Posting/Vendor Information Subtask

Use this subtask to control the reference numbers that are posted when the Payroll Journal posts the deduction to the G/L.

Field Description
A/P Vendor ID

Enter, or click to select, the A/P vendor ID that is used when creating A/P vouchers. When you click , only those vendor IDs not on hold and whose Payroll Vendor checkbox is selected on the Manage Vendors screen display. If you enter an A/P Vendor ID for a U.S Savings Bond Deduction Type, Costpoint displays the following error message: Create A/P vouchers for U.S. Savings Bond type deduction are not allowed, they should be manually entered in Enter A/P Vouchers after the Create Savings Bond File is run.

Deduction Withholding

Use these fields to specify the reference numbers to be used for the employee's deduction withholding amount. The organization at the Balance Sheet Level (see the Manage Organization Structures screen) for the employee's home organization is used.

Field Description
Posting Account

Enter the general ledger account number to which deduction withholding for this company is posted, or click to select a general ledger account number. This is a required field. You must assign an account number in this field when the Deduction checkbox is selected on the Deduction Details tab.

Reference 1

Enter, or click to select, the reference number that must be posted for this deduction's withholding amount.

Reference 2

Enter, or click to select, the reference number that must be posted for this deduction's withholding amount.

Contribution Accrual

Use these fields to enter the reference numbers to be used for the employer's contribution accrual amounts.

Field Description
Posting Account

Enter, or click to select, the reference numbers to be used to accrue the employer's contribution. The organization at the Balance Sheet Level (see the Manage Organization Structures screen) for the employee's home organization is used.

Reference 1

Enter, or click to select, the reference number that must be posted for the accrual side of this contribution's amount.

Reference 2

Enter, or click to select, the reference number that must be posted for the accrual side of this contribution's amount.

Contribution Expense

Use these fields to enter the account and reference numbers to be used to expense the employer's contribution.

Field Description
Posting Account

Enter, or click to select, the expense account the Post Payroll Journal process will use when indirectly posting the employer contribution expense.

The account specified in this field must be set up as follows on the Manage Accounts screen:

  • The Detail checkbox must be selected.
  • The Project Required checkbox must not be selected.
  • The Active checkbox must be selected.

This field is available and required if the Contribution checkbox is selected on the main Manage Deductions screen.

Note:

This field is required even when the Direct charge employer contributions checkbox is selected on the Direct Charge Options tab of the Configure Payroll Settings screen. This account is needed in cases where the employee does not charge a project in the pay period being processed. In those cases, there would be no project for posting and the expense must be posted to a non-project-required account.

Contribution expenses will be posted to the employee's Home Organization from the Manage Employee Salary Information screen. If the Post employer payroll expenses at balance sheet level checkbox is selected on the Configure Payroll Settings screen, the contribution expense will be posted to the balance sheet level of the employee's home organization. An organization's balance sheet level is specified on the Manage Organization Structures screen.

Contribution Direct Expense

Field Description
Posting Account

Enter, or click to select, the expense account the Post Payroll Journal process will use when posting the employer contribution expense to projects.

The account specified in this field must be set up as follows on the Manage Accounts screen:

  • The Detail checkbox must be selected
  • The Project Required checkbox must be selected.
  • The Active checkbox must be selected

This field is enabled and required only if the Contribution checkbox is selected on the main Manage Deductions screen and the Direct charge employer contributions checkbox is selected on the Direct Charge Options tab of the Configure Payroll Settings screen.

Note: Contribution expenses will be posted to the employee's Home Organization from the Manage Employee Salary Information screen. If the Post employer payroll expenses at balance sheet level checkbox is selected on the Configure Payroll Settings screen, the contribution expense will be posted to the balance sheet level of the employee's home organization.
