Syncing project information to CRM

Not available in ajeraCore or ajeraCore + add-ons

When a project is created in CRM, a new option is available in the Project Command Center to sync project information from Ajera to CRM. The option is selected to sync back to CRM by default. If the option is unchecked, project information will not be written back to CRM. Once the project is created in CRM, it is added to the mapping table and updates are synced during the normal process.

When creating a project in CRM from Ajera, the integration will assign a project number using the project ID assigned to the project in Ajera. If the Ajera project does not have a project ID and CRM is using auto-numbering for projects, the next available number will be used as the project ID. If CRM does not use auto-numbering and the project ID does not exist in Ajera, the project will not be created in CRM and the Integration log will have a detailed error message.

You can also create a project in CRM from Ajera for projects that do not start as an opportunity.

All information on your project information list is updated back to CRM if it has changed in Ajera except Project ID and contacts. If you change the contacts in the Ajera project, you will also need to change it in CRM.

Both Simple CRM and Ajera CRM/CRM Plus send project information, dates, Project Team information, and cost information.

In addition CRM Plus sends over Budget, Revenue, and Ajera project totals to CRM and is available in dashparts in Vantagepoint CRM or as tabs in the Project Info Center in Ajera CRM.

Project information is written back to CRM at the project level only.

Only projects that have had changes made in the Project Command Center or that have had transaction information changed (time and/or expenses entered, invoices finalized, or receipts entered) since the last sync will be updated to CRM. During the next sync, the project will be created in CRM and you will see an entry on the Integration Log with the Method "Vantagepoint Add Project."

Below is specific information that is synced from Ajera to CRM:

Employee Team

  • Employee Team in CRM Plus / Simple CRM is located in the Projects Hub on the Team tab in the web application .

  • Employee Team with total hours worked appear on the new Team tab in Ajera CRM. This includes any employees who enter time to the project along with the Employee Type and total hours worked.
Note:

Employee Sync needs to be turned on in the Integration setup or the Employee needs to be set up manually in CRM for Employee Team to sync.

Ajera employee types must be set up as employee roles in Ajera CRM.

Budget and Revenue

  • In DPS CRM, this is located in the Project Hub in the desktop application.

  • Reported Percent Complete, Overhead multiplier, and contract amounts by activity type appear on the Budget & Revenue tab in Ajera CRM.
  • In Vantagepoint CRM Plus, this is located on the Ajera CRM Projects dashboard located in My Stuff > Dashboards in the Ajera CRM Budget & Revenue dashpart.

Dates and Cost

  • In CRM Plus / Simple CRM, this is located in the Projects Hub in the web application.

  • Estimated and Actual Start and Completion dates and Cost budget entered on the Manage tab in the PCC at the project level appear on the Dates & Cost tab in Ajera CRM.

Project Totals

  • In DPS CRM, this is located in the Projects Hub in the desktop application. Ajera project totals for Spent, Billed, Work in Progress (WIP), Cost, and Received by activity type appear on the Ajera Totals tab in Ajera CRM. These totals are based on actual information entered to the project in Ajera.

  • In Vantagepoint CRM Plus, this is located on the Ajera CRM Projects dashboard located in My Stuff > Dashboard in the Ajera CRM - WIP, Ajera CRM - Cost, Ajera CRM - Spent, and Ajera CRM - Received dashparts.

Business Development

  • In Vantagepoint CRM, this is located in the Projects Hub in the web application.
  • Vantagepoint CRM's Primary Client and Probability syncs to Ajera's Business Development Phase Client and % Chance of Winning.
  • Vantagepoint CRM's Stage Step and Won/Loss Date syncs to Ajera's Business Development Phase Final Disposition Status and Completion Date.

Vendor Information

  • In Vantagepoint, this is located in the Projects > Teams > Firms grid or Firms > Associations > Projects grid.
  • The Vendor in Ajera syncs to the Firm in Vantagepoint and the Vendor Description syncs to the Firm Name in Vantagepoint.
  • The Vendor ID in Ajera syncs to the Account ID in Vantagepoint.
