Contents of the GL Account Review Form
Use the fields and options on this form to view posted transactions and make or change an entry in a user-defined field for posted transactions.
To make or change an entry in a user-defined field for posted transactions, you must first create the user-defined fields and specify the transaction types they apply for on the Transactions form in . For more information, see Create User-Defined Fields for Posted Transactions.
Search Criteria Pane
Use the fields in this pane to determine the transactions that display in the Transactions grid on this form.

Select one of the following options to display transactions in the Transactions grid based on a period of time.

| Transaction Type |
From the drop-down list, select the checkbox for one or more of the following transaction types to display in the Transactions grid. You must click the Search button in the Search Criteria pane for the transactions to display in the grid.
The transaction types listed above display in the drop-down list if your security role gives you Report access for each of these transaction types. Report access is turned on for a security role on the Accounting tab in . In the Transaction Types grid, add a transaction type and select the Report checkbox for it. If you don't have Report access and you run the search with nothing entered in the Transactions Type field, no transactions display in the Transactions grid. If you have Report access and you run the search with nothing entered in this field, the Transactions grid displays all the transactions for the transaction types that display in the Transaction Type drop-down list, as well as transactions for transaction types that are not displayed in the drop-down list. This includes transactions for billing transfers for each transaction type (labor, expenses, units, and fees). User-defined fields do not apply for the following transaction types that can be displayed in the Transactions grid:
If a user-defined field that displays in the Transactions grid does not apply for a transaction type that displays in the grid, the user-defined field for that transaction type is blank and read-only. |

Transactions Grid
This grid displays only posted transactions. You determine the transactions that display in the grid by entering search criteria in the Search Criteria pane. You must click the Search button in the Search Criteria pane for the transactions to display in this grid.
Click a column's title in the grid to sort the rows in the grid by the entries in the column field.
All fields in the grid are read-only except the user-defined field that were set up for transactions (in .
If you have multiple companies in Vantagepoint, only posted transactions for the active company you are logged in to display in the grid.
Transactions Grid — Toolbar
Use the icons on the grid toolbar to add or remove columns from the grid (including user-defined fields), filter by columns in the grid, export the contents of the grid, and maximize the size of the grid. For more information about the items on the grid toolbar, see Grid Toolbar and Grid Actions Bar.
Transactions Grid — Fields

| Account Number | This field displays the transactions's general ledger account number. |
| Transaction Type | This field displays the transaction's type, such as Cash Receipts, AP Vouchers, Journal Entries, and so on. |

This field displays the transaction's reference number.

| Period | This field displays the accounting period in which the transaction was posted. |
| Posting Sequence | This field displays the transactions's posting sequence. Sequence numbers are assigned during the posting process. The number 1 is assigned to the first group of transactions posted during an accounting period, number 2 to the second group, and so on. |
| Transaction Date | For most transactions, this field displays the date on which the transaction was posted. If the detail is from History Loading, this field displays the accounting period. |
| Description | This field displays the description of the transaction that was entered during transaction entry. |
| Project Number | This field displays the number of the project associated with the transaction. |
| Phase Number | This field displays the number of the phase associated with the transaction, if you use phases. |
| Task Number | This field displays the number of the task associated with the transaction, if you use tasks. |
| Amount | This field displays the transaction's monetary amount. If you use multiple currencies in Vantagepoint, this field displays the functional currency amount. The amount is positive or negative depending on whether it is a debit or credit. |
| Project Name | This field displays the name of the project associated with the transaction. |
| Phase Name | This field displays the name of the phase associated with the transaction if you use phases. |
| Task Name | This field displays the name of the task associated with the transaction if you use tasks. |
| Posting Date | This field displays the date that the transaction was posted. |
| Organization | This field displays the organization associated with the transaction. If your enterprise does not use organizations, this column does not display. |
| Description 1 | This field displays the general description of the transaction (for example, the name of the vendor for an accounts payable voucher). |
| Description 2 | This field displays the more specific description of the transaction (for example, the description entered during transaction entry for a single item on a voucher). |

displays in this field for a transaction, click the icon to display a list of supporting documents associated with the transaction on the Supporting Document dialog box. From the dialog box, you can then display any of the documents. (If you hover over

| Transaction Amount | This field displays the total amount of the transaction, expressed in the transaction currency. |
| Transaction Currency | This field displays the code for the transaction currency. This code applies to the amount in the Transaction Amount field. |
| Transaction User-Defined Fields |
The user-defined fields that display in this grid are created in in the User Defined Fields for Transactions grid and the Transaction Types Using User Defined Fields grid on the Transactions form. Add the desired user-defined fields to the Transactions grid using
You can make or change an entry in a user-defined field if your security role gives you Post access for the transactions's type. You turn on Post access for a security role on the Accounting tab in . In the Transaction Types grid, add a transaction type and select the Post checkbox for it. If your security role does not give you Post access, a user-defined field in GL Account Review is read-only. User-defined fields do not apply for the following transaction types:
If a user-defined field that displays in the Transactions grid does not apply for a transaction type that displays in the grid, the user-defined field for that transaction type is blank and read only. Up to 30 user-defined fields for transactions can display in this grid. However, if you add 30 user-defined fields, performance in the grid is impacted. |
