Splitting client invoice transactions

You can split a transaction associated to labor or expense and consultant fees. You might want to split a transaction to include part of the amount on the current invoice and the remainder on a later invoice.

If you are using Vendor Invoice Approvals and an invoice needs approval, you will not be able to split client invoice transactions unless the invoice has been paid or partially paid.

Note:
  • When you split a transaction, it becomes two totally separate transactions. Ajera creates a reversing entry in the general ledger for the original transaction and new general ledger entries for the two new transactions.
  • Multi-company only. Ajera creates intercompany entries when you split work-in-progress (WIP) or move WIP from one project to another. Be sure to reconcile your intercompany accounts regularly.

To split client invoice transactions

  1. Open the client invoice you want to change.
  2. Right-click the transaction that you want to split and click Split Transaction.
  3. Do one of the following:

Involves units or hours

  • In the Bill Now column, type the new units (Expense & Consultant tab) or new hours (Labor tab) for the first new transaction.

Ajera enters the units or hours for the second new transaction in the Bill Later column. It subtracts the amount you entered in the Bill Now column from the amount of the original transaction.

Ajera calculates the amounts of the new split transactions for you by multiplying the units or hours by the rate.

Does not involve units or hours

  • Press the Tab key or click the Amount cell.
  • In the Bill Now column, type the amount for the first new transaction.

Ajera enters the amount of the second new transaction in the Bill Later column. It subtracts the amount you entered in the Bill Now column from the amount of the original transaction.

  1. Click OK. The Bill Now transaction appears in the table. To see the Bill Later transaction, click the Entries button.
  2. Make any other changes to the transactions as needed.
