Debtor Invoices

Use Debtor Invoices under Finance & Administration to view invoices across all jobs and clients, add invoice numbers, attach invoices to email messages, and create electronic invoices.

To use the Debtor Invoices submodule, you must have access to Finance & Administration as defined in the User Access Rights submodule under Settings.

The submodule consists of the following tabs:

  • Approved: This tab displays the list of all approved debtor invoices. It lets you select and deselect records, change invoice dates, add invoice numbers, show expenditure amounts, download invoices, and export data to comma-separated values (CSV), Microsoft Excel files, or PDF files.
  • Ready for Print: This tab displays the list of debtor invoices that are marked ready for print. It lets you select and deselect records, set selected invoices to print status, and export data to comma-separated values (CSV), Microsoft Excel files, or PDF files.
  • Finalized: This tab displays the list of debtor invoices that are marked as Finalized. It lets you select and deselect records, reset "print OK" on selected invoices, reset "electronically transferred" on selected invoices, and export data to comma-separated values (CSV), Microsoft Excel files, or PDF files.
  • Drafts: This tab displays the list of draft debtor invoices or debtor invoices that are yet to be issued to debtors. It lets you select and deselect records, and export data to comma-separated values (CSV), Microsoft Excel files, or PDF files.
  • Electronic Delivery: This tab displays the list of debtor invoices that are marked for electronic delivery. It lets you select and deselect records, reset "electronically transferred" on selected invoices, and export data to comma-separated values (CSV), Microsoft Excel files, or PDF files.
  • Jobs Ready for Invoicing: This tab displays the list of jobs that are ready to be finalized. A job can be considered ready to be finalized if the status is Ready for Invoicing, if the job is on a client, if the employee has access to the job on the client, and if the job does not have a final invoice yet.
