Change a Project's Stage

As you actively pursue a new project, you can track its progress through your pipeline by changing the project stage (for example, from Qualified to Proposal Created to Proposal Submitted). Eventually, you end the pursuit process and assign the project to a stage, such as won or lost, that is not designated as an in pursuit stage.

Only regular projects (those that have the Regular charge type) have stages; overhead and promotional projects do not.

Note also that the information in this help topic applies only if the CRM or CRM Plus module is activated. If neither of these is activated but the Resource Planning module is activated, you can change a project's stage from the In Pursuit stage to either the Won stage or Lost stage, but you cannot enter any other information about that change. If none of these modules is activated, you cannot assign projects to stages, and all regular projects are treated as won projects.

In setting up the available project stages on the Lists form (Settings > Labels and Lists > Lists), your administrator specifies for each stage whether it represents a step in the pursuit process, a win, a loss, or a decision to not pursue.

If you change the stage to a won stage and your security role is for Accounting users, the Approved for Use in Processing checkbox on the Accounting tab of the Projects form is selected automatically at the project level of the WBS to indicate that accounting transactions can now be entered for the project. Note, however, that this checkbox is not automatically selected for any lower level WBS elements; you must select it individually for any of those elements that you want to approve for processing.

Depending on how Vantagepoint is set up and depending on what the prior and new stages are, changing the stage of a project may also change whether or not the project should be included when calculating utilization and scheduled hours and percentages that are used for resource planning and resource management. That calculation status is displayed in Capacity Calculation in the summary pane.

To change a project's stage:

  1. In the Navigation pane, select Hubs > Projects, and select any of the options under Projects.
  2. At the top of the Project form, enter either a complete or partial name or number in the Find project lookup field to find and select the project for which you want to change the stage.
  3. Click next to Stage in the summary pane.
  4. In Stage on the Stage dialog box, select the stage to which you want to assign the project.
  5. Do one of the following:
    • If you are moving the project from one in pursuit stage to another in pursuit stage, continue with the next step.
    • If you are moving the project to a won stage, select the date that the contract was awarded in Won/Lost Date and the reason you are changing the stage in Won/Lost Reason, and enter any additional information related to the win in Won/Lost Notes.
    • If you are moving the project to a lost stage, select the date that you lost the contract in Won/Lost Date and the reason you are changing the stage in Won/Lost Reason, and enter any additional information related to the loss in Won/Lost Notes.
    • If you are moving the project to a do not pursue stage, select the date that the decision was made to not pursue the project in Won/Lost Date and the reason for the decision in Won/Lost Reason, and enter any additional information related to the decision in Won/Lost Notes.
  6. Click Change Stage.

    If you change the stage to a won stage and your security role is for Accounting users, the Approved for Use in Processing checkbox on the Accounting tab of the Projects form is selected automatically to indicate that accounting transactions can now be entered for the project.

    If you change the stage to a lost or do not pursue stage, the status of the project is changed to Inactive. If the project has a linked promotional project , you are also given the options to change the status of the promotional project to Inactive or Dormant or to leave it with the Active status.

An alternative to the above procedure is to click Edit on the Actions bar to put all project data, including the stage information, into Edit mode.
