Organization Manager Dashboard

Use the Organization Manager Dashboard to view high-level information of your organization's financial status. You can view outstanding accounts receivables, open billing details, revenue, and modifications of the funded and contract values of projects associated with the organizations you have access to. You can also use this dashboard to see information on employees' labor utilization and indirect expenses of accounts linked to your organizations to help you analyze variances between your budgeted and actual utilization and expenses.

Through the links available on the dashparts, you can drill from the dashboard to a screen in Costpoint, Time & Expense, or Costpoint Planning, depending on the database you are accessing and if you have rights to the module where the screen resides. Costpoint Business Intelligence and Costpoint Analytics shortcut links may also be available on this dashboard if your system administrator has set up access to these applications within Costpoint.

The following are the dashparts available on the Organization Manager Dashboard:

  • AR Current
  • AR Over 30 Days
  • Current Open Billing
  • Indirect Expenses
  • Labor Utilization
  • My Menu
  • Open Billing Over 30 Days
  • Project Modifications
  • Projects Over x% Funding
  • Timesheet Status

Security

The data that displays on the individual dashparts depends on the security rights set up for your organization(s) in Costpoint, Time & Expense, and/or Costpoint Planning.

For dashparts that use Costpoint as the source of data, security is determined by the organizational security settings implemented by your organization. Organizational security is put in place to prevent unauthorized reporting or inquiry on organization data; it does not prevent transaction entry. With this feature, you can grant or deny users access to your organization data.

To make sure you have the right access to organization data, you must be assigned to an organization security group with the rights to modules and applications you need, plus a few more steps. System administrators set up organizational security through the following procedure:

  1. Activate organizational security on the Configure System Settings screen.
  2. Create organization security profiles on the Manage Organization Security Profiles screen.
  3. Assign organization security profiles to modules on the Manage Organization Security Groups screen.
  4. Assign individual users to an organization security group on the Manage Users screen.
  5. Enable or disable the security by module and/or application on the Activate/Inactivate Organization Security by Module screen.
  6. Run the Update Organization Security Profiles screen to create an organization security lookup table.
Note: The organization security applied to the individual dashparts depends on the organization security of the module to which the linked application belongs. For example, if the dashpart uses the View Account Activity application for the organization security, but the organization security is not enabled for the General Ledger module, the dashpart will not have accurate organization data.

For more information on setting up organizational security, see the Organizational Security special topic in the online help. On Costpoint help's Contents pane, navigate to Costpoint > Accounting > General Ledger > Related Topics > Organizational Security.

For the Timesheet Status dashpart, security is determined by the employee level security settings applied in Time & Expense. With the Employee Security feature, employee information seen by users can be limited. Your system administrator must assign you the appropriate role so you can view the data you need. For details on setting up employee level security, refer to the Setup Employee Level Security topic in the online help. On Time & Expense help's Contents pane, navigate to Deltek Time & Expense > Expense > Concepts > Employee Level Security > Employee Level Security Tasks > Setup Employee Level Security.

Note: To view data on the Timesheet Status dashpart, your employee ID in Costpoint (as set up on the Information tab of the Manage Users screen) must exist on the Manage Resource Information screen in Time & Expense. Your employee ID must also be set up as a supervisor of an employee group on the Manage Resource Groups screen in Time & Expense.

Dashparts that have Costpoint Planning as the source of data use security in the EORG_MNGRS table. Users with privileges assigned to multiple organizations as indicated in the table will be able to see data for these organizations and all nodes below.

Available Global Menu and Toolbar Items

On this dashboard, the File, Line, Options, and Process items in the Global Menu are disabled, while only the Help menu item is available. On the Global Toolbar, only the Refresh , Next Page , and Previous Page icons are available. Depending on your screen resolution, the dashparts may not fit on a single view/page, and you can use and to toggle between the pages and view the desired dashpart. If your screen resolution is 1680x1050 and the scale is 100%, you should see 8 dashparts clearly without scrolling. This is the recommended display setting. If you use any other display settings, you may see more or fewer dashparts on the screen at one time.

Note: When you open this dashboard for the first time and close it, the following message displays even if you did not make any changes on the screen: "You have unsaved changes. Select Cancel to go back and save changes or select OK to discard changes and close this application." You need to click Cancel and save the screen to avoid encountering the same issue the next time you access this dashboard.
