Hours Subtask

Use this subtask to view, copy, or create labor hour records for staff, subcontractors, and consultants.

The following fields display on the Staff Hours subtask.

  • Hide: Click this button to hide project budget/EAC resources that have the Hide Row check box selected.
    Note: This button only displays if the Enable Subtask Row Hide check box is selected.
  • Unhide: Click this button to display hidden project budget/EAC resources.

    This button only displays if the Enable Subtask Row Hide check box is selected.

Column Headings Description
Hide Row Select this check box if you want to hide the project budget/EAC resource.
Note: This column displays only if the Enable Subtask Row Hide  check box is selected.
Warnings This column displays the number of warnings that occurred per record.
Note: The Warning messages display on the Warnings subtask.
Hours Type Select the type of hours you want to enter. Choose from the following options:
  • Staff Hours
  • Subcontractor Hours
  • Consultant Hours
ID Type Select the resource ID Type. The options that display vary depending on the value selected in Hours Type.

If you chose Staff Hours, options include:

  • Employee
  • Generic Labor Category
  • Generic Staff
  • Key Entry
  • Project Labor Category

If you chose Subcontractor Hours or Consultant Hours, options include:

  • Contract Employee
  • Generic Labor Category
  • Key Entry
  • Project Labor Category
  • Vendor
  • Vendor Employee
Name This column displays the name of the resource.
Status This display-only column displays the status of the employee (for example, Active or Inactive). This information can assist you in deciding whether to include or remove the resource from the budget.
Acct ID This column displays the labor account ID of the resource.
Org ID This column displays the Organization ID of the resource.
GLC/PLC This column displays Project Labor Category or General Labor Category of the resource.
Hr Rate This column displays the employee's rate per hour based on the current period of the budget.
Note: By default, the Hr Rate is displayed when Labor Suppression in Manage Users is set to OFF. You can set the Hr Rate to be displayed or not using the Project tab of Configuration Settings. When Labor Suppression is set to ON the Hr Rate is not displayed.
Rev Clear the check box in this column for any individual resource where you do not want revenue calculated.
Brd This column displays the overhead expenses for the project selected.
Total Inc Pending

This column displays the total EAC amount plus the current pending charges.

Pending

This column displays the pending charges.

Prev EAC This column displays the value of the previous EAC.
Note: The Prev EAC column is included only on Working status EACs.
Total

Enter total hours for the resource in this field.

You can then manually distribute those hours per period, or click the Tab key to display the Distribute dialog box, where you can select an option for automatically distributing the total hours across all the periods.

In the Distribute dialog box, begin by selecting an option from the Distribution Method drop-down list. Choose from the following:
  • Evenly (linear): This method divides the value that you enter in Total by the total number of periods and then distributes the result equally across them.

    For example, if the total is 1000 and there are 12 periods, 83.33 is applied to each period.

  • Percent of Available Hours: With this method, the calculation per period is based on a percentage of the total number of working hours that are available for the entire period of performance (PoP).

    For example, if the total number of working hours available in a 12-month POP is 2072, and 176 of those are available in the first period, the percentage (176/2072) for that period will be 8.4942.

    If you distribute 1000 hours, the first period will receive 84.942 hours after you click Distribute in the Distribute dialog box.

For EACs, the distributed value is automatically adjusted to reflect actuals.

Note: The Distribute dialog box also includes a Spread Points section, where the fields are display-only. The values in these fields populate from the Manage Distribution Spread Methods configuration application.
YY-MM-DD This displays the PTO hours per year. You can edit this field directly using the form.

Warnings Subtask

Use the Warnings subtask to view messages that identify potential issues on Working Status budgets for the selected record. This subtask displays only if warnings exist.

Column Headings Description
Cost Type This column displays the cost type.
ID Type This column displays the ID Type.
ID This column displays the ID.
Name This column displays the name of the resource.
Org ID This column displays the Org ID.
Acct ID This column displays the account ID.
Warning This column displays the warning message.

Employee Schedule Subtask

Use this subtask link when creating budget to view what other projects an employee has been budgeted on or to know what other schedule the employee is allocated/assigned to.

Note: This subtask only displays if Staff Hours is selected in the Hours Type column.

The following are the columns that display for the Employee Schedule table.

Column Headings Description
Project ID This column displays the project ID.
Source This column displays the source of the budget.
Version If more than one budget exists, this field displays the version number of each.
Manager This column displays the name of the resource's manager.
Total This displays the total per column information.
YY-MM-DD This displays the hours per resource per period. You can edit this field directly using the form.

Begins with the current month and shows data back six months.

Pending Charges Detail

This subtask links directly to Pending Charges Detail report and only displays for EACs.

Warnings Subtask

Use the Warnings subtask to view messages that identify potential issues on Working Status budgets for the selected record. This subtask displays only if warnings exist.

Cost Type This column displays the cost type.
ID Type This column displays the ID Type.
ID This column displays the ID.
Name This column displays the name of the resource.
Org ID This column displays the Org ID.
Acct ID This column displays the account ID.
Warning This column displays the warning message.

Employee PLC Table Details

The following are the columns that display for the Employee PLC table.

Column Headings Description
PLC This column displays the Project Labor Category code at the current level of the project for a selected employee.

If no PLCs exist at that level, Costpoint Planning displays the PLCs assigned to the employee at the lower level of the project, and if none exist at the lower level, it displays PLCs assigned at the higher level. Alternately, if PLCs are not assigned to the employee at either level, it displays the PLCs assigned to the project.

Description This column displays the description of the Project Labor Category.
Project ID This column displays the Project ID of the employee.

Advanced Search

The Advanced Search subtask displays if the budget/EAC has a status of Working.

Fill Value

This subtask displays only on Working status budgets or EACs. Use the fields on the screen to configure options for auto-filling the period columns with data from existing sources.

Start by selecting the row(s) you want to update and then click the Fill Values subtask link to display the Fill Values to Selected Record/s form, where you can select a fill method and set date parameters.

Select Fill Method

The Select Fill Method drop-down list provides four different options, which are described in more detail in the table below. Additional fields may display depending on the method selected, and each method requires you to select the range of periods you copy from.

For example, if Start Period set to 12/31/23 and End Period is set to 4/30/24, data for the selected method is captured for that range of periods. After you click Fill, the row or rows that you selected in the subtask populate with information encompassed by those dates.

The table below describes the four different fill methods and any additional fields that display.
Column Headings Description
Copy from Source Record Select this option to copy subtask row details from one resource to another. A Source Record field displays on the dialog box that enables you to select the record you want to copy from.
Specify Hours Select this option to fill the period columns of the selected rows with a specific number of hours. An Hours field displays on the dialog box, where you can type the hours.
Use Available Hours

Select this option to fill all the cells in the selected rows with the available number of hours that exist for that period.

Depending on configuration, that value may display by default in the header portion of column. If it does, the first number of the two, which are separated by a slash, represents the number of hours available.

For example, if 176/184 displays, then 176 hours will populate the cell of the selected after you click Fill.

Use Start Period Hours

Select this option to copy the hours that exist in the selected starting period to all periods up through the selected ending period.

For example, if you set Start Period to 12/31/23 and End Period to 9/30/24, the hours that exist in the first period are copied to every period up to 9/30/24.

Fill After you have selected your fill method and set the start and end dates, click Fill to populate the period columns of the selected rows in the Hours subtask.
