Dates & Costs Tab of the Projects Form

Use the Dates & Costs tab to enter or review project cost data and keyproject dates. The information on this tab provides a snapshot of a project's budget and both upcoming and past milestones. You can enter costs and milestones at the project level and for individual work breakdown structure (WBS) elements at any lower WBS levels.

The WBS level that you are viewing does not affect the layout of fields, but it can change the information displayed in certain fields. For example, on the Summary pane, the project number is the same regardless of the level that you are viewing, but contract start and end dates can be different at the project, phase, and task levels.

If you navigate to a different WBS level using the Project Structure dialog box, the data refreshes to reflect the database values for the selected level. When a field contains the same data at each level, you can edit that field only at the project level. For those fields that contain different data at each level, you can also edit the fields at the phase and task levels, if you have the proper security rights at the project level.

Use these fields to enter expected costs for the project as a whole and for other WBS elements.

Field Description
Total Project Cost Enter the primary contractor's total cost of completing the work for the selected WBS element.
Total Project Cost Comment Enter any comments related to the total project cost amount.
Our Cost Enter the total cost to your enterprise for completing the work for the selected WBS element. If you are a subcontractor, this amount is less than the total project cost amount.
Our Cost Comment Enter any comments related to the cost amount for your enterprise.

Contents: Milestones Grid

This grid displays the milestones for the currently selected WBS element. These can include milestones both for the pursuit process and for the life of the project after you win the contract. If the WBS element has lower-level elements below it in the WBS, milestones for those lower-level elements display also. For example, if you are viewing data for a phase, the grid contains milestones for that phase and milestones for any tasks under that phase in the WBS.

Date

Select the date for the milestone.

Milestone

Select the milestone name or description.

The drop-down list contains a set of predefined system milestones, and, if the CRM module or the CRM Plus module is activated, it may also contain additional milestones that your system administrator sets up. You can only assign a system milestone once to a given WBS element (for example, only one Actual Start milestone), but you can assign other milestones multiple times (for example, multiple Interview milestones with different dates).

Note that if you switch to List view for your project, only one date can display for each milestone type. If you assign more than one of the same milestone type for a project (for example, multiple Interview milestones with different dates), then only the most relevant date displays in List view:

  • If the milestone occurs on the current day or in the future, the List View grid displays the current or the closest next milestone date.

  • If there are no milestones in the future, the grid displays the last date this milestone occurred.

The system milestones are listed below using their default labels. Note, however, that the default labels for some system milestones may differ based on your primary industry, and your system administrator can change any of these labels to match the terminology that your enterprise uses.
  • Estimated Start: Expected start date for the WBS element.
  • Estimated Completion: Expected completion date for the WBS element.

    When you create a new project without copying another plan, Vantagepoint creates an empty plan for that project using default settings. Generally, the date in this field for each WBS element is used as the default plan end date for that WBS element. However, a later default plan end date may be used if that is necessary to include the full plan date ranges for all WBS elements at lower WBS levels.   • Bid Submitted: Date on which you submitted your bid for the WBS element.
  • Contract Awarded: Date on which you were awarded the contract for the WBS element.
  • Actual Start: Date on which you started work on the WBS element or the date on which you intend to start work. When you create a new project without copying another plan, Vantagepoint creates an empty plan for that project using default settings. Generally, the date in this field for each WBS element is used as the default plan start date for that WBS element. However, an earlier default plan start date may be used if that is necessary to include the full plan date ranges for all WBS elements at lower WBS levels.   • Professional Services Completion: Date on which your company completed all professional services work on the WBS element or expects to complete all such work. This includes any professional services you provide after you have completed construction-related activities on the WBS element. This date might be after the construction completion date.
  • Construction Completion: Date on which your company completed all construction-related activities on the WBS element or expects to complete all such work.
  • Actual Completion: Date on which your company actually completes all work on the WBS element or expects to complete all work.
Notes Enter any additional information about the milestone that you want to save.
To delete a milestone, hover over the grid row, click this icon at the end of the row.
+ Add Milestone To add a new milestone, click + Add Milestone below the grid, and enter the milestone information in the empty row that displays.
