EXPORT DATA TO DELTEK TIME COLLECTION 3.x AND 4.x

Summary

Use this screen to export account, project, employee, and other timesheet information from Costpoint into Deltek Time Collection/ET Enterprise. Use the main screen to specify general export options for employees. You can also set up the method by which Costpoint fields will map to Deltek Time Collection fields.

This application is available only when the Deltek Time & Expense Version is "ET Enterprise Version 3.x" or "Time Collection 4" in the Corporate Labor Settings subtask of the Labor Settings screen. Please refer to the Deltek Time Collection documentation for additional information regarding each input file format.

Note: "UDT" refers to user-defined tables in Deltek Time Collection and Deltek Electronic Timesheet. For example, the "UDT01" table in Time Collection and Electronic Timesheet is used to store accounts and the "UDT02" table is used to store projects (in the Download Tables subtask). Similarly, Time Collection and Electronic Timesheet also store linkages between tables. For example, a link between an Account table and a project table is "LINK12" (in the Link Tables subtask), where the "1" refers to the account, and the "2" refers to the project.

Employee Selection Criteria

Employee

Select this checkbox to enable the Range Option drop-down box. If you unselect this checkbox, the Range Option drop-down box defaults to "All" and all employee records are included in the export process.

Range Option

Use the drop-down box to select the range of employees to export. The options available are "All," "One," "Range," "From Beginning," and "To End." If you select "All," the From and To fields will be disabled; if you select "One," the To field will be disabled; if you select "From Beginning," the From field will be disabled; and if you select "To End," the To field will be disabled.

From

Enter, or use Lookup to select, the ID of the first employee you wish to export. 

To

Enter, or use Lookup to select, the ID of the last employee you wish to export.

User-Defined Settings

Use these drop-down boxes to map Costpoint fields to Deltek Time Collection fields.

User-Defined Code 1, User-Defined Code 2

Deltek Time Collection contains two user-defined fields that accept alphanumeric data. Use these drop-down boxes to control which Costpoint field is placed in the first user-defined field and which Costpoint field is placed in the second user-defined field. The options are:

None - Export a blank value

Locator Code - Export the employee's locator code.

Company Code - Export the employee's company code.

User Defined - Export one of the employee user-defined descriptions. Labels that have a "T" (Text) Data Type in the Employee User-Defined Labels screen in the Employee Controls menu in Costpoint Employee will appear as options.

User-Defined Date 1, User-Defined Date 2

Deltek Time Collection contains two user-defined fields that accept dates. Use these drop-down boxes to control which Costpoint field is placed in the first user-defined date field and which Costpoint field is placed in the second user-defined date field. The options are:

None - Export a blank value.

Adjusted Hire – Export the employee's adjusted hire date.

Birth Date - Export the employee's birth date.

Last Review Date - Export the employee's last review date.

Next Review Date - Export the employee's next review date.

User Defined - Export one of the employee user-defined dates. Labels that have a "D" (Date) Data Type in the Employee User-Defined Labels screen in the Employee Controls menu in Costpoint Employee will appear as options.

Employee Class

For Deltek Time Collection, employee classes represent the method by which business rules are associated with employees. Employee classes control such items as overtime, leave, access rights, and pay types. Use this drop-down box to control which Costpoint field is placed in the Employee Class field. The options are:

None - Export a blank value. If you export a blank value for the employee class, you must create your own employee classes in Deltek Time Collection and assign a value to each employee individually. Because each employee class can have only one work schedule, you must create at least one employee class for every given work schedule.

Labor Group - Export the employee's labor group.

Hourly/Type/Exempt - Export the employee's hourly/salary, type, and exempt indicator. An example of this is "HRN" (Hourly Regular Non-exempt). We recommend this approach because the employee class is assigned to each employee for you. This will save time during initialization, and it also gives most companies enough flexibility with their business rules. Because each employee class can have only one work schedule, think carefully before making this selection. For example, all your company's HRN employees work may not work the same workdays, holidays, flexible days, etc.

