid History subtask. If you highlight an expense report transaction, you will view the Expense Report History subtask.
