Revenue Generation Form

Use the Revenue Generation form to select the projects on which to run Revenue Generation, update the percent complete amounts for projects whose revenue method formula includes a percent complete amount, and run Revenue Generation.

When you use Vision's Multicompany feature, you must run Revenue Generation separately for each company in your enterprise.

If you use the Multicurrency feature, this form shows currency exchange date fields. Use these fields to specify the date to use for the currency exchange rate.

From the Vision Navigation menu, click Accounting > Revenue > Revenue Generation.

Toolbar Options

Field Description
Update %

Use this option to open the Update Overall Percent Completes dialog box. On this dialog box, you can review project data for budgeted and spent amounts at cost rates or at billing rates from the Project Budget Worksheet.

Budget data from Vision Planning is not available on this dialog box.

When you select this option, you choose how you want the information in the Update Overall Percent Completes dialog box to display:

  • Show Budget At Cost — The displays the selected project's budget data at cost rates.

  • Show Budget At Billing — This displays the project's budget data at billing rates.

Run

After you select projects and set options on the Revenue Generation form, click this button to run Revenue Generation now.

Schedule

Click this button to open the Schedule dialog box for the Process Server. Select from the options on the form. You send this Revenue Generation processing job to a queue. The Process Server starts the Revenue Generation procedure. This makes it possible to run Revenue Generation on another machine, at night, or on the weekend. It also makes your work station available to you for your other work.

Click this button if you modified the settings on this form, and you now want to return them to the original settings provided by Vision, which were in place before you modified the settings.

Select Specific Project

Use this option to select the projects:

  • For which you are specifying the settings on this form

  • On which to run Revenue Generation

  • Whose percents complete you want to examine or update in the Update Overall Percents Complete dialog box

Use project reporting default terms for WIP @ Billing calculations

Work in progress (WIP) calculations make it possible to calculate accrued revenue for work that is complete but not yet billed.

If you select this option. Revenue Generation calculates revenue for work in progress by using any billing terms for expenses and labor that are specified for a project. If a project has no billing terms specified for expenses and labor, Revenue Generation uses the usual billing terms that are specified in Project Reporting for Regular projects. This option applies to all projects that are selected for the Revenue Generation processing run. Vision also uses project billing terms to earn WIP revenue on projects that do not show specific  Labor and Expenses amounts on the invoice. Examples would include projects whose contract specifies a fixed fee or a lump sum.

Replace existing unposted revenue generation journal entry of same file name

Select this option to replace the unposted Revenue Generation transaction file. This action  does not erase archived revenue generation files. When this option is cleared, a notice is shown. It tells you that if you continue, you will overwrite a RevGen transaction file.

To open a Revenue Generation transaction file, use the Transaction Center.

Post revenue as it is generated (do not create a transaction file)

Data is not shown in reports until it is posted. Usually you must post the new revenue in a separate procedure, before you can generate the reports to show the revenue.

Select this option to go around the separate posting procedure.  For example:

  • You run Revenue Generation on a project whose data is updated, to make it possible to generate new project reports for the project manager.

  • You prove out a project's revenue method. It is necessary to compare the revenue on a project report to the revenue calculated by Revenue Generation. If you select this option, the Journal Entry File Name field is inactive.

Deltek recommends that you do not use this option unless you know the amount to be posted or you want to use the amount to prove out a revenue method.

Transaction Date Enter or select the transaction date for the revenue journal entries.
This field is only available if both of the following are true:
  • Vision is configured to require that transaction dates fall within the current fiscal year or current fiscal period. The date you enter must meet that requirement.
  • Vision is not configured to support multiple currencies.
Journal Entry File Name This field shows the filename for the journal entry file that you create when you run Revenue Generation. Use this field to edit the usual filename, which is equivalent to "RevGen[today's date]. It is necessary for the first six letters to be RevGen.

If you use the Multicompany feature, the filename has a suffix that identifies the active company; for example, "RevGen[today's date]AA".

Basis for Planning Calculations

If you run Revenue Generation on projects that use a user-defined revenue method with a Resource Planning data field, use this option to specify the cutoff date for the Plan data to use. Consider the revenue method formula, the plan, and the revenue to accrue.

Currency Exchange Date If you use the Multicurrency feature, specify the date to use to calculate the amount that is converted from the project's billing currency to the functional currency of the active company, or for any other currency exchange. Revenue Generation calculates revenue in the project's billing currency. To post it to the General Ledger, it changes this amount to the equivalent amount in the active company's functional currency.

Enter data in this field before you open the Update Overall Percent Completes dialog box. The currency exchange date controls the amounts that are shown in that dialog box.

If Vision is configured to require that transaction dates fall within the current fiscal year or current fiscal period, you can only select Today's Date if the current date meets that requirement. Similarly, if you select Specific Date, the date you enter must meet that requirement.

Diary This field displays only if you have set up a diary in Accounting System Settings Configuration for the fiscal period or fiscal year in which you are entering transactions. Use this field to select a diary code for the current transaction or the group of transactions if you are processing a group of transactions, such as an accounts payable payment processing run. The diaries are used to generate diary reports that contain a set of sequentially numbered transactions that have been posted to the general ledger during the fiscal year or to specific fiscal periods. You can assign different diaries (that have different diary types) to different types of transactions.

The Diary drop-down list contains three columns. The first column displays the diary code. The second and third columns display the diary type for the diary code and the description of the diary type.

The drop-down list contains all the diaries that you set up on the Transaction Auto Numbering tab in Accounting System Settings that have the same fiscal period or fiscal year in which you are entering transactions, or no fiscal period or year entered for them.

If you have multiple companies, the Diary drop-down list includes only the diary codes that are set up for the current company. The list also includes IC - Intercompany Diary to capture intercompany transactions.

You cannot delete a transaction after it has been saved with a diary number. If a transaction is incorrect, you can enter zero amounts for the transaction, or enter a reversing transaction.
