Shift Definition

Detail Form: Shift Premium

Shifts outline the division of day and what premiums are associated with those divisions of time. Employers pay a shift premium based on a set monetary amount for a given shift definition or a percentage of an employee’s hourly rate.

The Shift Definition form is used to create Shifts. The Shift Premium tab is used to assign the monetary amount for each shift. Once you have created a shift you can assign it to a Schedule, Shift Policy, or Person. The table below describes how and where to assign a shift and when the settings would apply. A shift does not have a set time stamp so it can be used across multiple policies and schedules.

If you have been assigned a Supervisor Role, the actions that you can carry out on the Shift Definition form will depend on the Functional Areas that have been assigned to your role. See Supervisor Role for more information.

When it Applies

Edit Schedule

Select a person on the Current Situation form and click the Edit Schedule button. On the Schedule Edit pop-up form, select the shift. The new schedule/shift will be visible on the Person Schedule form.

A shift in a Person Schedule applies only if Shift From Schedule is checked in the employee's Shift Policy.

Note: If a Person Schedule coincides with a Schedule Cycle, the shift in the Person Schedule applies.

Person Schedule

Select the shift in the Shift field when creating a schedule on the Person Schedule form.

A shift in a Person Schedule applies only if Shift From Schedule is checked in the employee's Shift Policy.

Note: If a Person Schedule coincides with a Schedule Cycle, the shift in the Person Schedule applies.

Schedule Cycle

Select the shift in the Shift field when adding or modifying a day in a Schedule Cycle.

A shift in a Schedule Cycle applies only if Shift From Schedule is checked in the employee's Shift Policy.

Note: If a Person Schedule coincides with a Schedule Cycle, the shift in the Person Schedule applies.

Shift Policy

Select the shift on the Shift Detail Policy tab when defining a Shift Policy.

A shift in a Shift Policy applies only if the Shift via Policy box is checked in the employee's Shift Policy.

Person Assignment

Select the shift and press the Assign button on the Shift Definition form to assign it to person records. See Assign a Shift for details.

1. Select a person on the Employee form.

2. Select the Assignment tab.

3. Click Add.

4. Select the Shift.

5. Click Save.

A SHIFT Assignment applies when any of the following is true:

The employee has no Shift Policy.

The Shift via Policy and Shift From Schedule boxes are unchecked in the employee's Shift Policy.

Only the Shift From Schedule box is checked in the employee's Shift Policy and there is no shift defined in the employee's schedule.

Only the Shift via Policy box is checked in the employee's Shift Policy and there is no Shift defined in the employee's Shift Policy.

The Shift via Policy and Shift From Schedule boxes are checked in the employee's Shift Policy but there are no shifts defined in the employee's schedule or Shift Policy.

 

The system uses the employee's Shift Policy to determine if the employee's shift premium is decided by the shift in the employee's policy or schedule. If the employee has no Shift Policy, the Shift record listed in the employee's Person Assignment applies. See How Shop Floor Time Determines an Employee's Shift.

 

Shift Definition Field Descriptions

Shift

Name or number that identifies the shift settings in this record. You can have shifts with the same name as long as they belong to different Data Groups.

Data Group Name

Identifies the group to which the shift belongs. Data groups are created on the Data Group form. Data Groups are useful in situations like acquisitions where companies may have several shifts with the same name. By placing shifts into different Data Groups, you can keep the original names. Note that you cannot have duplicate Shift names within the same Data Group.

Description

A description of the shift.

Update Date, Updated By

These fields display when the record was created or updated, and the person who created or updated the record.

 

Find a Shift

  1. Click Main Menu > Configuration > Policies > Shift Definition.

  2. Use the Shift and Data Group Name fields at the top of the form to narrow your search. To display these filter fields, click the Filter button.

  3. Click Find.

 

Add a Shift

  1. Click Main Menu > Configuration > Policies > Shift Definition.

  2. Click Add.

  3. Enter a Shift name.

  4. Select a Data Group Name. To create a new Data Group, click the icon next to the Data Group Name field and select Add from the pop-up menu.

  5. Enter a Description for the shift.

  6. If you want to add more than one shift, click Save and Add to save the current record and keep the Add form open. Or click Save to save the current record and return to the main form.

  7. Navigate to the Shift Premium tab and enter the shift premium values.

 

Copy a Shift

  1. Click Main Menu > Configuration > Policies > Shift Definition.

  2. Select the record and click Copy.

  3. Because you cannot have duplicate Shift names within the same Data Group, you must change either the Shift name or the Data Group to which it belongs.

  4. If you want to duplicate more than one shift, click Save and Add to save the current record and keep the Copy form open. Or click Save to save the current record and return to the main form.

 

Modify a Shift

You can modify the Description of a Shift Definition.

  1. Click Main Menu > Configuration > Policies > Shift Definition.

  2. Select the record and click Modify.

  3. Change the Description and click Save.

 

Assign a Shift

The Assign button is used to assign shifts to one or more persons. When a shift is assigned, it will display on the Assignment tab for the applicable Person record.

  1. Click Main Menu > Configuration > Policies > Shift Definition.

  2. Select the shift you want to assign.

  3. Click Assign on the toolbar to display the Assign People pop-up form.

  4. If necessary, click the Filter button to display the filter fields.

  5. In the Start Date field, select the start date for the shift assignment.

  6. In the End Date field, enter or select the last date of the shift assignment.

  7. If you want this assignment to be an override assignment, check the Override box.

    The Override checkbox can be used when two or more shift assignments of the same type have overlapping Start and End Dates

    When you check the Override box, the original shift assignment will remain unchanged. The new Override shift assignment will have a Level Number that is one number higher than the original shift assignment. The Level Number indicates which shift should be used when the two shifts have overlapping dates. Refer to the field descriptions in the Assignment topic for more information on the Override field.

  8. Use the Facility, Person Num, Supervision Type, and Include Direct fields to search for specific persons to whom you want to assign the shift.

  9. Click Find.

    The persons that match your search criteria display on the form. You can assign shifts to one, several, or all these persons.

  10. To assign the shift to ALL persons, click Assign All on the toolbar.

  11. To assign the shift to one or more but not all employees, select the persons by pressing the CTRL key as you click their names. Then click Assign Selected.

    The selected employees will be assigned to the shift for the specified Start and End Dates. You can view the shift assignments on the Assignment tab of the Employee form.

  12. Click the in the upper right corner of the Assign People pop-up form to close it.
