Approve Prospective Vendors
Use this screen to approve prospective vendors and convert them into regular vendors.
You can also access this screen from the Materials domain.
You can also use this screen to disapprove one or multiple prospective vendors.
All prospective vendors with a status of Pending in Manage Prospective Vendors are automatically displayed when you load this screen. After you approve these vendors, their vendor record status is changed to Vendor.
If the Requires Approval checkbox is selected on the Configure Vendor Settings screen, the prospective vendors you approve on this screen will still need to be approved on the Approve Vendors (APMVENDA) screen before they can be used in vouchers and cash disbursements.
If you are licensed for Capture and Contracts, this screen is also available as a standalone application in that domain, Approve Prospective Vendors (CTMVENDA). When you approve prospective vendors on this screen, Costpoint performs validations to identify if there are similar and/or duplicate records in Approve Prospective Vendors (CTMVENDA) and Manage Vendors (APMVEND).
If you are licensed for Supplier Portal, you can set up a prospective vendor contact to automatically have a user account created for them, or have a request submitted to a system administrator to create one once you approve that prospective vendor, depending on the option selected in the Supplier User Login Creation drop-down list of the Configure System Settings screen.
If the prospective vendor that you have selected for approval has an active exclusion record in SAM.gov, Costpoint displays a warning message when you perform any of the following actions:
- Change the status of a single prospective vendor to Approved
- Click the Approve All button and then save the record
On the warning message dialog box, you can select either Cancel to go back to the screen and select another prospective vendor to approve, or OK to approve the currently selected prospective vendor and convert it to a regular vendor.
If you are licensed for Costpoint Planning, a prospective vendor or its related employee can be assigned to a new business budget. Upon approval of the prospective vendor on this screen, Costpoint automatically updates the resource type (from prospective vendor or vendor employee to regular vendor or vendor employee) and the related ID on the Hours subtask of the New Business Budgets application.
