Use this screen to view extensive information for all requisitions entered in Costpoint Procurement Planning, and also to trace requisitions throughout the entire procurement planning process. You can access requisition information in the Enter Requisitions, Requisition Processing and Requisition Processing by Line screens.
Use this screen any time you need detailed information regarding a requisition. You can view the status of any requisition in the system, purchase order information generated from requisitions, and quotes received from vendors for requisitions requiring quotes.
Enter, or use to select, the requisition number for which you are inquiring and then select the Execute button on the toolbar to load the requisition information into the table.
To view all of the requisitions in the system, select the Execute button without entering a requisition number. See the documentation for the Select Requisition Status group box.
If you have not selected a requisition number, you can search the data by requisitioner name. Enter, or use to select, the requisitioner whose requisitions you want to find. Once you enter the requisitioner ID in this field (the requisitioner's name defaults in the field to the right), select the Execute button on the toolbar to load all of the appropriate requisitions.
If you have not entered a requisition number, you can search the data by requisitioner organization. Enter, or use to select, the organization ID number for all requisitions whose requisitioner belongs to the organization number. Once you enter the organization number in this field, select the Execute button on the toolbar to load all requisitions whose requisitioners belong to this organization.
Enter, or use to select, a full project ID (for an exact match), or enter the beginning of a project ID in order to search for requisition information. Once this field is populated, the Begin With and Exact Match radio buttons are enabled. If you select the Exact Match radio button and then select the Execute button on the toolbar, the table window displays those requisitions that have the exact project ID. If you select the Begin With radio button, the table window displays those requisitions that begin with the project ID.
Select one of two radio buttons in this group box after populating the Project ID field.
Select this radio button to have the system search for requisitions that contain a project ID beginning with the values in the Project ID field.
Select this radio button to have the system search for requisitions that contain the project ID exactly as it appears in the Project ID field.
Use this group box to focus your inquiry on requisition status. Select one or more check boxes and select the Execute button on the toolbar to have the system display all requisitions whose Header status matches the selected status check boxes. You can use the status inquiry in conjunction with the three preceding sections. For example, you can retrieve requisitions for one requisitioner with a status of A (Approved).
Select this checkbox to include P (Pending) requisitions in the inquiry.
Select this checkbox to include I (In Approval) requisitions in the inquiry.
Select this checkbox to include A (Approved) requisitions in the inquiry.
Select this checkbox to include R (Rejected) requisitions in the inquiry.
Select this checkbox to include C (Complete/Closed) requisitions in the inquiry.
Select this checkbox to include G (Generated) requisitions in the inquiry.
Select this checkbox to include V (Voided) requisitions in the inquiry.
This column displays a requisition number when the Requisition field above is left blank and the inquiry is focused on information other than the requisition number.
This column displays the number of revisions - R (Rejected) back to P (Pending) - that a requisition has undergone.
This column displays the header status of the requisition.
This column displays the date when the requisition was created.
This column displays a requisitioner ID when the Requisitioner field above the table window is left blank and the inquiry is focused on information other than the requisitioner ID.
This column displays a requisitioner name when the Requisitioner field above the table window is left blank and the inquiry is focused on information other than the requisitioner ID.
This column displays a requisitioner organization number when the Requisitioner Org field above the table window is left blank and the inquiry is focused on information other than the requisitioner organization number.
This field displays the transaction currency code assigned to the requisition. All monetary amounts in this screen are in transaction currency, unless otherwise denoted by "Func Curr" or "Func Currency" (functional currency).
This column displays the requisition's total dollar amount. This field is the Total Est Cost Amount (in transaction currency) in the Currency Line subtask in the Enter Requisitions screen.
This field displays the requisition's total amount in functional currency. If the transaction currency and functional currency are the different, this field is calculated as the Est Total Amt x the Trans to Func rate in the Exchange Rates subtask in the Enter Requisitions screen.
The field displays the buyer's ID, if one buyer was chosen to process all lines of a requisition. If this field is blank, multiple buyers were assigned to process the lines of this requisition and you can view them in the Requisition Lines subtask.
This field displays the buyer's name based on the buyer ID.
This field displays the approval process that this requisition undergoes if requisitions are approved at the header level, based on the Requisition Settings screen. If this field is blank, approvals are done at the line level and you can view them in the Requisition Lines subtask.
This field displays a procurement type code from the requisition, if one code was assigned to all of a requisition's lines. If this field is blank, either no procurement type code was assigned to the requisition's lines, or unique procurement type codes were assigned for each line and you can view them in the Requisition Lines subtask.
This field displays the user ID of the person who created the requisition.
This field displays the date on which the user ID logged into Costpoint to create the requisition.
This field displays "Yes" or "No" depending on whether the selected requisition is over budgeted against its project. If you did not select the Over Budget Validation check box in the Requisition Settings screen for a particular requisition, this field is blank when applicable.
Select this button to open the Requisition Header Detail subtask, in which you can view additional information that was entered into the header portion of the requisition.
Select this button to access the Requisition Header Approval subtask, where you can view approval information for the requisition. If you access this subtask and there is no data in the table window, the requisition did not require approval or your user ID is not assigned to the approval process. If approvals are performed at the line level, you can view them in the Requisition Line Approval subtask (i.e., the Rq Ln Apprvl pushbutton), which is located within the Requisition Lines subtask.
Use this button to open the Requisition Lines subtask, in which you can view detailed information for a requisition's lines, such as purchase order information if a purchase order was created from the requisition, and approvals performed at the line level.
Use this button to open the Request for Quotes subtask, in which you can view detailed Request for Quote information.
