Use this screen to view open purchase order line and header information based on the selection criteria in the Buyer, Vendor, Project, Cutoff Due Date, and Sort By fields. This screen allows the updating of certain purchase order information.\
Use this screen when open purchase order line and header information requires viewing and the modification of certain status and date fields is required.
Enter, or use Lookup to select, a buyer ID for whom you want to view purchase order information, or leave blank to select all buyers.
Enter, or use Lookup to select, a vendor ID for whom you wish to view purchase order information, or leave blank to select all vendors.
Enter, or use Lookup to select, the ID of the project for which you want to view purchase orders, or leave blank to select all projects.
Select this radio button to view POs that have the exact project ID entered.
Select this radio button to view POs that begin with the project ID entered.
Enter the cutoff due date for the open purchase orders. No open purchase orders whose due date are later than this date will be selected. This field can be left blank to select all available due dates
Select one of the Sort By selections from the drop-down box. Current sort by selections are:
Buyer, Vendor, Due Date (this is the system default)
Vendor, Due Date
Buyer, Vendor, PO
Vendor, PO
Use the checkboxes in this group box to select the type of POs to load for expediting. Purchase orders will default based on the PO type that you select.
Select this checkbox to include standard purchase orders (i.e., the PO Type is "P") in the expediting process.
Select this checkbox to include blanket purchase order releases (i.e., the PO Type is "B") in the expediting process.
Select this checkbox to include subcontract purchase orders (i.e., the PO Type is "S") in the expediting process.

This non-editable column displays the purchase order ID.
This non-editable column displays the release number if the order is a release order.
This non-editable column displays the change order number, if one exists.
This non-editable column displays the line number of the purchase order.
This column displays the due date for the line item and can be changed, if necessary. Changing the due date here will update the purchase order line due date.
This non-editable column displays the vendor ID for the purchase order.
This non-editable column displays the vendor name.
This non-editable column displays the address code for the vendor.
This non-editable column displays the last name of the vendor contact.

This column displays the line item type ("P" (Part), "G" (Good), "S" (Service), or "M" (Miscellaneous)) and cannot be changed.

If the line type is "M," this column will display the miscellaneous line charge type; otherwise, this field will be blank and cannot be changed.
This non-editable column displays the description of the line item or misc type.
This non-editable column displays the buyer ID for the purchase order.
This non-editable column displays the order unit of measure.
This non-editable column displays the quantity ordered on this PO line.

This column displays the line status. You can change the PO line status here from "Open," to "Pending" or to "Void," if no receipts exist for this line. You can change the status to "Closed" if no additional receipts are expected for this line. Upon saving your changes, the lines that no longer have an "Open" status will not display.
If this is an inventory line item, this non-editable column displays the assigned inventory abbreviation.
This non-editable column displays the inventory project to which the inventory item will be charged.
This non-editable column displays the order reference type code for this PO line.
This non-editable column displays the order reference number from the manufacturing order or internal sales order number.
This column displays the vendor sales order number, if one exists, and can be changed, if necessary. Changing the Vendor Sales Order number will update the Header Information subtask of the Enter POs screen.
This column displays the date the vendor acknowledgment was received, if it was received. This date can be modified and will update the Header Information subtask in the Enter POs screen.
This non-editable column displays the order date for this PO line.
This column displays the desired date. This date can be modified here and will update the purchase order line. The desired date must be the same as or earlier than the due date.
This column displays the original due date. This date can be modified here and will update the purchase order line.
This non-editable column displays, from the PO line, the name or department to which the item ordered is to be delivered.
This non-editable column displays, from the PO line, the requisition number from which the item ordered originated.
Enter expediting notes for this PO line.
This column displays internal notes from the purchase order line. These notes can be modified here and will update the purchase order line. These notes are for internal use only and will not print on purchase orders.
This column displays the match type for each of the different item types within the system. These values are established in the PO Line Charge Types screen.
The match type indicates whether there will be a 2-way (2) match between the purchase order quantity and the invoice quantity, or a 3-way (3) match among the purchase order quantity, the accepted quantity plus the rejected-pay quantity, and the invoice quantity.
In the PO Line Charge Types screen, a 3-way match displays the match option as whether there will be individual (INDIV) matching of invoice quantities against individual receipt accepted quantities, or total (TOTAL) matching of invoice quantities against the cumulative purchase order accepted quantities.
Individual (INDIV) matching can happen only if 3-way matching has been selected. If 2-way matching is selected, the match option will always be TOTAL.
This field displays the procurement type code assigned to the PO line.
This field displays the phone number, if applicable, for the vendor contact as it displays in the Header Information subtask of the Enter POs screen.
This field displays the fax number, if applicable, for the vendor contact as it appears in the Header Information subtask in the Enter POs screen.
This field displays the current order amount of the subcontract PO line after all changes. The value in this field was originally entered as the Ext Cost Amount for the PO line in the Enter POs screen. However, this field displays the most recently updated amount if any additional change orders were entered.
This field displays the actual work completed (i.e., cumulative from inception to date) for a subcontract PO line. The Completed Work Amt is calculated as Percent Complete * SubContract Order Amount for the PO line.
This field displays the actual value of completed work retention amount (cumulative from inception to date) that has been withheld from payment. This amount cannot be greater than the Completed Work Amt for the PO line. The Completed Work Retention Amt is calculated as Completed Work Retention Pct * Completed Work Amt.
This field displays the value of the materials (cumulative from inception to date) that have been supplied to a site for use on a subcontract PO line item job. This amount is also included during payment voucher calculations.
This field displays the actual value of stored materials retention amount (cumulative from inception to date) that has been withheld from payment. The Stored Materials Retention Amt is calculated as Stored Materials Retention Pct * Stored Materials Amt.
Use this pushbutton to open the Expediting Notes subtask.
Use this pushbutton to open a subtask that displays the PO line account information, including receipt totals in the transaction currency. This pushbutton is disabled for subcontract POs. For subcontract PO types, the Sub PO Ln pushbutton is enabled.
Use this pushbutton to open a subtask that displays the subcontract PO line account information, including materials and retention amounts in the transaction currency. For standard POs and Blanket PO Releases, this pushbutton is disabled and the PO Line Info pushbutton is enabled.
Use this pushbutton to view additional information on the PO Vendor.
Use this pushbutton to review PO transactions that occur in a non-functional currency.