Hourly/Type/Exmpt/Loc - Export the employee's hourly/salary, type, exempt indicator, and location. An example of this is "HRNVA1" (Hourly, Regular, Non-exempt, Virginia office #1). We recommend this selection because the employee class is assigned to each employee for you. This will save time during initialization, and it also gives most companies enough flexibility with their business rules. Because each employee class can have only one work schedule, think carefully before making this selection. For example, all your company's HRNVA1 employees work may not work the same workdays, holidays, flexible days, etc

Employee Class - Export the Costpoint employee class.

User Defined - Export one of the employee user-defined descriptions. Labels that have a "T" (Text) Data Type and contain validated text (i.e., the Validated Text field is "Y") in the Employee User-Defined Labels screen in the Employee Controls menu in Costpoint Employee will appear as options.

User-Defined Amount 1, User-Defined Amount 2

Deltek Time Collection contains two user-defined fields that accept numeric data. Use these drop-down boxes to control which Costpoint field is placed in the first user-defined amount field and which Costpoint field is placed in the second user-defined amount field. The options are:

None - Export a blank value.

User Defined - Export one of the employee user-defined numeric fields. Labels that have an "N" (Numeric) Data Type in the Employee User-Defined Labels screen in the Employee Controls menu in Costpoint Employee will appear as options.

Primary Supervisor

This drop-down box will be enabled if you selected "ET Enterprise Version 3.x" in the Deltek Time & Expense group box in the Costpoint Labor Settings subtask of the Labor Setting screen. In Deltek Time Collection, you can associate employees with supervisors and define an unlimited number of supervisors. However, Costpoint currently does not have that capability. Therefore, for an automatic export, you can specify only one primary supervisor. Use this drop-down box to control which Costpoint field contains the employee's primary supervisor. The options are

None - Export a blank value.

Emf-Supervisor - Export the supervisor field from the Basic Employee Info screen.

User Defined - Export one of the employee user-defined IDs. Labels that have a "T" (Text) Data Type and contain validated text (i.e., the Validated Text field is "Y") in the Employee User-Defined Labels screen in the Employee Controls menu in Costpoint Employee will appear as options.

Note:  To specify more than one supervisor, enter the additional supervisors in Deltek Time Collection after the export.

Backup Supervisor

This drop-down box will be enabled if you selected the "ET Enterprise Version 3.x" option in the Deltek Time & Expense group box in the Costpoint Labor Settings subtask of the Labor Settings screen. In Deltek Time Collection, you can associate employees with supervisors and define an unlimited number of supervisors. However, Costpoint currently does not have that capability. Therefore, for an automatic export, you can associate only one supervisor with each employee ID. Use this drop-down box to control which Costpoint field contains the employee's backup supervisor. The options are

None - Export a blank value.

Emf-Supervisor - Export the supervisor field from the Basic Employee Info screen.

User Defined - Export one of the employee user-defined IDs. Labels that have a "T" (Text) Data Type and contain validated text (i.e., the Validated Text field is "Y") in the Employee User-Defined Labels screen will appear as options.

Vendor

In Deltek Time Collection, you can associate employees with a vendor ID. Use this drop-down box to specify which Costpoint field contains the employee's vendor ID. The options are

None - Export a blank value.

Emf-Vendor ID - Export the Vendor ID field from the Basic Employee Info screen in Costpoint Employee.

User Defined - Export one of the employee user-defined descriptions. Labels that have a "T" (Text) Data Type and contain validated text (i.e., the Validated Text field is "Y") in the Employee User-Defined Labels screen in the Employee Controls menu in Costpoint Employee will appear as options.

Defaults

Select this pushbutton to open the Defaults subtask.

Select this button on the toolbar to export the Costpoint data to Deltek Time Collection and print a report detailing export parameters and listing which records have been changed.
