Contents of the AR Review Form

You can specify client and contact information on this form, as well as the time frame for selecting invoices. You can also review project invoices, aging columns, retainage amounts, and retainer amounts.

Header Fields

Field Description
Search

Use the search field above the client name to search for and select the client that you want to review or edit.

To refine the results set, click the search filter drop-down arrow and select a standard, legacy, personal or shared search:

  • Active: Display a list of active firms.
  • Active Clients: Display a list of active firms designated as clients.
  • Active Vendors: Displays a list of active firms designated as vendors.
  • All: Display a list of all firms (both active and inactive).
  • Clients with Outstanding AR: Display a list of client firms for which an outstanding accounts receivable balance exists.
  • My Active: Display a list of firms that have a status of active and for which you are a member of the team or the owner.
  • + New Search: Select this link to create a new search for firms. Use both basic and advanced search features on the New Search dialog box to refine search criteria.

x of x Use these arrow icons to scroll through the records in the search results and display a different record to display on the form. The numbers indicate which record you are viewing out of the total number of records in the search results.

This field displays the name of the billing client for which you are reviewing invoices.

Field Description
Billing Contact

When you select a project row in the Accounts Receivable grid, this field displays the following information for the project:

  • If a project has had the same billing client entered for it on the Accounting tab in the Projects hub for the life of the project: The billing contact that is entered for the billing client on the Accounting tab in the Projects hub for the project displays in the Billing Contact field.
  • If a project has had different billing clients entered for it on the Accounting tab in the Projects hub over the life of the project, the following applies:
    • If you are reviewing AR information for the current billing client assigned to the project on the Accounting tab in the Projects hub: The billing contact that is specified for the billing client on the Accounting tab in the Projects hub for the project displays in the Billing Contact field.
    • If you are reviewing AR information for a previous billing client who is no longer assigned as the billing client for the project on the Accounting tab in the Projects hub: No billing client displays in the Billing Contact field. Instead, a note displays in the field to inform you that the billing client whose AR information you are reviewing is no longer being billed for the project that you selected in the Accounts Receivable grid.

The contact's name, email address, phone number, and fax number display in the Billing Contact field. Click the contact's name to display that contact's information in the Contacts hub. You can click the email address to create an email message for the contact.

You cannot change the billing contact in the Billing Contact field.

Company Address

When you select a project row in the Accounts Receivable grid, this field displays the following for the project:

  • If a project has had a single billing client entered for it on the Accounting tab in the Projects hub for the life of the project: The billing address that is entered for the billing client on the Accounting tab in the Projects hub for the project displays in the Company Address field.
  • If a project has had different billing clients entered for it on the Accounting tab in the Projects hub over the life of the project, the following applies:
    • If you are reviewing AR information for the current billing client assigned to the project on the Accounting tab in the Projects hub: The billing address that is specified for the billing client on the Accounting tab in the Projects hub for the project displays in the Company Address field.
    • If you are reviewing AR information for a previous billing client of the project that is no longer assigned as the billing client for the project on the Accounting tab in the Projects hub, the Company Address field displays the billing address from the Firms hub for the billing client whose information you are reviewing on the AR Review form.
Aged Accounts Receivable Chart

This chart displays accounts receivable information for the project that you select in the Accounts Receivable grid for the billing client. It shows you the outstanding posted invoice amounts by aging days. It also shows you the billed, paid, and unpaid totals for the project.

Aged AR - As of [Date]

This field displays the date set in AR Options and status of the invoices displayed. By default, the status is set to Unpaid. To select invoices for review based on another status, choose All or Paid in Full.

Time Frame

Select the to open the Change Time Frame dialogue box and choose one of the following options in Change Time Frame to select invoices for review based on invoice date:

  • Period: When you select this option to display invoices based on period, select invoices for the job-to-date, current period, or year-to-date in the field below this field.
  • Period Range: When you select this option to display invoices for a range of accounting periods, select the beginning and ending periods in the two fields that display below this field.
  • Date Range: When you select this option to display invoices for a range of dates, enter the beginning and ending dates in the two fields that display below this field.
Average Age of Receivable

This field displays the average number of days it takes for a client to pay invoices in full. This calculation is based on all paid invoices for a client.

Example:

A client has two fully paid invoices:

  • For Invoice 1, you received full payment 22 days after the invoice was issued.
  • For Invoice 2, you received full payment 36 days after the invoice was issued.

The average age of receivables for this client is 29 days (58/2).

Accounts Receivable Grid

Use this grid to review project invoices, currency codes, aging columns, retainage amounts, and retainer amounts.

Actions

Click this action and then select one of the following actions from the menu list:

  • AR Options: Click this action to open the AR Options dialog box to change the aging date for invoices and to edit the aging columns.
  • Currency: Click this action to open the Currency Display Options dialog box to change the currency displayed in the Accounts Receivable grid.
  • Print: Click this action to print the form.

Accounts Receivable Grid Fields

Field Description
Project

This field displays the project number associated with the transaction.

Project Name

This field displays the name of the project, as specified on the project record.

Currency

If you use multiple currencies, this field displays the three-character code for the currency. This currency may be the project currency or billing currency, depending on your selection for the Display Using option on the Currency Display Options dialog box.

Total

This field displays the balance of the invoices, reduced by any outstanding retainage amounts, since retainage is not considered due at this time.

Aging Columns

These are the aging columns established on the Aging Options dialog box. Each column shows the number of days that receivables are overdue. For example, you might have columns titled "0-30," "31-45," "46-60," "61-90," and "91+."

Total Tax

This field displays all tax amounts that are still outstanding for a project's invoices. This column displays only outstanding amounts, and not all taxes billed.

Interest

This field displays the amount of interest posted for past due invoice amounts.

Retainage

This field displays the retainage amount of the invoice not currently due.

This column is available only if you set Use Retainage to Yes in Settings > Billing > Options.

Retainer

A retainer is an advance amount collected from a client prior to work beginning on a project. The amount of the retainer is typically stipulated in the client's contract, and is subtracted from the contractually agreed total project billing amount when the project is billed.

Comments

A check in this box indicates that comments exist for at least one outstanding invoice for the project listed.

Row Tools

These icons display at the end of a row in the grid. These tools apply to the row that you select.

Field Description

Click this icon to display the Invoice Summary dialog box and preview a project's invoices and credit memos and export them. The Invoice Summary dialog box displays all the paid and unpaid invoices and credit memos for the project selected in the Accounts Receivable grid for the billing client selected on the AR Review form.

Click this icon and then choose one of the following options:

  • Last Receipt: This option displays a dialog box that lists the date, amount, and invoice number for the last payment received from the billing client whose accounts receivable information you are currently viewing on the AR Review form, for the project that you selected in the Accounts Receivable grid on the form.
  • Comments: This option displays the AR Comments dialog box, on which you can read, review, add, update, or delete comments for all posted invoices for the billing client whose accounts receivable information you are currently reviewing on the AR Review form.
  • View Details: This option displays the Invoice Summary dialog box, on which you can preview a project's invoices and credit memos and export them. The grid on the dialog box displays all the paid and unpaid invoices and credit memos for the billing client whose accounts receivable information you are viewing on the AR Review form, for the project that you selected in the Accounts Receivable grid on the form.
