Contents of Resource Planning

Resource Planningis a resource planning application that enablesyou to search for team resources, add or modify resourceproject budget assignments, and as a final step, update the projects budgets/EACs with the assignment changes you made.

You can search for team resources by employee, generic staff, or key entry, or use the Advanced Search functionality to select resources according to skills or credentials, or other criteria, such as supervisor, organization ID, or GLC, or for new business budgets, to identify resources that match a specific Opportunity Labor Category.

Other key abilities include:

  • Save selected teams for future use.
  • View assignment utilization and hours.
  • View all projects to which a resource is assigned.
  • Add, edit, or delete project assignments.
  • Commit assigned budgets. (Includes an optional default configuration setting.)

The resources you add display in the Selected Resources table. You can select a resource in the table and then modify the project budget assignments for that resource in the Add/Edit/Delete Assignment subtask.

From that same subtask, you can apply the assignments for that individual resource, or you can save your changes and continue modifying assignments for the remaining resources. When you have finished modifying assignments for all resources, you can then Resource Planning apply all the resource assignments at the same time.

Header Fields

Use fields in the header area to set the date range, include inactive projects, and select a resource type.

Field Description
Start Date

Use this field to select the starting date of the assignment based on the selected values for fiscal year, period, and subperiod.

End Date

Use this field to select the ending date of the assignment based on the selected values for fiscal year, period, and subperiod.

Include Inactive Projects

Select this check box to include projects that are now inactive.

Resource Type

From the Resource Type drop-down list, select the type of resource you want to add to the team. Choose from the following options:

  • Employee: Select this option to search for a specific employee.
  • Contract Employee: Select this option to search for a specific contract employee.
  • Vendor Employee: Select this option to search for a specific vendor employee.
  • Vendor: Select this option to search for a specific vendor.
  • Generic Staff: Select this option to search by generic staff types.
  • Key Entry: Select this option to enter a search value.
  • General Labor Category: Select this option to search for a specific GLC.
  • Project Labor Category: Select this option to search for a specific PLC.
  • Teams: Select this option to search for a specific Team ID you added from the Manage Teams subtask.
Resource ID

Type the resource ID (last name, for example) or click to select it. If the Resource Type was "Key Entry," this field defaults to "KBD" (keyboard).

If the Resource Type selected is Employee, the current hourly rate is included in the Resource ID lookup.

Name

This field displays the value of the resource ID that you selected. If the Resource Type was "Key Entry," type the search value in this field.

Advanced Search

Click this subtask to search for team resources by supervisor, organization ID, general labor category, skill, or credential.

Manage Teams

Use this subtask to display the Manage Teams table.

The upper portion of the table displays the available teams, and the lower portion displays the associated team members for the selected team.

Use the subtask to perform common functions, such as adding or deleting teams. Save your changes using Costpoint save functionality at the top of the screen.

Selected Resources

This subtask displays selected resources. To select a resource, use either of the following options:
  • The Resource Type drop-down list, where you can select a specific type of resource or a team.
  • The advanced search subtask.

After you select a resource or team, click Execute to add it to the Selected Resources subtask.

Note: After you click Execute, the header fields and the Advanced Search subtask are disabled to prevent values that might affect assignments from being applied. To make changes, click Clear All under Refresh on the Global menu.
Field Description
ID Type This column displays the Resource Type you selected, for example, Employee.
ID This column displays the Resource ID, for example, the resource's last name or ID number.
Name This column displays the name associated with the resource ID.
Resource Status This column indicates whether the resource is active or inactive.
Current Hr Rate This column displays the resource's current hourly rate.
Assignment Utilization % his column displays the current total utilization % for the selected resource during the assignment range selected.
Assignment Hours The column displays the total number of hours already budgeted for the selected resource during the assignment range selected.
Status If you modified and saved project hour or utilization information for the resource. This column displays "Saved." Note, however, that all unsaved assignments are automatically saved when you click Assign.

Assign All Resources

Click this option to assign all the resources that you added to the Selected Resources table. After processing, budgets/EACs are updated as follows:

  • If no budget exists, a new Working Budget is created. If the Commit checkbox was selected, an Incomplete Budget is created.
  • If a Working Budget/EAC exists, it is updated. If the Commit checkbox was selected, an Incomplete Budget with same version number is created.
  • If an Incomplete Budget/EAC exists, it is updated. If the Commit checkbox was selected, an Incomplete Budget with same version number is created. Budget & Planning first creates a Working Budget to add the entry, and if Commit is selected, it then creates a budget with a status of Incomplete with the same version number.
  • If a Complete Budget/EAC exists and the Commit checkbox was selected, an Incomplete Budget/EAC is created. If the Commit checkbox was clear, a new Working budget/EAC is created with the same version number.
  • If an Approved Budget/EAC exists and the Commit checkbox was selected, a new Working Budget/EAC is created. If the Commit checkbox was clear, a new Working budget/EAC is created with the same version number.

Add/Edit/Delete Assignments

To modify project budget assignments for a resource, select the resource in the table and click the Add/Edit/Delete Assignments subtask. See Related Topics below for more information.
