Create a Placeholder

Create placeholders to store and manage project documents, such as drawings, specifications, schedules, and reports.

To create a placeholder:

  1. Navigate to the project.
    You can search for projects using the Search Projects link in the Activity Zone. Projects that you are linked to also appear on the History tab in your contact record, and in the Projects dashpart in the Personal Zone.
  2. On the project window, click the DLM tab.
  3. Click the Placeholders tab.
  4. Click Create Placeholder.
  5. On the Create Placeholder window, select the numbering scheme to use for your documents from the Number Scheme list.
    A blank placeholder is created for the selected numbering scheme.
  6. Do one of the following:
    • If the documents will be received from an external organization, select the organization from the Originating Organization list.
    • If the documents will be internal documents from your own organization, select My Organization.
  7. In the Scheme: <Selected Number Scheme> panel, enter the properties for the document placeholder.
    For information on the available fields, see Document Placeholder Properties. All mandatory fields display a red exclamation mark.
  8. Optional: If you expect to receive multiple documents from the same organization which use the same numbering scheme, you can do the following to add additional placeholders:
    • To add a blank placeholder, click Add Placeholder, and then define the details of the placeholder.
    • To copy the last placeholder that you created and its details, click Copy Placeholder.
    Tip: You can use the lists located above the available columns to apply the same information to all placeholders. For example, if all documents will be the same size, select the size from the list above the Size column.
  9. Optional: Click Next to step through the wizard to assign set memberships, set work packages, and link additional projects.

    Set MembershipsSelect one or more set memberships to link the placeholder to. Set memberships allow you to categorize documents. This allows sets to be grouped and filtered within the DLM. You can also report on selected sets.
    Set Work PackagesSelect one or more work packages to link the placeholder to. Work packages allow you to manage tender information from subcontractors for a selected enquiry. Users can then distribute the documents within a placeholder to selected recipients when they send an associated work package out.
    Additional ProjectsSelect one or more projects to copy the placeholder to. This can be the same project, or different projects.
  10. Click Finish.
