Use this optional screen to set up one or more templates in which you can establish "standard" default data for property that shares common characteristics.
The template functions only as the mechanism by which template data is automatically imported into an Asset Master record. When you enter a valid template number and revision number, if applicable, in an Asset Master record, data from the template automatically displays in the Asset Master record, where you can edit it on a field-by-field basis, if needed. Once the data is imported into the Asset Master record, there is no additional functionality for the template.
Because not all fields from an Asset Master record are appropriate for setting up default data, there are fewer fields available for data entry in an Asset Template than in an Asset Master record. Substantial capability for the entry of default data exists, however, in over 120 standard template fields and a virtually unlimited number of user-defined fields. Template data fields allow you to enter a "framework" of descriptive, purchase, location, account, book, and government data that can be "imported" automatically into the desired property record(s).
The primary role for the Asset Template is to reduce the amount of repetitive data entry in Asset Master records that share mutual attributes. Another important advantage in utilizing the Asset Template functionality lies in the ability to incorporate consistent descriptions and data across property records, thus enhancing the quality of tracking and reporting functions within the system.
The unique identifier for an asset template record is the Template No, together with the Rev No field, if applicable. Revision numbers are optional; use them to number subsequent versions of the same template while still retaining the earlier versions.
An Asset Master record is populated with template data when the template/revision number entered is validated by the system and when the cursor moves to a different field.
If you choose to use the template feature, you can optionally specify one template for use as a default (in the Default Template for Asset Master group box in the Fixed Assets Settings screen).
If you decide to bypass or defer the use of the template capability, you will need to enter data directly in the Asset Master record on a field-by-field basis or Clone data from existing Asset Master records. You can always choose to set up templates and use this feature as desired at a later time, however. Alternately, you may want to establish ONLY one template that contains ONLY system-required data. In this circumstance, you can designate this sole template as the system default (in the Default Template for Asset Master group box in the Fixed Assets Settings screen).

For a non-depreciable template, the same fields are required for data entry with the exception of the Code and the Depr Exp Acct Alloc Code fields in the Account Info for G/L Book subtask and the Depr Method Code field in the G/L Book Info subtask. For a non-depreciable template, you will not be able to access the G/L Book Info or Other Books Info subtasks.
Alternately, you may also create a new template or the same template with an appropriate revision number that incorporates the change. Or, you may decide to bypass the template record and manually make the desired change directly in the Asset Master record.
This screen is the first of nine screens in which you can enter data for each of your template records. Template data entry for all types of property begins in this screen, including descriptive information for both depreciable and non-depreciable company-owned property, government property, and/or leased property.
Use this screen to enter descriptive template information for new property records and to edit descriptive information for existing template records. (Always use caution when editing existing records, however, to prevent unexpected depreciation and reporting results.)
You can use the eight subtasks to enter other template data, such as location, government, or book information. Open a subtask by selecting the appropriate pushbutton or by entering the special accelerator key combination. To enter the accelerator key combination for each subtask, hold down the [ALT] key and enter the underlined letter that displays on the pushbutton.
You can activate a feature that can capture and store change data for any or all user-editable fields/columns in Asset Template records. If you activate this feature, the system can capture the template number, revision number, as applicable, the name of each changed field, the old data before the change, the new data after the change, information on the user who performed the change, and the date and time of the change.
To capture change details, you must first select the desired fields/columns in the Asset/Template Field/Column Names subtask of the Asset/Template Change Settings screen before you make changes to Asset Template records. Each selected checkbox signifies "permission" to capture data for that field for an Asset Template record each time you change the data.
The audit trail "permissions" that you grant in the Asset/Template Change Settings screen extend to all screens and subtasks, as applicable, in which template data can be changed, as follows:

Once the change details have been captured in the Template Audit Log table, you can view the change data in the Template Change History Inquiry screen and/or print the change data using the Print Change History screen.
