Contents of the Manage Subcontracts Screen

Use the fields and options to configure the Manage Subcontracts screen.

Identification

Use this group box to specify the subcontract ID and name, agreement type, status, and start and end dates.

Field Description
Subcontract ID Enter a unique ID to identify the subcontract, or leave this field blank to have Costpoint automatically assign an ID if the Auto-Assign Subcontract IDs check box is selected on the Configure Contract Management Settings screen.
Subcontract Name Enter a description or name for the subcontract.
Agreement Type Enter, or click to select, the agreement type for the subcontract. Valid values are only those that exist on the Manage Agreement Types screen. Codes that display in the lookup have the Show in Lookup check box selected in Manage Agreement Types. Only codes that are available in the lookup can be used for new records in Manage Subcontracts.
Status Enter, or click to select, the status of the subcontract. Valid values are only those that exist on the Manage Contract Status screen. Codes that display in the lookup have the Show in Lookup check box selected in Manage Contract Status. Only codes that are available in the lookup can be used for new records in Manage Subcontracts.
Subcontract Start Date Enter, or click to select, the subcontract start date.
Subcontract End Date Enter, or click to select, the subcontract end date.
Subcontractor/Vendor ID

Enter, or click to select, the ID of the subcontractor or vendor that you want to associate with the subcontract.

Vendors in any of the following criteria will not be allowed for entry or selection: with an inactive status or flagged as payroll vendors.

Prospective vendors can be entered only if the Allow Prospective Vendors to be assigned as Subcontractor/Vendor ID checkbox is selected on the Configure Contract Management Settings screen. If you have assigned a prospective vendor to a subcontract record and then you clear that checkbox, the prospective vendor will remain linked to the subcontract. Note, however, that you will no longer be able to assign prospective vendors to any other subcontract records unless you select this checkbox again.

Note: The ability to assign prospective vendors to subcontracts is added in Costpoint 8.2.12. If you are in Costpoint Cloud, you can choose to opt in to this feature. The ability to opt in is temporary and will be removed when the feature becomes automatically enabled for all users as part of a future Costpoint release. See the Manage Opt-In Features topic for more information.

When you enter a value in this field for a new record or if the subcontract record is already saved and you changed the subcontractor/vendor ID, Costpoint displays a message asking if you want to update the data in the Business Classification Requirements group box and NAICS (primary) field on the Subcontract Info tab with information from the Manage Vendors screen. You can click Yes to proceed or Cancel to go back to the screen. If the Allow Prospective Vendors to be assigned as Subcontractor/Vendor ID checkbox is selected on the Configure Contract Management Settings screen, Costpoint also informs you that selecting a prospective vendor and proceeding with the process will clear the Business Classification Requirements group box and NAICS (primary) field.

Note: The ability to update information in Manage Subcontracts with data from the Manage Vendors screen is also added in Costpoint 8.2.12 (Feature 1968585). If you are in Costpoint Cloud, you can choose to opt in to this feature. The ability to opt in is temporary and will be removed when the feature becomes automatically enabled for all users as part of a future Costpoint release. See the Manage Opt-In Features topic for more information.

If vendor approval is enabled, you will not be able to save vendors that are unapproved (Approval Code is set to Not Approved). If the vendor has pending approval or is on a warning status, Costpoint displays a warning message but you will still be able to save the record.

You can use to see which vendors have an active exclusion status (that is, the Active SAM.gov Exclusion checkbox is selected for the vendor in the lookup). If you select a vendor that is on the SAM.gov exclusion list and save the record, Costpoint gives out a warning message. On the Warning dialog box, you can click Ok to continue saving or click Cancel to return to the record and select a different vendor.

The unlabeled field to the right displays the subcontractor/vendor name as a hyperlink that you can click to open the Manage Contract Management Vendor Info screen and view additional information about the subcontractor/vendor.

Vendor Record Status This field indicates the status of the subcontractor/vendor ID. Valid values are Vendor and Prospective Vendor, with the latter displaying in red.
Note: This new field is added in Costpoint 8.2.12, together with the ability to assign prospective vendors to subcontracts. If you are in Costpoint Cloud, you can choose to opt in to this feature. The ability to opt in is temporary and will be removed when the feature becomes automatically enabled for all users as part of a future Costpoint release. See the Manage Opt-In Features topic for more information.
Record Status

Select the record status of the subcontract. Valid values are Active and Inactive.

If this subcontract is active and linked to a contract and/or project, and you updated its record status to Inactive, the contract and/or project will remain linked to this subcontract.

Exclude from Reports Select this check box to exclude the subcontract from reports available in the CRM & Contracts domain. This is important when you need to generate reports and exclude certain types of contracts (for example, indefinite delivery/indefinite quantity and blanket purchase agreement contracts or subcontracts) to avoid overstating the reports.
