Contacts Overview Tab

The Overview tab provides a snapshot of the selected contact's description, most recent in pursuit project and activity, firm address and associated market, and any other contact addresses and associated currencies.

When you click the add record option on the form to add a new record to the hub, you enter information in the fields on this tab. To edit information on this tab after you save a new record, hover over a field name and click to open the field in edit mode. Alternatively, you can use the Actions bar and select Edit to edit any fields on any of the tabs in the hub without having to hover over a field name and click . Some fields, such as calculated fields, cannot be edited.

The field descriptions in this topic describe how to enter information for a new record.

If your enterprise uses CRM Plus and enables the Lead Qualification Process in Settings, the Contacts hub includes additional features that allow you to manage the entry and qualification of contacts during the sales process. This impacts the fields and information that display on the Overview tab. See Qualifying Contacts for additional information.

Name

Field Description
First Name, Middle Name, Last Name, Preferred Name

In the name fields, enter the contact's name; Last Name is required. When you move the focus from these fields, Vantagepoint compares the contact's name to existing contact names. If it detects possible matches, it displays a list of those contacts so you can determine if you are adding a duplicate record. If you are still not sure, click a contact in the list to display the full contact record on a separate browser tab.

Salutation, Suffix, Professional Suffix, Title Select the contact's salutation, suffix, professional suffix, and title if any apply. Your system administrator defines these options in Settings > Labels and Lists > Lists.

Contact Information

These fields display the contact's phone numbers and email address.

Field Description
Phone, Fax, Pager Enter the contact's phone numbers. You can use the phone format list to specify the desired format for the phone numbers. The options that display are defined by your system administrator.

For example, if (###) - ### - #### is the selected format, when you enter 5552231122 it automatically formats as (555)-223-1122. Or, if ###.###.#### is the selected format, when you enter 5552231122, it automatically formats as 555.223.1122.

Depending on your configuration, you may be able to select Do not format to leave the phone number as typed without any formatting.

Email Enter the contact's email address.

Firm

Field Description
Firm Name/Firm Lookup Enter the name of the firm that is associated with the contact.

If your enterprise uses CRM Plus and enables the Lead Qualification process in Settings, the field displays a lookup which allows you to select a firm record from the Firms hub.

Firm Address Use these fields to record the business address and phone numbers for the location with which the contact is associated.

Note that the Country field displays the default country as configured in the Defaults tab of the My Preferences dialog box (to display the dialog box, click on the Vantagepoint toolbar and select My Preferences).

Select the Mailing checkbox if the firm address is the mailing address for the firm. When you save the record, a icon displays next to the address to indicate a mailing address.

If your firm uses CRM Plus and enables the Lead Qualification process in Settings:

  • Use the lookup to select a firm record from the Firms hub.
  • If the contact has a status of New Lead, you can enter an address without linking it to an actual firm address.
  • If the contact has a status of Qualified, it must be associated to an actual firm and firm address.

Other Information

Field Description
Market Select a type of market for the firm. Your system administrator defines these options.
Website

When a contact has a status of New Lead, you can enter a website for the contact. If the contact has a status of Qualified, this field displays the firm's website and is read-only.

Rating Use this field to select the contact's level of interest in your firm. Your system administrator defines these options.
Description

Enter a description of the contact. For example, enter text about the contact's history, experience, or connection to your firm.

Currency Code This field displays if you use multiple currencies and add a custom currency field.
Other Address Because a contact may have two associated address, you can use these fields to enter the additional address and phone number.

Note that the Country field displays the default country as configured in the Defaults tab of the My Preferences dialog box (to display the dialog box, click on the Vantagepoint toolbar and select My Preferences).

After you add an address on the Overview tab, you can click next to the Other Address fields to open the Other Address dialog box. Enter an additional address and phone number for the contact record.

If displays next to an address on this field, the address is the contact's mailing address. Each contact may only have one designated mailing address. A designated mailing address is important because you can export a list of contact mailing addresses to be used when generating a mass mailing.
