Creating reporting entities
unavailable in ajeraCore unless you have the Departments add-on
About
reporting entities
Reporting entities are groups of departments
that represent various divisions in your firm for which you want to print
financial statements. The reporting-entity structure typically mirrors
your corporate structure, but also allows optional reporting combinations
beyond that.
There are two ways to create reporting
entities:
Without
organizational levels
You do not need to use organizational
levels if your corporate structure is simple or consists of one layer
(for example, your company consists of three departments that are of equal
weight: Architectural, Interior, and Landscape).
Follow these
steps:
- From
the Company menu, click Financials
> Reporting Entities.
- Click
the New button.
- In
the Description field, enter a name for the reporting entity.
- In
the table, select the Use check
boxes for the departments that belong in the entity.
You can use a department in as many reporting entities as you want.
- Click
Save.
With organizational
levels
If your corporate structure consists of
multiple layers and you have created
organizational levels, you can use the organizational levels to create
reporting entities.
Follow these steps:
Step
1: Creating reporting entities for the lowest organizational level first
- From
the Company menu, click Financials
> Reporting Entities.
- Click
the New button.
- In
the Description field, enter a name for the reporting entity.
- In
the Organizational Level field, click and select the lowest organizational
level displayed, to identify the entity with that organizational level.
For example, in the graphic above, you would
select City as the lowest organizational level.
- In
the table, select the Use check
boxes for the departments that belong in the entity.
- Click
Save.
- Continue
this process until you create all the reporting entities for the lowest
organizational level.
Step
2: Creating reporting entities for the next organizational levels
- In
the Report Entity List window, click the New
button.
- In
the Description field, enter a name for the reporting entity.
- In
the Organizational Level field, click and select the next organizational
level up (for example, the second-lowest level), to identify the entity
with that organizational level.
Only reporting entities for the preceding
organizational level (the lowest level, for example) appear in the table.
For example, in the graphic above, you would
select State as the second-lowest organizational level and create reporting
entities by selecting City reporting entities, which appear in the table.
- In
the table, select the Use check
boxes for the reporting entities that belong in this reporting entity.
Note: |
You can select a reporting entity only once. When you create another reporting
entity, Ajera makes the Use check
boxes for the selected entities unavailable. If no reporting entities
appear in the table, verify that the organizational level below the selected
level contains reporting entities. |
- Click
Save.
- Working
upward, level by level, continue this process until you create reporting
entities for each level in your corporate structure.
Step
3: Creating reporting entities outside the organizational-level structure (optional)
- From
the Company menu, click Financials
> Reporting Entities.
- Click
the New button.
- In
the Description field, enter a name for the reporting entity.
- In
the table, select the Use check
boxes for the departments that belong in the entity.
- Click
Save.
