Accounts Subtask

Use this subtask to link the cost, hours, burden, cost of money, and fee information to each of the report lines.

The Account field is not required, but in order to summarize the detail data, you must identify the account and (optionally) the organizations that belong to each line.

Table Window

Field Description
Account

Enter, or click to select, the accounts that are linked to this line on the report. If you leave this column blank but fill in other columns on a row, all accounts are used for that row. If you fill out the Account column only, the program summarizes the costs or hours that relate to that account.

Organization

Enter, or click to select, the organizations that are linked to the selected account for this line on the report. You can leave this field blank to specify all organizations if other columns in the row are filled.

Fiscal Year

Enter, or click to select, a fiscal year to link to the selected report line. Use this field with the Pool and COM Pool fields to specify burden and cost of money amounts. If you leave this field blank, all fiscal years with the Pool and COM Pool appear on the report. If you enter a fiscal year in this column, you must be sure to update the format each new fiscal year.

Pool

Enter the number of the pool whose burden and/or cost of money is to be included in this line. Use this field with the Fiscal Year and COM Pool? fields.

COM Pool

Use the drop-down list to select > Y (Yes) or N (No) to indicate whether or not Cost of Money is calculated for the specified account, organization, and so forth. Use this field with the Pool and Fiscal Year fields.

Fee Type

Use the drop-down list to indicate whether or not fee is calculated for the specified account, organization, and so forth. Valid options are:

  • Base: Select this option if the base fee is to be included. For the incurred columns of the report, this is the fee on direct amounts, direct hours, and actual burden. For the budget columns, this is the fee from the Manage Project Budgets by Period screen.
  • Award: Select this option if the award fee is to be included. For the incurred columns, this is the other fee associated with fixed revenue formulas. No award fee is included in the budget columns.
  • None: Select this option if no fee is to be included.
Processing Information

Here are some examples of how the program processes the information in the Accounts subtask:

  • If you fill out the Account field and select Base in the Fee Type field, the program summarizes the base fee related to the cost of the account.
  • If you fill out the Account, Fiscal Year, and Pool fields, the program summarizes the pool burden that relates to that account for that fiscal year and pool.
  • If you fill out the Account, Fiscal Year, and Pool fields and flag the COM Pool field as Y, the program summarizes only the cost of money burden related to that account, fiscal year, and pool.
  • If you fill out the Account, Fiscal Year, and Pool fields and select Base in the Fee Type field, the program summarizes only the base fee on the burden related to that account, fiscal year, and pool.
  • If you fill out the Account and Organization fields only, the program retrieves the cost (or hours) from that account/organization combination.
  • If you fill out the Account, Organization, Fiscal Year, and Pool fields, the program retrieves the pool burden amount that relates to that account and organization for that fiscal year and pool.
  • If you fill out the Account, Organization, Fiscal Year, and Pool fields and flag the COM Pool field as Y, the program retrieves only the cost of money burden related to that account, organization, fiscal year, and pool.
  • If you fill out the Account, Organization, Fiscal Year, and Pool fields and select Base in the Fee Type field, the program calculates only the base fee on the burden related to that account, organization, fiscal year, and pool.
  • If you fill out the Account and Organization fields and select Base in the Fee Type field, the program calculates the base fee related to the cost of the account and organization.
  • If you fill out only the Fiscal Year and Pool fields, the program summarizes all account/ organization burden for that pool for that fiscal year.
  • If you fill out only the Fiscal Year and Pool fields and flag the COM Pool field as Y, the program retrieves only the cost of money related to that pool and fiscal year for all accounts and organizations.
  • If you fill out the Fiscal Year and Pool fields and select Base in the Fee Type field, the program calculates only the base fee related to that pool and fiscal year for all accounts and organizations.
