Use the options on the Dashboard form to view, create, and edit dashboards.

Field Description
Dashboard List

This list displays the available dashboards in the Navigation pane. Select a dashboard from the list to display it in the dashboard area. The list includes these sections:

  • My Dashboards: This section displays all dashboards that you can view.
  • Personal: If your access rights allow you to create and modify personal dashboards, this section displays all your personal dashboards. If your access rights allow you to save dashboards and dashparts for all roles, or save personal dashboards only, your personal dashboards are displayed in this section and in list view (on the Dashboards Options form). If you have access rights to save dashboards and dashparts for all roles, display your personal dashboards by setting View Options to My Personal Dashboard on the list view toolbar.
  • All Dashboards: If you have the appropriate access rights to create and edit dashboards that can be shared with employees in your organization, and you are working in edit mode, this section displays all dashboards.
Dashboard Area

When you work in edit mode, use this area to create or edit dashboards.

Find <Record Type>

This field displays when you select a filter category for the dashboard in the Filter column on the Dashboard Options form. This field functions like a standard Find field, except that you can specify a record type in the Filter column. Any filter parameters that you specify apply to all dashparts in the dashboard, in addition to any filter that you set for an individual dashpart in the dashboard.

Filters or search parameters configured in this field are not applied to Vantagepoint Intelligence dashparts. To filter workbooks used in Vantagepoint Intelligence dashparts, you must use the Vantagepoint Intelligence Desktop Tool.

Edit Mode

Access to this option is based on your access rights. This option is disabled when you use a tablet or smart phone to access Vantagepoint.

Select this option to enable the edit mode for dashboards and display the All Dashboards section in the Navigation pane.

While in edit mode, you can:
  • Create, modify, or delete dashboards and/or personal dashboards (depending on your role's access rights)
  • Add or remove new or existing dashparts
  • Change the layout and size of dashparts
  • Configure which employees can view a dashboard
  • Organize the order in which dashboards are displayed on the Navigation pane

Edit Mode Toolbar

The edit mode toolbar displays under the dashboard title when you select Edit Mode. The editing options vary, depending on your role's access rights.

Field Description
New Dashboard

Select this option to create a new dashboard.

Save

Select this option to save changes that you made to a dashboard.

Share
Select this option to display the Share this Dashboard dialog box, on which you specify the employees and user roles authorized to access the dashboard.
  • If you share a dashboard by role, and that role has rights to save personal dashboards only, the dashpart access rights for the role are automatically updated so that the users in that role can access all dashparts in the dashboard that you are sharing.
  • If you share a dashboard by employee, access rights for dashparts are applied.

This option is not available for personal dashboards.

Copy

Select this option to create a copy of the dashboard that is currently displayed in the dashboard area. This option displays in dashboard view.

Delete

Select this option to delete the dashboard that is currently displayed in the dashboard area. This option displays in dashboard view.

Options

Select this option to display the Dashboard Options form, also referred to as list view, which displays a list of all dashboards. The options and columns available vary, depending on your role's access rights and the setting that you specify for View Option on the toolbar:

  • : This option displays on the left side of each line item as you hover over the line items. To change the display order of the dashboard in the Navigation pane, click and drag this option up and down the list. When you change the dashboard order, the Navigation pane is updated accordingly the next time that the Dashboard form is displayed. Click Save to save changes to the dashboard order.
  • Filter: Select the default filter category for the search field that displays at the top of the corresponding dashboard. When you display the dashboard, use the search field to filter the information that is displayed in the dashparts of the dashboard. Filter categories that you select here do not apply to Vantagepoint Intelligence dashparts.
  • Require Filter: Select the checkbox in this column if you want to force use of a filter. When you select this option, you must specify a search filter in the search field at the top of the dashboard to have the dashparts display information based on that search filter. This checkbox can be an available filter or an ad-hoc filter that was added in the search criteria, or become available when you select specific records to display.
  • Name: This column displays the dashboard name. Click the name to display the dashboard in the dashboard view.
  • # Associated Dashparts: This column displays the number of dashparts that are associated with the dashboard.
  • Personal User: This column displays the user name of the person who created the personal dashboard.
  • Display Order: This column displays a number to indicate dashboard order.
  • : This option displays at the right end of each line item. Click this option to display the Share This Dashboard dialog box, on which you can select the employees or roles who can view the corresponding dashboard.
    • If you share a dashboard by role, and that role has rights to save personal dashboards only, the dashpart access rights for the role are automatically updated to make sure that the users of the role can access all the dashparts in the dashboard that you are sharing.
    • If you share a dashboard by employee, access rights for dashparts are applied.

    This option is not available for personal dashboards.

  • : This option displays on the right end of the row when you hover over the line item. Click this option to display a sub-menu with the following options:
    • Copy: Select this option to display the Dashboard Copy dialog box and initiate the process for copying the dashboard in the row.
    • Delete: Select this option to delete the dashboard in the row.
Dashboard View

Click this option to return to the dashboard view from list view (the Dashboard Options form).

View Options

Click this option to select the dashboards that you want to display in list view (the Dashboards Options form). The options available vary, depending on your role's access rights:

  • All Dashboards: Select this option to display all dashboards, except for personal dashboards.
  • All Personal Dashboards: Select this option to display all personal dashboards of all users. The personal dashboards that are displayed with this option are not accessible. Use this option to find out who created the personal dashboards and the number of dashparts in the personal dashboard.

