Employee Workload report

Use this report to determine your labor resource requirements. The report
evaluates all employees assigned work at the project level and forecasts
remaining amounts using a straight-line method for the phases. With this
report, you can:
- Identify under or over-utilized
resources
- Forecast future staffing
requirements
- Identify workload by employee
type, employee, or project
- Create a master company
work schedule
To review the information by project and phase, print the Project
Workload report.

From the Reports
menu, click Employee > Employee
Workload.
Report options
Company
|
Multi-company only. The report contains information for all companies in your organization, unless you select
a specific company in this field.

Project
|
The report contains information for all projects, unless you select
a specific project in this field.
|
As of date
|
The report contains information as of today’s date unless you select
a different date in this field.
|
Customize options
Report title
|
You can change the title of the report.
|
Sort order
|
Sorts the report by employee, employee type, supervisor, or department. If you use multi-company, you can also sort by company.
|
Period
|
Prints the report for the next consecutive six periods, either weeks
or months, from the View As Of
date.
|
Amount type
|
Prints either spent, hours, or cost amounts.
|
Phase status to print
|
Prints all phases or phases of a specific status. If no phases exist
for the status you select, the project does not appear on the report.
|
Limit by
|
Only prints information associated with the employee or supervisor who
is producing the report. You can print all employees by selecting
No limit. If you use multi-company, you can also limit by company.
|
Include inactive employees
|
If selected, it includes employees with an inactive status on the report.
|
Include marketing effort
|
Includes your open Business Development efforts. To calculate amounts for this
potential work, Ajera multiplies the contract amount entered on linked
production phases by the percent chance of winning the work.

Include overhead in cost
|
If selected, it includes direct personnel expenses and overhead in the
cost amount.
|
Include overhead projects
|
If selected, it includes overhead projects in the report.
|
Print graph
|
If selected, a graph of the information appears on the report.
|
Use drilldown
|
If selected, you can expand the employee information, and then drill
down on a project and then a phase.
If cleared, the employee and project are expanded, and you can drill
down to the phase.

Print customize options on report
|
If selected, it prints a list of the options that you select.

Report contents
Information for the Status
through Remaining As Of columns
appears at the project level, but only when you drill down for an employee.

Start Date
|
The resource start date. When the phase has a resource, the report displays
start and end dates, using the hierarchy in your work breakdown structure
(resource, subphase, phase, and project).

End Date
|
The resource end date. When the phase has a resource, the report displays
start and end dates, using the hierarchy in your work breakdown structure
(resource, subphase, phase, and project).

Labor Budget
|
The amount budgeted for labor resources on the project or phase
|
Remaining as of
|
The amount of budgeted labor currently remaining as of the date you
produce the report. The amount remaining is calculated based on spent.
|
subsequent six weeks or months
|
The amount of budgeted labor for each of the next six weeks or months
starting with the current date or the date you entered in the View
As Of field on the report window. Depending on the starting date
of the reporting period, these columns can contain historical, current,
and projected amounts, which are displayed as follows:
Red - Prior historical amounts
Purple - Current amounts
Blue - Future projected amounts

Drilldown - Phase:
When you drill down on a phase which has resource budget amounts, these
columns appear. A Notes row also appears if you entered any notes for
the resource.

ID
|
For the project row, it lists the project ID.
For a resource row, it is the resource activity type (Labor, Expense,
or Consultant).

The name of the item on the row

|
The short description which helps further identify the item on the row

Hours
|
The number of hours budgeted
|
Cost Amount
|
The cost amountThe amount paid to employees for work performed, or the out-of-pocket costs to the company for expenses and consultants. for the item on the row
You do not see this column
unless your security group
has the View employee cost check box selected.

Fee Amount
|
The amount contracted to bill the client
|
Start Date
|
The actual start date entered. If no actual date was entered, it is
the estimated date.
|
End Date
|
The actual end date entered. If no actual date was entered, it is the
estimated date.

Calculations
Ajera uses a straight-line method to spread the contract remaining amount
evenly across remaining days at the lowest phase level. It sums those
amounts to higher-level phases, projects, and then your portfolio of projects.
For example, if a phase has $10,000
remaining and is scheduled for 10 more days until completion, the spent
value appears as $1,000 per day for the next ten days.

A mix of actual spent and forecasted spent
For example, if you produce the report to show months and run it on
the 15th of the month, the report shows the amount spent for that month
through the 15th and the projected amount you will spend from the 16th
until the end of the month.

|
Amounts for marketing phases when you select the Customize
option to Include marketing effort.