You can use Clone to copy data from an existing Asset Template record to a new record. The Maintain Asset Template Info screen must be the active window. To activate Clone, open the File menu and select Clone. Alternately, you can press the [F4] key directly from the keyboard to bring up Clone. A dialog box automatically displays when you activate Clone.
If you know the template/revision number of the record that you want to copy from, you can enter these directly in the Clone dialog box. Alternately, if you need to first find the template/revision number that you want to Clone, you can select the Execute pushbutton to view a table of existing Asset Template records. Highlight the desired template/ revision number and choose the Select pushbutton.
When you select the Execute pushbutton, the system copies the data and automatically displays the cloned data in the Asset Template record screens. Note that, although the copy function is essentially complete (see special exception, below), the Template No and Rev No fields will be blank.
You can edit the cloned data as needed both before and after you assign the new template/revision number and save the record. When you are ready to assign identification to the copied data, enter the desired template/revision number and item number in the Template No and Rev No fields.
You must save the record to finalize the Clone process. If you select the Save button on the toolbar (or press the [F5] function key), the cloned template record will be saved and Clone will be deactivated. If you want to save the record as well as clone additional records, open the File menu and select the Save/Continue option (or press the [F6] function key).
For other book data, select the Other Books pushbutton to display the Other Books Info subtask. Activate Clone and select the OK pushbutton to return to the Maintain Asset Template Info screen.
For user-defined field data, select the UDF Info pushbutton to display the User-Defined Field Info screen. Activate Clone, and select the OK pushbutton to return to the main screen.
Other book and user-defined field data will not be copied to the new record during the Save process if you have not activated Clone in the corresponding subtasks.
If you plan to use templates, you should enter data in this screen and in any applicable Asset Template subtasks before you begin to establish your Asset Master records. You can use template functionality at any point in time, however. Although you can change information in the template screens at any time, use caution in the timing of your edits, which can affect the calculation of depreciation as well as the types of records included in system reports.
In this group box, you can enter or view the template number and revision number of the record that you are accessing in the Asset Template screens.
For new records, enter up to 30 alphanumeric characters in this system-required field to designate the template number. You can use only uppercase alphabetic characters for this key field, which, together with the Rev No field, supplies the unique identifier for this record. The ability to include a revision number in the identifier allows you to record subsequent revisions to an original template, if desired, and to retain each earlier version.
If you have already established an asset template record, you can use Find if you know the template number. You can use Query if you need to search for asset template records based on specific criteria.
An Asset Master record is populated with template data when the template/revision number entered is validated by the system and when the cursor moves to a different field.
If there is no internal requirement for you to link a template with an item from Costpoint Product Definition, however, you should consider setting up template numbers that are shorter than the maximum 30 characters allowed. Abbreviated template identifiers will be more easily recognized and more efficient to enter during queries and report parameter selections.
For new records, enter up to three numeric characters in this optional field to designate a revision number. This field, together with the Template No field, supplies the unique identifier for this record. A revision number is not required when you set up asset templates. Use revision numbers in the identifier to record revisions to an original template and retain the data from each successive template change, if desired.
If you have already established an asset master record, you can use Find if you know the item number. You can use Query if you need to search for Asset Master records based on specific criteria.
An Asset Master record is populated with template data when the template/revision number entered is validated by the system and when the cursor moves to a different field.
In this group box, you will need to specify in the template if this record is Active or Inactive by selecting the appropriate radio button in this system-required field. The radio button that you select will automatically display in the Record Status group box in a new Asset Master record in the Maintain Asset Master Info main screen and in the Maintain Asset Desc Info screen, if you specify the use of this template/revision number. Alternately, this radio button selection will automatically display in a new Asset Master record in the Maintain Asset Master Info main screen and in the Maintain Asset Desc Info screen, if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. This radio button selection will also display in an existing Asset Master record in the Maintain Asset Master Info main screen and in the Maintain Asset Desc Info screen, if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.
