Notifications (an email or dashboard alert) let the assignee know that there is something they need to do. After you schedule the creation of Progress entries, you need to schedule the alert that sends a user notification to enter progress. The Notify to Enter Progress alert sends an assignee a single email for all activities that need progress.
Assuming the default notification alert is scheduled to run daily, a CAM will receive an email if they have assignments and today's date is within 3 days of progress being due. (The 3 days is the default Days Allocated total on the Progress Workflow Steps tab.) The progress due date is calculated by adding Number of Days After <the Status Date / Period End> When the Progress Cycle Ends to the Status Date / Period End Date.
To schedule a Notify to Enter Progress alert, complete the following steps:
On the Navigation menu, click Administration » Alerts » Scheduled Alerts.
In the Area type drop-down list, select Assignment.
In the Alerts grid, select the Notify to Enter Progress alert.
By default, the notification is sent out three days before progress is due. To keep this default, skip to the next step. To change this default, complete the following steps:
In the Alerts grid Conditions column, click <Conditions Defined> to display the Conditions dialog box.
In the Expression column, click on the expression to display the SQL Expression Builder.
In the SQL Expression Builder, change the 3 in both lines (cost and schedule progress) to the number of days that you want the notification to go out before progress is due.
Click OK.
Click the Schedule button on the Alerts grid toolbar to display the Schedule dialog box to set the schedule for the alert.
On the Main tab:
In the Process Queue field, select the process queue.
In the Start After field, select the date and time.
It is helpful to schedule the alert to run early in the morning, for example, 2:00am. This ensures that notifications are created at the start of the workday and system resources are used when users are not on the system.
On the Recurrence tab:
Select Recurring Activity.
In the Recurrence Type field, select Daily.
Since the alert checks to see if today is the day notifications need to be sent, Deltek recommends scheduling the alert to reoccur every day. You do this on the Recurrence tab of the Schedule dialog box.
Click OK to close the Schedule alert dialog box.
Click Save on the Scheduled Alerts toolbar.
