Progress Tab of the Explanation of Variance Form

Use this form to identify the approver of an Explanation of Variance and the other current and past workflow assignments, and to view the history records.

This help refers to default tabs and fields. Your system administrator may have modified these tabs and fields to meet your company's business requirements.

History

Click this button to display information about completed assignments and details on whether an Explanation of Variance is suspended, resumed, or cancelled. The Workflow History dialog box displays.

Using the Form Designer, you can move this button to another tab.

Approvals Grid

This grid contains all users and their responsibilities that approved the Explanation of Variance. Click a column header to change the sorting order.

Click the drop-down arrow to display the following options:

  • Print — Select this option to open the Print Preview form with the grid's contents displayed.

  • Export to Excel — Select this option to open the Microsoft Excel application with the grid's contents displayed.

Grid Columns

Responsibility

Use this column to view the label of the user field used for the workflow step. Examples are Created By, Control Account Manager, Project Controls Analyst, and Project Manager.

If the Explanation of Variance is assigned manually or is assigned to the originator, this column is blank.

Approver

Use this column to view the name of the approver.

Date

Use this column to view the date the Explanation of Variance was approved.

The Approvals grid is hidden on Explanation of Variance that currently have no on-going approval in the workflow.

Assignments Grid

This grid lists existing assignment actions. It can help you determine who is delaying the completion of the Explanation of Variance. This grid remains empty until you save an Explanation of Variance and start the workflow steps. The table then displays a row for each assignment on the step.

You can opt either to display the current step's assignment or both the current and past steps' assignments. Viewing the past assignments provides you with information about actions already taken on the Explanation of Variance.

Click a column header to change the sorting order.

You can access IM Presence from the Name column of this grid.

This drop-down arrow allows you to display the following options:

Step

Use this column to view the step number assigned to the assignment. Additional information about each step can be found in the Workflow Steps tab of the Workflow Type Configuration.

Description

Use this column to view the main goal for the step in the Workflow Steps grid.

Action Required

Use this column to view the positive action option for the step (for example, Approve, Submit, and so on) or the field is blank if the action has been completed, the Explanation of Variance is suspended or closed.

Responsibility

Use this column to view the role of the user who participated in completing the workflow step. Examples are Created By, Control Account Manager, Project Controls Analyst, and Project Manager.

If the Explanation of Variance is assigned manually or is assigned to the originator, this column is blank.

Name

Use this column to view the name of the person with the responsibility.

Delegate

Select this check box if the name displayed is that of a delegate for an original assignee. Do not select this check box if the assignee is both an original assignee on the step and another assignee's delegate.

Due Date

Use this column to view the due date for the assignment.

Step Start Date

Use this column to view the date when the step started. This is usually when notifications are sent to the user so that they know there is an action they need to perform.

Action Taken Date

Use this column to view the date when the user took action on the step that changed the step state.

Use this column to view the action taken that changed the step state.

Comments

Use this column to view the comment entered for an assignment. Click the hyperlink to open the text viewer dialog box.