The system default for this group box is Active.
For an existing template record, this group box will display the selection you made when you originally added the template record. You can change the radio button as desired for this template.
For new template records, the Active radio button will automatically display as the system default.
If you select this radio button, the system will automatically skip over the record for depreciation calculations and for reports that do not specify the inclusion of inactive records. Rendering a record Inactive provides an alternative to deleting the record because you can retain the record for audit purposes as well as exclude it from reports when you are reconciling your Asset Master record account totals to your General Ledger balances.
In this group box, you can enter, edit, or view descriptive information in the template.
For a new template record, enter up to 30 alphanumeric characters in this optional field. This field is designed to provide a short description for the Asset Master, not to provide a description for the template. Although this field is not required in an Asset Master record, you may want to provide a meaningful asset description, as appropriate to the template because the data entered in this field will display in the Description field on many standard system reports.
For an existing template record, this field will display the selection you made when you originally added the template record. You can edit data that displays in this field or you can add new data to a blank field, as desired.
Data entered in this field will automatically display in the Short field in a new Asset Master record in the Maintain Asset Master Info main screen and in the Short Description field in the Maintain Asset Desc Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s) in a new Asset Master record if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.
For a new template record, enter up to 60 alphanumeric characters in this optional field to provide additional descriptive data. This field is designed to provide a short description for the Asset Master, rather than provide a description for the template.
For an existing template record, this field will display the selection you made when you originally added the template record. You can edit data that displays in this field or you can add new data to a blank field, as desired.
Data entered in this field will automatically display in the Long field in a new Asset Master record in the Maintain Asset Master Info main screen and the in the Long Description field in the Maintain Asset Desc Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s) in a new Asset Master record if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.
For a new template record, enter up to 254 characters in this optional field to add additional descriptive data, as desired. This "list box" uses typical Windows technology and supports word-wrap, scrolling, and so on.
For an existing template record, this field will display the selection you made when you originally added the template record. You can edit data that displays in this field or you can add new data to a blank field, as desired.
Data entered in this field will automatically display in the Addt'l Desc field in a new Asset Master record the Maintain Asset Master Info main screen and in the Additional Description field in the Maintain Asset Desc Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s) if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.
In this group box, data from the original record entry automatically displays. The non-editable data from these fields does not copy over to the Asset Master record because it is pertinent only to the template record itself.
This field is not available for user entry. For an existing template record, the system automatically displays the identification of the user that originally added the record. For a new record, the system will automatically record and display the user identification after the template record is saved for the first time.
If you save a template that you copied using Clone, the system will update this field with the identification of the user that saved the Cloned record, and it will no longer display the identification of the user that originally added the record.
This field is not available for user entry. For an existing template record, the system automatically displays the date that the record was originally added. For a new record, the system will automatically record and display the date after the template record is saved for the first time.

In this group box, you will need to specify the depreciation methodology for a depreciable asset.
If you selected the Non-Depreciable radio button in the Depr Status group box, the radio buttons in this group box will be grayed out and inaccessible.
For depreciable records (Depreciable radio button selected), you will need to specify the Years, Units of Usage, or Lease Pds base methodology for depreciation in this system-required field. The system default for this group box is Years.
For a depreciable Asset Master record for which you have selected a Years depreciation base method, the G/L Book Info (Years) subtask displays when you select the G/L Book pushbutton.
For a depreciable Asset Master record for which you have selected a Units of Usage depreciation base method, the G/L Book Info (Units) subtask displays when you select the G/L Book pushbutton.
For a depreciable Asset Master record for which you have selected a Lease Pds depreciation base method, the G/L Book Info (Leases) subtask displays when you select the G/L Book pushbutton.
The radio button that you select will automatically display in the Depr Based On group box in a new Asset Master record in the Maintain Asset Master Info main screen and the Maintain Asset Desc Info screen, if you specify the use of this template/revision number. Alternately, this radio button selection will automatically display in the same field(s) if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. This radio button selection will also display in the same field(s) if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record. For a new template record, the Years radio button will automatically display as the system default. You can overwrite the system default as desired.
