Project Command Center window (Invoices tab)

The Invoices tab of this window displays the Invoices inquiry, which is accessible only from the Project Command Center. Use this inquiry to review client invoice details and to preview client invoices.

If your security settings allow you to change inquiries ( > Setup > Company > Roles > General tab > Manage custom reports and inquiries check box), you can change this inquiry as you would any other inquiry except for conditions, which are not available.

Unlike other inquiries, the Invoices inquiry is the same for all employees who have permission to view it ( > Setup > Company > Roles > Projects tab > Invoices subtab). Any changes to the inquiry are visible to anyone with access to it.

If employees also have permission to change inquiries, they can change the inquiry or click (Revert) on the inquiry toolbar to discard any changes to the Invoices inquiry.


Cutoff date

Ajera assigns the current date as the cutoff date and displays it at the top of the inquiry in blue underlined text. To change the cutoff date, click the blue underlined text, and select a date.

Invoice Detail  

The Preview Invoice link appears in this column if all of the following apply:

  • The invoice does not have a beginning balance.
  • The invoice is not written off.
  • The invoice is not for finance charges.

When you click the Preview Invoice link, it opens the Client Invoice Preview window.

Billing Review Stage

Billing Review History

The current billing review stage of the client invoice

Invoice Status

 

Determines if the invoice is billed to the client

Examples: Approved, Draft, Final, Hold, Reissue, Writeoff

The name of the client associated with the invoice

Project ID & Description

Project

The ID and description of the project associated with the client invoice

Invoice Number

Client Receipt

The user-provided identifier of the client invoice

Invoice Date  

The date the invoice was created

Aging is based on this date.

Amount   The total amount of the client invoice, including labor, expense, consultants, adjustments, and sales tax
Amount Received

Client Receipt

The amount of the invoice paid by the client

Amount Written Off

Client Receipt

The amount of the invoice written off for the client

Outstanding   The amount of the invoice remaining to be paid by the client as of the invoice date

Cutoff Date

 

The date Ajera uses to determine which transactions are billable and can be attached to the client invoice

Transactions before the cutoff date have a status of Billable; those after the cutoff date have a status of Defer. If you do not use a cutoff date, Ajera uses the invoice date to determine billable and deferred transactions.

Billing Review:

Project Manager Action

  Indicates whether a client invoice is ready for review by the project manager

Billing Manager Action

  Indicates whether a client invoice is ready for review by the billing manager

Principal Action

  Indicates whether a client invoice is ready for review by the principal

Accounting Action

  Indicates whether a client invoice is ready for review by accounting

Billing Review Stage Key

  The database identifier of the current billing review stage of the client invoice

Billing Review Stage

Billing Review Due Date   The date when the review should be completed

Amounts:

Amount Labor

 

The amount of the labor cost on the client invoice

Amount Expense

 

The amount of expenses on the client invoice

Amount Consultant

 

The amount of consultant costs on the client invoice

Amount Adjustment

 

The amount of any change you made to the final amount on the invoice, such as a discount

Amount Sales Tax

 

The amount of sales tax on the client invoice

Balance as of Invoice Date

 

The amount remaining to be paid by the client as of the invoice date