    Roles with the appropriate access rights can access the option that displays at the end of the row when you hover over a line item. Use the option to copy or delete personal dashboards that were created by other employees. The corresponding role can copy personal dashboards of other employees to share it with other employees or delete unused personal dashboards that were created by employees who are no longer with the company.

  • My Personal Dashboards: Select this option to display all your personal dashboards. You can access your personal dashboards from this view option.
+ New Dashpart

Click this option to display the Add New Dashpart dialog box, which guides you through a step-by-step process for creating a dashpart. When you complete the process, the dashpart that you create is displayed on the Dashpart Designer form and you con configure the dashpart in greater detail.

After you save the new dashpart, the Dashpart Designer form closes and the Dashboard form is displayed. The new dashpart is added to the Available Dashparts list in the Dashpart Library pane.

This option is not available if your access rights are only configured to save personal dashboards.

Import/Export

Click this option to display the Import/Export Dashparts dialog box. Use the dialog box to import an existing dashpart file with the .DPT file format and add it to the Dashpart Library, or export an existing dashpart from the Dashpart Library as a .DPT file.

To import a dashpart successfully, you must have the appropriate access rights and the corresponding Vantagepoint modules must be enabled.

Newly imported dashparts are displayed in the Dashpart Library with a slightly darker row color for 48 hours, to differentiate them from other dashparts.

Dashpart Library

Click this option to display the Dashpart Library pane, which lists all available dashparts. Currently used dashparts (in the dashboard that you are editing) are displayed under Used Dashparts; other dashparts are displayed under Available Dashparts.

To find a dashpart by its title, enter search criteria in the Quick Find field. The Available Dashparts list displays dashparts matching the search criteria that you specify. Dashparts displayed in the Dashpart Library pane are based on your role's access rights.

To expand or collapse these lists, use the expand and collapse arrows at the right.

The following icons represent dashpart types in the Dashpart Library:

  • : System dashpart
  • : Chart dashpart
  • : Table dashpart
  • : Favorite report dashpart
  • : KPI (key performance indicator) dashpart
  • : Vantagepoint Intelligence dashpart
  • : Web URL Link dashpart
  • : Memo dashpart

Drill-to indicator

When the icon displays beside a dashpart name, that dashpart is configured as a drill-to dashpart for another dashpart.

Add Dashparts and Specify Sequence

To add a dashpart to the bottom of the dashboard, drag-and-drop that dashpart from the Dashpart Library pane to the dashboard area. To change the position and layout of dashparts on a dashboard, click and drag dashparts in the dashboard area.

Darker Row Color Indicates Newly Imported Dashparts

When you import dashparts, the newly imported dashparts are displayed in the Dashpart Library with a slightly darker row color for 48 hours to make it easier to differentiate from other existing dashparts.

Dashpart Library Pane

Use the options in the Dashpart Library pane to create, modify or delete dashparts. Options vary, depending on your role's access rights.

  • Quick Find: Use this field to enter the dashpart title that is used to filter the dashparts in the Available Dashparts list.
  • + New Dashpart: Click this option to display the Add New Dashpart dialog box, which guides you through a step-by-step process for creating a dashpart. When you create a dashpart, it is displayed in the Dashpart Designer form and you can configure it in greater detail.

    When you save the new dashpart, the Dashpart Designer form closes and the Dashboard form is displayed. The new dashpart is added to the Available Dashparts list in the Dashpart Library pane.

    This option is not available if your access rights are configured to save personal dashboards, only.

  • : The information option is displayed at the right end of the dashpart name when you hover over a dashpart listed in the Dashpart Library pane. Click this option to display an info bubble with a description of the dashpart.
    • For system dashparts, this option is always available.
    • For non-system dashparts, this option is displayed if a description or note was entered for the corresponding dashpart on the Table Options dialog box or Chart Options dialog box.

    To specify an info bubble for a non-system dashpart, select the Display notes in dashpart tooltip option and enter the info bubble text in the Notes field on the Table Options dialog box or Chart Options dialog box. (To access either dialog box, open the dashpart in the Dashpart Designer form and click Table Options or Chart Options).

  • : The edit option is displayed at the right of the dashpart name when you hover over a dashpart listed in the Dashpart Library pane. Click this option to open the dashpart for modification in the Dashpart Designer form. This option is not available for system dashparts or if your access rights are configured to save personal dashboards, only.
  • : The delete option is displayed at the right of the dashpart name when you hover over a dashpart listed in the Dashpart Library pane. Click this option to delete the dashpart from the Dashpart Library and remove it from all dashboards where it is used. If the dashpart is used in other dashboards, a confirmation message displays.

    If you only have access rights to save personal dashboards, you can delete dashparts in the Used Dashparts section of the Dashpart Library pane, but you cannot delete dashparts in the Available Dashparts section of the Dashpart Library pane.

Dashpart Toolbar

The following options are available in the dashpart toolbar.

Field Description

This option displays for table, chart, and KPI dashpart types and dashparts with the favorite report dashpart base if the Always Rebuild Dashpart option is not enabled in the dashpart's settings. The most recent dashpart refresh date and time are displayed beside the refresh option.

Click the refresh option to manually refresh the data in the dashpart. This option is temporarily disabled while a dashpart refresh is ongoing.

Click the maximize option to expand a dashpart so that it fills the browser window. While the dashpart is expanded, you can click this option again to return the dashpart to its original size. This option is located at the right end of the dashpart header.

This option displays while you are working in edit mode. Click this option to see the following options.

  • Edit: Click this option to edit the dashpart in the Dashpart Designer.
  • Remove: Click this option to remove the dashpart from the dashboard.
