Field

Description

General invoice information:

Vendor

The name of the vendor

Invoice number

The invoice number or ID

Invoice date

If you specified days-to-pay options when setting up the vendor, type the invoice date.

Description

A description of the invoice

Company

Multi-company only.

View only - The company associated with the beginning balances

Date to pay

The date to issue payment for the invoice

Ajera enters the date to pay based on the options you chose when setting up the vendor.

Amount

The total amount of the invoice

If you enter the amount, enter the total amount of the invoice. The balance on the invoice must equal zero before the invoice can be saved. If you do not enter an amount, Ajera calculates it for you as you enter the invoice details.

On hold

If selected, the vendor invoice is on hold.

Click to add, change, or open attachments.

Linked files must be in a shared location for other people to open them (for example, on a shared network or a website).

Transaction details (in the table):

Purchase Order

Not available in ajeraCore or ajeraCore + add-ons

In the Purchase Order column, click to select a purchase order associated with this vendor.

Note: Only Approved purchase orders are available.
Purchase Order Detail

Not available in ajeraCore or ajeraCore + add-ons

In the Purchase Order Detail column, click to select a purchase order detail associated with this vendor.

Project

The project associated with the transaction

Phase

The phase associated with the transaction

Activity

The activity associated with the transaction

Units

If a cost on the invoice involves units, the number of units (such as square feet)

Cost rate

If units are involved, the rate per unit

Cost amount

The cost amount of the transaction

Company

Multi-company only.

View only - The company associated with the transaction. This must match the invoice company for all beginning balance entries.

Account

The account associated with the transaction

Department

The department associated with the transaction

Optional columns:

Unit description

View only

On hold

If selected, payment for the transaction is on hold.

Non 1099

If selected, indicates that the transaction does not require 1099 reporting.

Notes

Any notes for the transaction


Existing tab

The Existing tab has two levels of detail:

  • Invoice: general invoice information
  • Transaction: specific transaction details and general invoice information

Invoice level

The following invoice information appear after you click the Existing tab.

The date of the invoice

Invoice amount

The total amount of the invoice

Balance

The amount left to pay on the invoice

Attachments

Indicates whether there are any attachments, which are made by linking to related files

The column displays if there are no attachments, and if there are attachments.
