LOCATION INFO

Use this screen to enter location information for new templates and to edit location information for existing templates. (Always use caution when editing existing records to prevent unexpected depreciation and reporting results.)

You can use this screen to enter a pre-established location group that identifies pre-established location data that automatically displays in this screen. Alternately, you can skip the Location Group field and enter location data in each of the location fields, as desired. (You can set up Location groups in the Location Groups screen.)

Alternately, if you enter data in the individual location fields, note that you can set up labels for "Location 1," "Location 2," and/or "Location 3" in the Asset Master Field Labels screen. In addition, you can set up validated data for entry in this screen in the Location 1 Codes, Location 2 Codes, and/or Location 3 Codes screens, as desired.

There are no system-required fields in this screen.

If you want to use the user-defined location fields in this screen, you must first establish the validated data before you enter data in this screen. Use the Location 1 Codes, Location 2 Codes, and/or Location 3 Codes screens to set up validated location data.

You can establish the labels in the Location Labels for Asset Master group box in the Asset Master Field Labels screen. You can use this functionality without setting up your own labels, but data entry and reporting may be facilitated with meaningful labels.  If you do not set up labels for these fields, Location1, Location2, and Location3 will display as the default labels.

If you plan to use templates, you should enter data in this screen and in the applicable subtasks before you begin to establish your Asset Master records. You can use template functionality at any time, however. Although you can change the information in this screen at any time, use caution in the timing of your data edits, which may affect the types of records included in system reports.

Note:  If you have used a template to "import" data into an Asset Master record and you later make a change to a template data field, the data change will not automatically be copied to the Asset Master record without user intervention. In this circumstance, you will need to go back into the Maintain Asset Master Info screen and tab through the Template No/Rev No fields to re-import data from the template. Alternately, you can create a new template, either with a new template number or by using the same template number with an appropriate revision number that incorporates the change. Or you can bypass the template record and manually make the desired change directly in the Asset Master record.

Identification

In this group box, you can view the template number and revision number, if applicable, of the record that you are accessing in the screens of the Asset Templates menu.

Template No

This field is not available for user entry. The system automatically displays the template number from the Maintain Asset Template Info screen.

Rev No

This field is not available for user entry. The system automatically displays the revision number, if applicable, from the Maintain Asset Template Info screen.

Location Group Info

In this group box, you can enter, edit, or view the location group for this record.

Location Group

A location group identifies a set of pre-established location data that includes address and user-defined fields that automatically display in this subtask. You can set up Location groups in the Location Groups screen.

For a new template record, enter a valid location group in this optional field or use Lookup to select a location group.

If you do not specify a location group in this field, you can enter location data on a field-by-field basis, as desired. If you use a location group, you cannot edit the general location information in the left portion of the screen.

For an existing template record, you can edit data that displays in this field or you can add new data to a blank field, as desired.

Data entered in this field will automatically display in the Location Group field in a new Asset Master record in the Location Info subtask of the Maintain Asset Master Info screen and the Maintain Asset Location Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s) if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record, if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.

Location Group Desc

This non-editable field automatically displays the location group description from the Location Groups screen. You can edit the location group description in the Location Groups screen.

General Location Info

In this group box, you can enter or edit general location information for the record on a field-by-field basis only if you did not use a location group. If data displays in any field as a result of entering a location group in the Location Group field, you will not be able to edit the field(s) in this group box. In this circumstance, go to the Location Groups screen to make appropriate edits, as needed.

City

You can enter or edit data in this field only if you did not use a location group. If data displays in this field as a result of entering a location group in the Location Group field, you will not be able to edit this field. In this circumstance, go to the Location Groups screen to make appropriate edits, as needed.

For a new template record, if you did not use a location group, enter up to 25 alphanumeric characters in this optional field to specify a city location for this Asset Master record.

For an existing template record, if you did not use a location group, you can edit data that displays in this field or you can add new data to a blank field, as desired.

Alternately, for both new and existing records, if you enter a postal code in the Postal Code field that has previously been set up in the Maintain Postal Codes screen in Costpoint System Administration, the city name associated with the postal code automatically displays in this field as a default city. In this circumstance, you can overwrite the displayed city data as desired and enter non-validated city data.

Note:  This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to add data in any other data fields in this screen.

Data from this field will automatically display in the City field in a new Asset Master record in the Location Info subtask of the Maintain Asset Master Info screen and the Maintain Asset Location Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s) if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.

State/Province

You can enter or edit data in this field only if you did not use a location group. If data displays in this field as a result of entering a location group in the Location Group field, you will not be able to edit this field. In this circumstance, go to the Location groups screen to make appropriate edits, as needed.

For a new template record, if you did not use a location group, enter up to 15 alphanumeric characters in this optional field to specify a state/province location abbreviation for this Asset Master record. You can use Lookup if you need to review the available state/province abbreviations. You can enter only valid state/province data from the Maintain States and Provinces screen in Costpoint System Administration in this field. For an existing template record, if you did not use a location group, you can edit data that displays in this field or you can add new data to a blank field, as desired.

Alternately, for both new and existing records, if you enter a postal code in the Postal Code field that has previously been set up in the Maintain Postal Codes screen in Costpoint System Administration, the state/province name associated with the postal code automatically displays in this field.

Note:  This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to enter data in any other fields in this screen.

