Select RFQs from Proposals

Use this application to select items and vendors for which you would like to have "RFQs" (Request for Quotes) generated. You can also alter breakpoint quantities and notes for selected rows before saving this screen. Two source table windows are available in which you can select items (including PBOM components, which may be linked to a given proposal) and vendors (from the Maintain Vendors screen). You must select at least one row from each table window to populate the RFQ Line Selections table window. 

  1. Run the Compute Proposal Item Costs application for the proposal ID.

  2. In the Select RFQs from Proposals screen, use Query or Find to select a proposal record (make sure a valid Ship ID has been saved in the Details subtask of the Maintain Proposal Master screen for the selected proposal ID). This will populate the Select Items table window with items linked to the proposal. If you have already created any RFQ selection rows for this proposal, but have not yet turned them into RFQs, they will be displayed in the bottom window.

  3. When you have populated the Proposal field, the Select Items table window, and the Select Vendors table window, you can start selecting item(s) from the Select Items table window. Click on a row to select it. Hold down the Ctrl key to select multiple items, or hold down the Shift key to select a contiguous group.

  4. Next, in the Select Vendors table window, select the vendors for which you would like to generate RFQs for the selected parts. Again, hold down the Ctrl key to select multiple vendors.

  5. Use the Select pushbutton to assign part/vendor combination lines and move them to the RFQ Line Selections table window. The Create RFQs from Proposals application will use this information in this table window to generate the RFQ header and line rows. An RFQ line will appear for each part/vendor assignment. For example, let's say you selected parts A and B in the Select Items table window, and vendors 1, 2, and 3 in the Select Vendors table window. In the RFQ Line Selections group box, vendors 1, 2, and 3 will be assigned to both parts A and B, for a total of six lines.

Use the Deselect pushbutton to remove the row(s) from the RFQ Line Selections table window. Hold down the Ctrl key in order to select multiple item/vendor rows before using the Deselect pushbutton.

  1. Save the record for processing.

Use this screen to select item/vendor lines that can be processed by the Create RFQs for Proposals application. You can also create RFQs in the Enter RFQs by Item and Enter RFQs by Vendor screens in Costpoint Procurement Planning.

Proposal

Use Query or Find to select a proposal, which will display in this field along with the revision (if applicable) and proposal description.

Incl Make Parts

Select this checkbox before using Query or Find to include all "Make" and "Buy" type parts from the proposal.  If you do not select this checkbox, only those parts with a "Buy" status will populate the Select Items table window.

Buyer

Enter the ID of the buyer to be assigned to the RFQs created from this selection.  If you entered a buyer ID in the Details subtask of the Maintain Proposal Master screen, it will default into this field and will be used for the selected RFQ lines.

Select Items

If you select the Incl Make Parts checkbox before using Query or Find to load the proposal's item information, all "Make" and "Buy" type parts that are applicable to the proposal will display.  If you do not select this checkbox, only those parts with a "Buy" status will populate this table window.

Item, Rev, Description, U/M

These fields display the item ID, revision number (if applicable), item description, and unit of measure. You established this information in the Maintain Parts screen (for standard parts) or Maintain Provisional Parts screen (for provisional parts) in Costpoint Product Definition.  

Make/Buy

This field displays this part's "M" (Make) or "B" (Buy) status. You established the make/buy status in the Maintain Parts screen (for standard parts) or Maintain Provisional Parts screen (for provisional parts) in Costpoint Product Definition.  If the item is a good or service, this field will display "B." If the item appears in an assembly for the proposal in the Maintain Proposal BOM screen, you can edit the Make/Buy status for the PBOM line and it will display in this field after you run the Compute Proposal Item Costs application. 

Qty Breaks 1-5

These fields display the quantity breakpoint for each item. These fields display from the Proposal Qty Break 1-5 fields in the Maintain PBOM Cost Estimates - Indented and Summarized screens. You can edit these fields in the RFQ Line Selection table window after you select the item/vendor combination.

Commodity

This field defaults with the commodity code for the selected part from the Maintain Parts screen (for standard parts) or Maintain Provisional Parts screen (for provisional parts).  You can establish commodity codes in Product Definition Controls menu in Costpoint Product Definition.

Ind Class

This field displays the industry classification code for the selected part from the Maintain Parts screen (for standard parts) or Maintain Provisional Parts screen (for provisional parts). You can establish industry classification codes in Costpoint Product Definition Controls.

Always Quote

This field displays "Y" if the Always Quote checkbox is selected in the Planning Part Data screen in Costpoint Product Definition, which indicates that use of this part when estimating will always require quotes from vendors. This field will display "N" if the Always Quote checkbox is not selected.

