About scheduling employees on projects

 

The Schedule Manager displays projects with recent activity.Such as:

  • Projects created within the past four weeks
  • Time entered during the past four weeks
  • Labor resources scheduled for current and future weeks

Project totals in Schedule Manager match the project totals in the Project Command Center.

Before you begin

To view project hours

  1. To open Schedule Manager click Manage menu, click Schedule.

  1. To add a project to the Projects tab, click (Search) and add the project. Search options include:
  • Project description
  • Project ID
  • Client, if available
Note: After adding a project through search, schedule time to it or leave it expanded if you want it to persist on the Projects tab.
  1. To change what information you see about the project, click (Customize). You can change the following:
  • Increase time span: You can select from 0 to 4 past weeks or from 1 to 104 future weeks.
  • Filters: Ajera displays any applied filters at the top of Schedule Manager. To remove the filters, either click the X next to the applied filters in Schedule Manager, or open the Projects - Customize window and clear the filter options.
Filter Description
Project Manager The project manager associated with a project
Department The department associated with a project
Client The client associated with a phase or project
Principal The principal associated with a project
Project type The project type associated with a project
Project Status The project status associated with a project
Phase Status The phase status associated with a project
Billing Type The billing type associated with a project
Company Multi-company only. For this filter to appear you need to be set up for multi-company.

  • View project detail (columns): Applied columns will display in Schedule Manager window when selected.
Column Description
Hours budget

The number of hours budgeted

This field references the Hours/Units column on the Manage tab of the Project Command Center.

Scheduled hours The number of hours in the future scheduled in Schedule Manager
Available hours

The number of unscheduled hours remaining:

Hours Budget - (Hours Actual + Scheduled Hours)

Hours remaining

The number of budgeted hours remaining:

Hours Budget - Hours Actual

Spent remaining

The labor contract amount remaining:

Labor Contract - Spent Labor

Client The client associated with a phase or project
Project/Phase Status The status associated with a phase or project. This field references statuses from the Project Command Center.
Labor contract The amount contracted to bill the client for labor expenses
Scheduled dollars

The amount scheduled to date in Schedule Manager

Ajera calculates the amount by multiplying the scheduled hours by the billing rate.

Available dollars

The amount of unscheduled dollars remaining:

Labor Contract - (Spent Labor + Scheduled Dollars)

Hours actual

The actual number of hours spent to date for the project (on the Projects tab) and for the weeks displayed for the employee (on the Employees tab)

This field references the project's timesheets.

Spent labor

The amount of labor expended on the project to date at the billing rates/markups

Ajera determines the spent labor amount from the billing rate table.

Project Manager The project manager associated with a project. This field references the project manager listed on a project in the Project Command Center.
Estimated Start Date The estimated start date associated with a project. This field references the estimated start date listed for a project in the Project Command Center.
Estimated Completion Date The estimated completion date associated with a project. This field references the estimated completion date listed for a project in the Project Command Center.
  1. On the Schedule Manager, click (plus sign) to expand a project. Project phases with labor resources appear.

In the columns to the left, Ajera calculates the hours for the project based on budgeted time and dollars from the Manage tab of the Project Command Center, project hours from Manage > Time & Expense, and scheduled hours from the columns to the right in Schedule Manager.

  1. Scroll to the right to view employee hours by project:

As actual hours are entered to the project, Ajera updates the scheduled hours in the column to the left.
