Lookup

Select this feature to look up and select available values in cases where you are unsure of the ID or code you need to complete a particular field.

The Lookup dialog box displays a table containing the values that are available for entry in a specific field on the screen. You can scroll through the displayed values or use  (on the Lookup) to narrow your search. When you select a value, it displays in the field from which you launched the Lookup.

Alternatively, you can place your cursor in a non-numeric or non-date character field and then enter the first few letters of the data that you seek. The records displayed filter automatically, according to your entry.

Certain fields also contain the Lookup feature. These fields display a thick blue line on the right side: . Mouse-over the blue line to display the Lookup icon: . To display the Lookup dialog, click the Lookup icon or press F10 on your keyboard.

Add New

Click this button to create a new record and insert the new record into the field from which you executed Lookup.

When you click this button, Costpoint either displays a pop-up form or launches the specific application's Add New Record window. After you enter the details for the new record, click Save and Select to insert the new record into the field, or click Cancel to go back to the Lookup dialog box.

Note: This button is currently available only in the Lookup of the Prime Contractor and Lead Contact fields on the General tab of the Manage Opportunities screen.
Select Click this button to bring the selected row into the field from which you executed Lookup.
Cancel Click this button to close Lookup and return to the previous screen. The field from which you executed Lookup remains unchanged.

Autocomplete Fields

Another way of searching for an existing value is to use the Autocomplete feature. This feature is available in fields where the lookup icon is found. The Autocomplete feature lets you enter the first few characters of an existing code or ID, and then displays the values that match your entry in a drop-down list.

For example, in the Fiscal Year field of the Manage Subperiods screen, you enter the value 201. Costpoint will display the existing values that start with 201 such as 2010, 2011, 2012 and so on, and their description.

Recently Used Values in Autocomplete Fields

When you select a field with a lookup icon, the most recently used values (blue in color) display at the top of the drop-down list. Optionally, you can remove recently used values from the list.
Note: When a data field uses dependent data from a previous field, the recently used autocomplete list for that field may display invalid information and result in an error if you choose those entries.
