Entering beginning balances for unbilled WIP

If you entered an amount for your WIP accounts in your beginning balance trial balance or have items before the beginning balance date that you want to include on invoices, you need to enter any labor, expense, and consultant items that made up that amount. Entering them here ensures that you are able to bill these entries when ready and keep your financial reports in balance.

If you were not previously tracking work-in-progress (WIP) in your financials and you want to begin doing that in Ajera, credit your Unbilled Revenue account and debit your asset account. WIP appears on the Balance Sheet.

To enter beginning balances for unbilled WIP

  1. From the > Setup menu, click Company > Beginning Balances > Unbilled Work-in-progress.
  1. On the Labor tab, complete one row of the table for each item of unbilled labor.
  2. Add these optional columns to the table, as needed:

Company

Multi-company only.

View only - The company associated with the unbilled labor.

Employee type

If the employee performed work different from that entered as their employee type (Setup > Employees > General tab > Employee Type field), select the employee type you want to print on the invoice for this item.

Hours type

If the hours worked are not Regular time, make a selection in this field.

Sales tax amount

If you bill sales tax to your client, type the sales tax amount for this item.

Notes

Enter any notes for the item.

For unbilled work that is vendor related, type the vendor name in the Notes field. Be sure to print notes on the invoice by selecting the Print notes check box for the invoice format ( > Setup > General > Invoice Formats > Time & Expenses tab).

  1. Click the Expense & Consultant tab, and complete a row of the table for each unbilled expense or consultant item:

Status

To enter a status other than Billable, make a selection in this field.

Date

Enter the date of the item.

Project

Enter the project associated with the item.

Phase

Enter the phase associated with the item.

Activity

Enter the activity associated with the item.

Units

Type the number of units associated with the item.

Billing amount

Enter the amount you want to bill.

View or change the unit description, as needed.

Sales tax amount

If you bill sales tax to your client, type the sales tax amount for this item.

Activity type

View only - The activity type of the transaction

Notes

Enter any notes for the item.

  1. Click Save.
  2. Click Close.
