Employee Group Member

The Employee Group Member tab on the Employee Group form is used to view and configure person records that are assigned to specific Employee Groups. Employee Groups allow you to assign uniform settings, such as policies and custom dictionaries, to all members of a group simultaneously. You can also assign managers to employees; include and exclude people from service instances; restrict employees from using certain events on terminals; and more.

A person can belong to several Employee Groups simultaneously and can appear in the same group multiple times, but with different start and/or end dates.

Employee Group Member Field Descriptions

Employee Num

Person Number of the Employee Group Member.

RCD Num

Person's Rcd Num as defined on the Employee form.

First Name, Last Name

First and last name of the Employee Group Member.

Current Status

The employment status with the company. It is used to determine whether the person can post labor or perform supervisory functions. May also be used to determine eligibility for benefits and payroll.

Current Status is determined by the Employment Status in a person’s Employment Profile record. If a record does not have a configured Employment Profile, the Current Status is set to INACTIVE.

ACTIVE employees have full use of the program. They can post labor. Supervisors can view active employees on the Supervisor Review form.

INACTIVE employment status is typically used for employees that take extended leave time but will eventually return to work. Inactive employees may not log in or post time to their timecard via the web timecard or a client terminal. Supervisors can still view timecards for inactive employees on the Supervisor Review form (Current Situation and Time Card Review). Supervisors can cancel and modify transactions for inactive employees. However, supervisors cannot post new transactions for inactive employees.

TERMINATED employees cannot use the application because the system does not grant access to terminated employees on or after the termination date (the Start Date of the Employment Profile record with an Employment Status of TERMINATED). A supervisor with the SUPERVISOR_ADMIN item in their Security Data Role can still view timecards for terminated employees on the Supervisor Review form (Current Situation or Time Card Review).

Effective Date

Use this field in the Filter area of the form to look up Employee Group Members whose Start Date/End Date range includes this date.

Start Date

The date when this person became an active member of the group.

End Date

The date when this person becomes an inactive member of the group.

Update Date, Updated By

These fields display when the record was created or updated, and the person who created or updated the record.

Person Name

Displays the first and last name of the Employee Group Member in a single field.

 

Find an Employee Group Member

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record you want to view.

  3. Click the Employee Group Member tab.

  4. To view specific members of this group, click the  Filter button. Use the Employee Num, First Name, Last Name, Current Status, and Effective Date fields to specify a person.

    You can use the * or % wildcard symbol in the Employee Num, First Name, and Last Name fields to search using partial values. The wildcard symbol can be placed anywhere in your search value to represent unknown characters. For example, to find employees whose first name, last name, or employee number starts with the letter b, enter b%. To find employee numbers (or first and last names) that include 007, enter %007%.

    Use the Effective Date field to look up Employee Group Members whose Start Date/End Date range includes this date.

    Use the Current Status field to look up Employee Group Members with a particular employment status (Active, Inactive, or Terminated).

  5. Click Find.

 

Add an Employee Group Member

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record you want to view.

  3. Click the Employee Group Member tab.

  4. Click Add.

  5. In the Employee Num field, enter the Employee Number. You can also click the button to open the Employee pop-up form and select an employee from the list. 

    The Employee Name field automatically updates with the employee's name.

  6. Select a Start Date and an End Date.

  7. If you want to add another Employee Group Member record, click Save and Add to save your settings and keep the pop-up window open. Otherwise, click Save to save your record and return to the main form.

 

Copy an Employee Group Member

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record you want to view.

  3. Click the Employee Group Member tab.

  4. Select the Employee Group Member record you want to duplicate and click Copy.

  5. You can modify the Employee Num, Start Date, and End Date.

  6. If you want to add another Employee Group Member record, click Save and Add to save your settings and keep the pop-up window open. Otherwise, click Save to save your record and return to the main form.

 

Modify an Employee Group Member

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record you want to view.

  3. Click the Employee Group Member tab.

  4. Select the Employee Group member record you want to modify and click Modify.

  5. You can modify the Start Date and End Date.

  6. Click Save.

 

Delete Employee Group Members

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record you want to view.

  3. Click the Employee Group Member tab.

  4. Select the Employee Group member record you want to delete and click Delete.

  5. To delete all the members from the Employee Group, click Delete All.

  6. Click OK in the pop-up box to confirm the action.