Data from in this field will automatically display in the State/Province field in a new Asset Master record in the Location Info subtask of the Maintain Asset Master Info screen and the Maintain Asset Location Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s) if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.

Postal Code

You can enter or edit data in this field only if you did not use a location group. If data displays in this field as a result of entering a location group in the Location Group field, you will not be able to edit this field. In this circumstance, go to the Location groups screen to make appropriate edits, as needed.

For a new template record, if you did not use a location group, enter up to 10 alphanumeric characters in this optional field to specify a postal code that is associated with the city, state/province, and country code for this Asset Master record, as applicable.

If you use Lookup to review the postal codes or enter a postal code in this field that has previously been set up in the Maintain Postal Codes screen in Costpoint System Administration, the city, state/province, and/or country data associated with the postal code automatically displays in the appropriate fields. In this circumstance, data related to the postal code will overwrite existing data in the City, State/Province, and Country fields, but you can edit the system-populated data as needed. For an existing template record, if you did not use a location group, you can edit data that displays in this field or you can add new data to a blank field, as desired.

Note:  This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to add data in any other data fields in this screen.

Data from this field will automatically display in the Postal Code field in a new Asset Master record in the Location Info subtask of the Maintain Asset Master Info screen and the Maintain Asset Location Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s), if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.

Country

You can enter or edit data in this field only if you did not use a location group. If data displays in this field as a result of entering a location group in the Location Group field, you will not be able to edit this field. In this circumstance, you can return to the Location Groups screen to make appropriate edits, as needed.

For a new template record, if you did not use a location group, enter up to eight alphanumeric characters in this optional field to specify a country location for this Asset Master record. You can use Lookup if you need to review the available country codes. You can enter only valid country data from the Maintain Countries screen in Costpoint System Administration in this field. For an existing template record, if you did not use a location group, you can edit data that displays in this field or you can add new data to a blank field, as desired.

Alternately, for both new and existing records, if you enter a postal code in the Postal Code field that has previously been set up in the Maintain Postal Codes screen in Costpoint System Administration, the country code associated with the postal code automatically displays in this field.  In this circumstance, data related to the postal code will overwrite existing data in the City, State/Province, and Country fields, but you can edit the system-populated data as needed.

Note:  This field is independent from the other location fields, with the exception of the State/Province field. If you have not used a location group, you can add data in this field without any requirement to add data in any other data fields in this screen except for the State/Province field.

Data from this field will automatically display in the Country field in a new Asset Master record in the Location Info subtask of the Maintain Asset Master Info screen and the Maintain Asset Location Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.

County

You can enter or edit data in this field only if you did not use a location group. If data displays in this field as a result of entering a location group in the Location Group field, you will not be able to edit this field. In this circumstance, go to the Location groups screen to make appropriate edits, as needed.

For a new template record, if you did not use a location group, enter up to 25 alphanumeric characters in this optional field to specify a county location for this Asset Master record.

For an existing template record, if you did not use a location group, you can edit data that displays in this field or you can add new data to a blank field, as desired.

Note:  Unlike the City, State/Province, and Country fields, county data is not automatically linked with postal code information. This field is independent from the other location fields. If you have not used a location group, you can add data in this field without any requirement to add data in any other fields in this screen.

Data from this field will automatically display in the County field in a new Asset Master record the Location Info subtask of the Maintain Asset Master Info screen and in the Maintain Asset Location Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s), if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.

Location Codes

In this group box, you can optionally add user-defined data for up to three additional location fields.

Location1 (or your label)

If you designated a label for Location 1 in the Location Labels for Asset Master group box of the Asset Master Field Labels screen, your label description for Location 1 automatically displays at this field in this screen and in the corresponding field in an Asset Master record in the Location Info subtask of the Maintain Asset Master Info screen and the Maintain Asset Location Info screen.  Note that it is not a system requirement that you establish a label other than the default label for this field. If you did not set up a label for Location 1 in the Asset Master Field Labels screen, Location1 automatically displays as the label for this field.

For a new template record, enter up to eight alphanumeric characters in this optional field to specify a Location 1 code. The Location 1 code entered in this field is validated against Location 1 codes previously set up in the Location 1 Codes screen. Alternately, you can use the drop-down box to view the available Location 1 codes and select the desired Location 1 code for use with this record.

For an existing template record, you can edit data that displays in this field or you can add new data to a blank field, as desired.

Note:  This field is independent from the other location fields. You can add data in this field without any requirement to add data in the Location2 and Location3 fields or in any other fields in this screen.

Data from this field will automatically display in the Location1 field in a new Asset Master record in the Location Info subtask of the Maintain Asset Master Info screen and the Maintain Asset Location Info screen, if you specify the use of this template/revision number. Alternately, data from this field will automatically display in the same field(s) if this template has been specified as the default template in the Default Template for Asset Master group box in the Fixed Assets Settings screen. Data from this field will display in the same field(s) in an existing Asset Master record if this template/revision number replaces an existing template/revision number in the Template No/Rev No fields in an Asset Master record.

Location2 (or your label) and Location3 (or your label)

Table Information

The system stores data displayed in this subtask in the FA_TEMPLATE (Template) table.

The system stores labels for the location fields in the FA_LABELS (Fixed Assets Labels) table.

Lookups and drop-down boxes in this subtask access data from the FA_LOCATION_GRP (Location Group), FA_LOCATION, (Location), and MAIL_STATE (Mail State) tables, as applicable.
