EXPENSE REPORT HISTORY

Note:  You will view this subtask only if you highlighted an expense report transaction on the main screen.

Use this subtask to view the expense report history. You cannot edit this subtask.

Vendor

The vendor ID, name, and location are displayed in these fields.

Voucher

The A/P voucher number is displayed in this field.

Date

The expense report date is displayed in this field.

Total Amount

The total amount for the expense report, rather than this row, is displayed in this field.

Due Date

This field displays the due date as it was assigned by the system, based on vendor criteria, or as assigned by the user.

Entry

This group box displays data regarding the last change of this voucher in the system.

User

This field displays the ID of the last user to change the expense report before it was posted.

Date

This field displays the system date of the last change to the expense report before it was posted.

Subpd

This group box displays the fiscal year, period, and subperiod to which the expense report was posted.

FY

The year to which the transactions are posted is displayed in this column.

Pd

The period to which the transactions are posted is displayed in this column.

Subpd

The subperiod to which the transactions are posted is displayed in this column.

Table Window

Line Number

The expense report line number of this item is displayed in this column  

Paid By

This column displays the Paid By code for the expense: "E" (Employee), "C" (Company Paid), or "O" (Other).

Expense Type

The type of expense is displayed in this column.

Trip Number

The trip number is displayed in this column

Account

This column displays the account to which the expense report item was charged.

Organization

This column shows the organization to which the expense report item was charged.

Project

This column displays the project, if any, to which the expense report item was charged.

Trip Start Date

This column displays the trip start date for this item.

Trip End Date

This column displays the trip end date for this item.

Destination

This column displays the destination, if any, that was entered with the expense report.

Traveler

This column displays the traveler ID for this item.

Units

This column displays the number of items that was multiplied by the amount in the Rates column.

Rates

This column displays the rate that is associated with certain types of expenses and is multiplied by the Units column.

Amount

This column displays the expense amount. If the Units and Rates columns are used, this will be the product of those two columns. If the Units and Rates columns are not used, this is the expense amount entered from the expense report.

Taxable

This column displays the taxability of the travel expense item: "N" (Non-taxable), "S" (Sales tax), or "U" (Use tax).

Sales Tax Code

This column displays the tax code status of the expense report item.

Sales Tax Amount

This column shows the amount of sales tax based on the Taxable and Sales Tax Code columns.

Use Tax Amount

This column displays the actual amount of use tax for this expense report item.

Net Amount

This column displays the total expense amount less any sales tax amount.

Relocation

This column displays the relocation status of the expense report item:  "Y" (relocation amounts) or "N" (non-relocation amounts).

Relocation Reimbursement

This column displays the type of reimbursement, if the expense was for relocation.

Transp Cd

This column displays the transportation code for the travel item. These codes are maintained in the Transportation Info screen.

Ticket Number

This column displays the ticket or unique item number, if there is one.

Description

This column displays the descriptive information entered by the user for this advance.

Ref 1

If you have designated a label for this field, it will display as the field heading and the column may be populated with the data entered with the original expense report.

Ref 2

If you have designated a label for this field, it will display as the field heading and the column may be populated with the data entered with the original expense report.

Proj Abbrev

This column displays the abbreviation of the project, if any, that is listed in the Project column.

Org Abbrev

This column displays the abbreviation of the organization that is listed in the Organization column.

Proj Acct Abbrev

This column displays the abbreviation, if it exists, of the project and account combination that is listed in the Project and Account columns.

Notes

If any notes were entered with this invoice, they will display in this column.

Form View

Select this pushbutton to view information for the highlighted voucher on a single-screen form instead of in a table format.

For the selected row, this subtask will show the same expense report history information presented on a single-screen form instead of in a table format.
