MANAGE SALES ORDER NON-INVENTORY ISSUES

Use this screen to record an issue transaction and charge non-inventory materials to a sales order (SO). The cost-of-sales journal entries for these issues are posted to the general ledger through the Post Sales Order Journal process, via either the Post Invoices or Post Component COGS Corrections option.

The associated costs for drop-shipment and in-transit items are derived from either a percentage of sales or from one of the cost types on the Manage Sales Order Cost Types screen. You must prioritize these cost types before entering material issues on this screen.

You must record an issue transaction for inventory, drop-shipment, and in-transit items. Use this screen only to record drop-shipment and in-transit items. You can use the Manage Sales Order Inventory Issues screen to record both inventory and non-inventory material issues.

When creating sales order issues transactions, this application checks the owning organization setting on the Manage Sales Group Abbreviations screen for all project postings.

In order to track serial/lot information on a given SO line, you must specify that the part requires SO configuration tracking on the Manage Parts screen. You must select either the Serial or the Lot check box to activate tracking on this screen.

For drop-shipment component issues, if the absolute value of the sum of issued quantities (not yet invoiced, for all components) is greater than or equal to the component line order quantity, the SO line is ready for invoicing. For inventory and in-transit components, this is determined upon shipping.

Record the issue transaction as soon as the material has been drop-shipped by the vendor or passed in transit to the customer. SOs must have an approved status before you can record an issue. When you have recorded the issue transaction, Costpoint calculates the applicable cost of sales.

Location

Issue ID

If you selected the System option in the Non-Inventory Issues group box on the Configure Sales Order Entry Settings screen, leave this field blank. Costpoint assigns the next issue ID when you save this issue. If you selected this option and you manually assign an issue ID, it does not update the Last System Issue Number field. If you select the Manual option in the Non-Inventory Issues group box on the Configure Sales Order Entry Settings screen, you must manually enter an issue ID. You cannot enter a space as the first character in the Issue ID field.

Transaction Date

The system date defaults in this field. You can enter, or click to select, another date as necessary.

Material Handler

Enter, or click to select, the material handler who is performing this transaction. A valid employee ID is required.

Notes

Enter notes about this SO issue.

Auto-Issue

Select this check box, which is active only if you selected the Enable Auto-Issue check box on the Configure Sales Order Defaults screen, to satisfy issue quantities and applicable serial/lot information for all lines on the chosen SO. Costpoint compares the order quantity to the cumulative (to date) quantity. Any residual quantity loads in both the Issue Qty (SO U/M) and Issue Qty (Inv U/M) fields, where you can modify it.

Select this check box to streamline data entry for drop-shipment and in-transit line items. Rather than being pulled from inventory, these items are recorded as issue transactions based on a third party or vendor.

Autoload

Click this button to load the SO issue details.

After the information loads, you cannot modify the SO Line or Component Line numbers.

Part Security

This field is visible only if the Use Part Data Security Controls check box is selected on the Configure Product Definition Settings screen, which indicates that the item is subject to data security restrictions, as defined in the International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR).

If enabled, this field displays one of the following values to indicate whether the item you are accessing is subject to part data security restrictions and whether you have the necessary authorization to access information for that item:

If you are unauthorized to access parts or revisions that are subject to data security restrictions, then you will not be able to create or edit SO lines for that restricted part/revision. In addition, you will not be able to view Line Documents, Substitute Parts, and Manufacturer/Vendor part information for those restricted items.

The features in this release relating to Part Data Security are intended to assist your company in achieving ITAR compliance. However, it is each company’s responsibility to confirm that it is meeting its obligations with respect to ITAR or other applicable requirements. Deltek does not warrant that use of this functionality will result in compliance.

Line Type

This field displays the SO line type.

Misc Type

This field displays the miscellaneous type code, if applicable, from the SO line.

SO U/M

This field displays the ordering unit of measure on the SO.

Issue Qty (SO U/M)

Enter the quantity to be issued in the SO unit of measure. You can leave this field blank and enter the issue quantity in the inventory unit of measure. If you enter the issue quantity in the inventory unit of measure, Costpoint uses the unit of measure conversion table to calculate this field. The maximum issue quantity is 9,999,999,999.9999.

You can enter the issue quantity as a negative number, which is appropriate when an item is returned to the shelves as the result of a vendor return, over-issue, or issue error.

Open Qty (SO U/M)

This field displays the difference between the ordered quantity and the cumulative issued quantity. The open quantity displays in the SO's unit of measure.

Ordered Qty

This field displays the quantity ordered for the SO line item.

SO Unit Cost

For SO items that require an issue transaction (in-transit and drop-shipment line types), the item's cost is determined by the sequence of the system costs on the Manage Sales Order Cost Types screen. You can modify the cost that defaults in this field.

Costpoint checks the Manage Sales Order Cost Types table to determine the cost with the lowest sequence number. If a sequence number of zero is assigned, the cost type is ignored. If the cost is not zero, it is loaded into this field. If the cost type produces a unit cost equal to zero, the cost type with the next available sequence number is used. Costpoint multiplies the SO Unit Cost value by the Issue Qty (SO U/M) value to determine an extended cost amount.

Extended Cost

This system-calculated field displays the derived unit cost. Costpoint multiplies the SO Unit Cost value by the Issue Qty (SO U/M) value to determine an extended cost amount.

Overshipments Allowed

This field displays the overshipment flag (Y if overshipment is allowed, or N if not) from the SO line item.

This field displays the shipping tolerance percentage from the SO line item.
