The Vendor Rate tab on the Employee form is used to manage the vendor rates for a particular employee. You can use this form to view, add, modify, and delete an employee’s vendor rates.
Vendors are outside agencies hired by a company for a specific type of work. The vendor will hire its own employees to do work for the company, typically as contractors or subcontractors. Because these employees work for the vendor and not the company, their pay rates may be different from the company’s regular employees.
A person’s vendor rates can be defined manually using the Vendor Rate tab. See Manage the Person Vendor Records and Manage the Vendor Rate Records.
A person’s vendor rates can also be imported using the Subcontractor import context. You can use the Vendor Rate tab on the Employee form to view these records after you import them.
Once you have defined your person vendor rates, the Paid Rate Rules (assigned to an employee via the Pay Policy) must be defined to calculate the vendor rate.

The Vendor Rate tab on the Employee form requires the following:
You must have the Subcontractors Forms module or the Pay Rates module included in your license file.
The Subcontractors Forms module or the Pay Rates module must be enabled.
To check if either module is included in your license and enabled:
Click Main Menu > Configuration > System > Licensing.
On the License Modules tab, select the Module Name called Subcontractors Forms or select the Pay Rates module.
The following boxes must be checked: Licensed and Module Enabled.
Vendor Num
Number that identifies the vendor.
Vendor Name
Name of the vendor.
The vendor is assigned to the person using the Vendor Name quick link in the Filter at the top of the form. See Manage the Person Vendor Records.
Vendor Site Code
Code for a particular vendor office (e.g., the city where the vendor is located).
Rate Type
Indicates whether the rate is a PAY rate or a LABOR rate. The LABOR rate is the rate that is billed when the employee performs the labor. The PAY rate is the employee’s rate of pay for performing the labor.
Shift
Indicates whether the Rate Amount applies to a particular shift or to ALL shifts.
Classification
Indicates whether the Rate Amount applies to a particular hours classification or to ALL hours classifications.
Rate Amount
Shows the actual vendor rate for the specified Rate Type, Shift, and Classification.
Update Date, Updated By
These fields display when the record was created or updated, and the person who created or updated the record.
Start Date, End Date
Dates when this vendor rate is in effect. These dates correspond to the date of the person vendor assignment. See Manage the Person Vendor Records.
Click Main Menu > Employee Management > Employee.
Select the person for whom you want to view vendor rate information.
Click the Vendor Rate tab at the bottom of the form.
If necessary, click the Filter button to display the filter fields.
Use the Vendor Name, Shift, Classification, and Effective Date fields to filter the records that appear in this form.
Click Find after you enter your filter criteria.
In order to assign vendor rates to a person, you must first assign a vendor to the person.
The Vendor Name quick link in the Filter at the top of the form is used to assign vendors to a person. You can also modify, copy, and delete these assignments.
A person can only be assigned to one vendor for a given date range.
Click Main Menu > Employee Management > Employee.
Select the person to whom you want to assign a vendor.
Click the Vendor Rate tab at the bottom of the form.
If necessary, click the Filter button to display the filter fields.
Click the quick link icon next to the Vendor Name field and select Add from the pop-up menu.
Select the Vendor from the drop-down list. The available options are defined on the Vendor form.
Use the Start Date and End Date fields to define the effective dates for this vendor assignment.
The Start Date and End Date must be unique for each person vendor assignment. If you enter a Start Date and End Date that overlap an existing person vendor assignment, the dates of the existing records will be changed accordingly. For example, a person is assigned to Vendor_A from 1/1/2014 – 12/31/9999. An assignment is added for Vendor_B from 3/1/2014 – 3/30/2014. The person will now have three vendor assignment records: Vendor_A from 1/1/2014 – 2/28/2014, Vendor_B from 3/1/2014 – 3/30/2014, and Vendor_A from 3/31/2014 – 12/31/9999.
If you are only saving this vendor assignment, click Save to save the record and return to the main form
If you want to assign another vendor to the person, click Save and Add to save this record and keep the Add Vendor window open. Note that a person can only be assigned to one vendor for a given date range so set the Start Date and End Date accordingly.
Click Main Menu > Employee Management > Employee.
Select the person for whom you want to modify, delete, or copy a vendor assignment.
Click the Vendor Rate tab at the bottom of the form.
If necessary, click the Filter button to display the filter fields.
Click the quick link icon next to the Vendor Name field and select Maintain from the pop-up menu.
Find the vendor assignment you want to modify, delete, or copy by selecting the Effective Date of the record. Then click Find.
Select the record in the grid.
To change the Vendor, Start Date, and End Date, click Modify. Change these values as necessary and click Save.
To duplicate the record, click Copy. Change the Vendor, Start Date, and End Date and click Save. If there are any vendor rates assigned to this vendor, these rates will be included with the duplicate vendor assignment as well.
To delete the record, click Delete. If there are any vendor rates assigned to this vendor, these rates will be deleted from the vendor assignment as well.
Click Main Menu > Employee Management > Employee.
Select the person for whom you want to modify, delete, or copy a vendor assignment.
Click the Vendor Rate tab at the bottom of the form.
If necessary, click the Filter button to display the filter fields.
Click the quick link icon next to the Vendor Name field and select Lookup from the pop-up menu.
Find the vendor assignment you want to modify, delete, or copy by selecting the Effective Date of the record. Then click Find to display the record in the grid.
Select the record and click OK.
The Person Vendor pop-up form closes. The vendor you selected displays in the Vendor Name filter field at the top of the Vendor Rate tab.
Use the Add, Modify, Copy, and Delete buttons on the Vendor Rate tab to assign vendor rates to a person.
Click Main Menu > Employee Management > Employee.
Select the person for whom you want to add a vendor rate.
Click the Vendor Rate tab at the bottom of the form.
If necessary, click the Filter button to display the filter fields.
Click Add.
Use the Vendor Name field to select the vendor for which you want to add rates. Click the quick link icon and select Lookup or Maintain.
Select the Effective Date of the vendor for which you want to add rates. Vendors and their effective (Start/End) dates are defined on the Vendor form.
Click Find to display the person vendor record in the grid.
If you selected Maintain instead of Lookup in step 6, you can also add, modify, delete, and copy the person vendor records. See Manage the Person Vendor Records for more information.
Select the person vendor record and click OK.
The Vendor Num, Vendor Name, Vendor Site Code, Start Date, and End Date reflect the vendor assignment you chose in steps 1-9 above.
Select the Rate Type, Shift, Classification, and Rate Amount.
If you want to add more than one vendor rate, click Save and Add to save this rate and keep the Add Vendor Rate window open. Or click Save to save this rate and return to the main form.
Click Main Menu > Employee Management > Employee.
Select the person for whom you want to modify, delete, or copy a vendor rate.
Click the Vendor Rate tab at the bottom of the form.
If necessary, click the Filter button to display the filter fields.
Select the Effective Date of the vendor for which you want to modify, delete, or copy rates. Vendors and their effective (Start/End) dates are defined on the Vendor form.
Click Find to display the vendor rate records in the grid.
Select a rate record.
Click Modify on the Vendor Rate tab to change the Rate Amount.
Click Copy on the Vendor Rate tab to duplicate the rate record. You will be able to change the Rate Type, Shift, Classification, and Rate Amount.
Click Delete on the Vendor Rate tab to remove the selected rate record.
