Refunding a prepayment

To issue a refund, you must first set up the client as a vendor.

  1. From the Manage menu, click Client Receipts.
  2. Click the Prepayments tab.
  3. Enter the client associated with the prepayment.
  4. To change the invoices that appear in the list, click (Change View) and make selections on the Change View window.
  5. Click the Refund button. The Client Receipts Refund window appears.
  6. In the Vendor field, enter the client you set up as a vendor.
  7. Multi-company only. Select the company to receive the refund. You can refund a prepayment back only to the company that originally issued the prepayment.
  8. Enter the date you want to assign to the vendor invoice.  
  9. Enter any notes about the refund, as needed.
  10. Select the Refund check box for each project or nonproject prepayment that you want to apply the refund to. The full amount of the refund appears in the Amount field.
Note: If a prepayment has no project associated with it, the project field is blank for that row.
  1. To apply a partial refund, change the amount.
  2. Click OK. The refund amount is listed at the bottom of the window.
  3. Click Save, and click Close. Ajera creates a vendor invoice for the amount of the refund.
  1. To pay the invoice, from the Manage menu, click Vendor Payments.