Item Type

This field displays as "P" (Part) if the item is a standard part, "R" (Provisional) if the item is a provisional part, "G" (Good) if the item is a good, or "S" (Service) if the item is a service.

Select Vendors

Use this table window to select and assign vendors and addresses for RFQs for the part selected in the Select Parts group box. When you first access this screen, this table window defaults with all vendor and vendor address information only for those vendors who

Vendor, Vendor Name, Location

These fields display the vendor ID, vendor name, and location code from the Maintain Vendors screen.

Address

This field displays the Ord Addr code, either "Y" (Yes) or "D" (Default), for the address line in the Maintain Vendors screen in Costpoint Purchasing, Procurement Planning, and Accounts Payable. 

PO Status 

This field displays either "O" (OK) or "W" (Give Warning), depending on which radio button is selected in the Vendor Status for PO group box in the Maintain Vendors screen. If the On Hold radio button is selected for the vendor in the Vendor Status for PO group box, the vendor will not appear in the Select Vendors table window.

Bus Size

This field displays the radio button that is selected in the Default Size group box in the Vendor Classification Codes subtask of the Maintain Vendors screen.  This field will display "S" (Small), "L" (Large), "N" (Non-Profit) or "F" (Foreign/Other). 

Woman-Owned, Disadvantaged (Includes Minority-Owned), HUBZone, HBC, Veteran, Serv-Disabled

These fields default from the checkbox selections in the Business Classification group box in the Vendor Classification Codes subtask of the Maintain Vendors screen.  These fields provide further detail for vendor classification based on the vendor's legal classification.  If a field displays "Y" (Yes), the corresponding checkbox is selected in the Maintain Vendors screen.  Otherwise, "N" (No) will display, meaning that the classification is not applicable to the vendor.

Address Line 1, City, State, Country

These fields display based on the order address code (in the Address field) for the address line in the Maintain Vendors screen in Costpoint Purchasing, Procurement Planning, and Accounts Payable.

RFQ Line Selections

The RFQ Line Selections table window displays the selected item/vendor combinations that you highlighted (and then selected from) the Select Items and Select Vendors table windows.  An RFQ line will appear for each part/vendor assignment that is selected.  Similarly, when you add and save an RFQ line in this table window, it will appear in the Request for Quotes subtask of either of the Maintain PBOM Cost Estimates screens.

Use the Create RFQs for Proposal application to process the lines in this table window. Once an RFQ line has been processed, the line's RFQ Created field will become "Y" in the Request for Quotes subtask of either of the Maintain PBOM Cost Estimates screens, and it will also appear in the Enter RFQs by Item and Enter RFQs by Vendor screens in Costpoint Procurement Planning.

Item, Rev, Description

These fields display the item ID, revision number (if applicable) and item description for the selected item in the Select Items table window.

Vendor Name, Vendor, Address

These fields display the vendor name, vendor ID and vendor order address code per the selected line in the Select Vendors table window.

Buyer

Enter, or use Lookup to select, the buyer ID for this RFQ line. This is a required field. If you entered the buyer ID in the Details subtask of the Maintain Proposal Master screen, it will default into the Buyer field (at the top of this screen) and into this field, and will be used for the selected RFQ lines. You can maintain buyer information in the Purchasing Controls menu in Costpoint Purchasing.

U/M

This field displays the unit of measure for the item.

Qty Breaks 1-5

These fields display the quantity breakpoints for the highlighted item in the Select Items table window. You can change these values for the line.

Line Notes

Use this field to enter any notes to be included on the RFQ line.

Select, Deselect

After highlighting the item and vendor lines, use the Select pushbutton to populate these item/vendor combinations in the RFQ Lines Selections table window.  In order to deselect a line (or multiple lines) from the RFQ Lines Selections table window, highlight the line (select multiple lines by holding down the Ctrl key) and click the Deselect pushbutton.

Note: If you created an RFQ line in the Request for Quotes subtask of either of the Maintain PBOM Cost Estimates screens, deselecting the line from the RFQ Lines Selections table window and then saving the record will delete the RFQ line.

Subquery Items/Subquery Vendors

When the proposal ID and items are populated in this screen, use the Subquery Items pushbutton to search for a specific item or range of items in the Select Items table window.  Similarly, use the Subquery Vendors pushbutton to search for a specific vendor or range of vendors in the Select Vendors table window.

Item Info

Select this pushbutton to view specific information for the highlighted item the Select Items table window.

Vendor Info

Select this pushbutton to view specific information for the highlighted vendor in the Select Vendors table window.