For an existing template record, this field will display the selection you made when you originally added the template record. You can change the selected radio button as desired for this template for the purpose of adding non-depreciable government property records as well as non-depreciable company-owned Asset Master records.
In this group box, you will need to specify in the template if this record is Depreciable or Non-Depreciable in this system-required field.
In addition, if select the Non-Depreciable radio button, you can select the Post Disp to G/L checkbox to allow a future disposal entry for this record to be posted to the General Ledger. In the case of non-depreciable assets (for example, land), the G/L entry on disposal can consist only of debits and credits, as appropriate, to the Cost and Gain/Loss on Sale of Fixed Assets accounts because there is no accumulated depreciation associated with a non-depreciable asset. The Post Disp to G/L checkbox will not be available if you select the Depreciable radio button because disposal entries for depreciable assets can always be posted to the General Ledger. The default for the Post Disp to G/L checkbox is unchecked.
The radio button (and optional checkbox, as applicable) that you select will automatically display in the Depr Status group box in a new Asset Master record in the Maintain Asset Master Info main screen and the corresponding column of the Maintain Asset Desc Info screen, if you specify the use of this template/revision number. Alternately, this radio button selection (and optional checkbox, as applicable) will automatically display in the same field(s) if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. This radio button selection (and optional checkbox, as applicable) will also display in the same field(s) if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.
For a new template record, the Depreciable radio button will automatically display as the system default. You can overwrite the system default as desired.
For an existing template record, this field will display the selection you made when you originally added the template record. You can change the selected radio button as desired for this template to add non-depreciable government property records and non-depreciable company-owned Asset Master records.
If you specify that a record is Depreciable, additional data will be system-required in this template record, including a valid depreciation method, an asset Account/Organization/Project/Reference1/Reference2 G/L account combination, and codes for valid G/L depreciation expense and accumulated depreciation account combinations.
If you specify that a record is Non-Depreciable (or if you change the record status from Depreciable to Non-Depreciable), the pushbuttons for the book-related subtasks (G/L Book Info and Other Books Info) as well as the Depr Exp Acct Alloc Code and the Code field in the Accumulated Depreciation Account group box in the Account Info for G/L Book subtask will automatically be disabled.
This checkbox is available only if you select the Non-Depreciable radio button. The default for this checkbox is unchecked, but you can overwrite the system default as needed.
Selecting this checkbox for a non-depreciable asset allows a future disposal entry for this record to be posted to the General Ledger. In the case of non-depreciable assets (for example, land), the G/L entry on disposal can only consist of debits and credits, as appropriate, to the Cost and Gain/Loss on Sale of Fixed Assets accounts because there is no accumulated depreciation associated with a non-depreciable asset. For an existing template record, you can activate or deactivate this checkbox as desired.
In this group box you can enter the system-required property type and classification code as an optional subclass code in the template.
This field is required in both an Asset Template and an Asset Master record.
For a new template record, enter up to six alphanumeric characters in this system-required field to specify a property type for this record. You can alternately use the drop-down box to view the available property types and select the desired property type for use with this record. Set up valid property types during initialization in the Property Types screen.
For an existing template record, this field will display the selection you made when you originally added the template record. You can edit data that displays in this field, as desired.
Data entered in this field will automatically display in the Prop Type field in a new Asset Master record in the Maintain Asset Master Info main screen and the Maintain Asset Desc Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s) if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. For an existing template record, this field will display the selection you made when you originally added the template record. You can edit data that displays in this field, as desired.

The drop-down boxes in this screen access data from the PROPERTY_TYPE (Property Type), FA_CLASSIF_CD (Classification Code), and FA_SUBCLASS_CD (Subclass Code) tables, as applicable.
